School Organizational Team Minutes

The Gilbert Academy Organizational Team meeting was called to order at 3:36pm on June 1, 2017. The meeting was held in the Faces and Places at Gilbert Academy.

Old Business

·  The School Organization Team Survey came out and is due by June 6th. Arlene will forward it to the whole team.

New Business

·  The budget was posted to the website but it is detailed more like a summary. We have to pay for piano. We originally thought it was $6,000 but it is actually $13,000. Also there is no extra money on the back budget. Ms. Daniels emailed Dr. White, who said we were misinformed. Gia also spoke to Dr. White, and it is confirmed we only get a Magnet Theme Coordinator and Humanities. Therefore, we must pay for Piano $13,000

·  Textbook $38,000 approved. Teachers chose Nat Geo Reach for Reading. We will buy a portion first and pilot the rest. So far we have bought the student editions for first grade $7,315. This amount was taken out of SGF and no more money was taken out of the text book fund.

·  It was decided to take $13,000 out of the textbook fund of $38,00 to pay for piano. We must have piano. Ms. Rory gets 600 hrs. which is an increase. That leaves $25,000 in textbooks.

·  Ms. Daniels wants the ability to move those funds to General fund when the budget becomes unlocked. The General fund allows for manipulation. Motion: Stacy Testo Second: Bonnie Toth

·  The team was made aware of the new school name: Gilbert Academy of Creative Arts. The “GA” for marketing. The giraffe will be used for social media.

·  As a school we will be doing the fundraiser Save Around in October. Ms. Jefferson is working on a school night for the 51’s game for September 2, 2017. Our Collage students will be singing the National Anthem. Ms. Daniels is meeting with Mrs. Jefferson tomorrow. We believe the cost will be $10 per ticket to the game.

·  Tim went to two meetings for the Organizational Team. The idea of making a long term plan such as: staffing, programs, products, and projects were discussed because there is no guarantee that we will be reelected. Specifically:

People – how to use personnel, Campus Monitors, Volunteers, Partnerships

Programs – Rory, Arts Nomades

Projects – Sound system in Dance Studio, Updates

Products – What we need, if we need.

·  Try the Arts Council for a grant to fund piano. We will need to get proactive in finding grants to get money we need.

·  One of the suggestions is to update twice a year to Associate Superintendent, Dr. Rayford on nice letterhead about what we need. We also need to be asking friends and the community.
