GIFT CERTIFICATES – PROCEDURES
GIFT CERTIFICATES CANNOT BE PURCHASED FOR EMPLOYEES WITH DISTRICT MONEY AS THE INTERNAL REVENUE SERVICE (IRS) CONSIDERS THEM WAGES AND THEY MUST BE REPORTED AS INCOME AND TAXED ACCORDINGLY.
Schools and departments cannot order gift cards or gift certificates on a Contract Release Request (CR) or with a DPS Visa card.
Orders for gift cards or gift certificates must be submitted on a Purchase Requisition (PR) in Cayenta, with the exception of Blackjack Pizza. Since Blackjack Pizza does not accept purchase orders for gift certificates, sites may order directly from the regional office and pay for the gift certificates with a petty cash (imprest) check.
Blackjack Pizza
If the site (school or department) wants to purchase pizzas for a district meeting, class party, parent involvement night, etc.
- Blackjack Pizza has agreed to honor the price of $6.50 per pizza as long as the site tells Blackjack they are part of Denver Public Schools when the order is placed
- Payment will need to be made with a petty cash (imprest) check or a DPS Visa Purchasing Card
When the site is buying gift certificates(10 or more):
- Order directly from the Blackjack regional office, paying with a petty cash (imprest) check

- Certificates are $13.00 each
- Each certificate is for two large, 1-item pizzas
- Certificates will be mailed directly to the site upon receipt of the check
King Soopers
As of December 1, 2007, King Soopers no longer issues gift certificates, they provide gift cards only. Sites may not purchase gift cards at King Soopers stores with a CR or a DPS Visa card.
- Cards are available in any denomination.
- The site must enter an online purchase requisition (PR) in Cayenta. On the comments screen the requestor needs to specify:
- Specific date by which the certificates are needed (if applicable)
- Who the certificates are for; i.e., students, parents, volunteers
- The address of the King Soopers store, in the Denver metropolitan area, from which the certificates will be picked up
- If known, the name of the person who will pick up the certificates
- If the site wants a gift card(s) with the denomination printed on it, these are available in $25, $50, and $100 denominations only and you must specify on the PR that you want this card.
- Purchasing will convert the PR to a Purchase Order (PO) and fax the PO to King Soopers
- Purchasing will notify the site when the gift cards will be available for pick up
- Once the gift cards have been picked up, the PO is to be received on-line
- Included with the gift cards will be an invoice that must be sent to Accounts Payable.
Tattered Cover
- Certificates are available in $5.00, $10.00, and $20.00 denominations.
- The site must submit an online purchase requisition (PR) in Cayenta. On the comments screen the requestor needs to specify:
- Specific date by which the certificates are needed (if applicable)
- Who the certificates are for; i.e., students, parents, volunteers
- The Tattered Cover location from which the certificates will be picked up
- If known, the name of the person who will pick up the certificates
- Purchasing will convert the PR to a Purchase Order (PO) and fax the PO to Tattered Cover
- Purchasing will notify the site when the certificates will be available for pick up
- Once the certificates have been picked up, the PO needs to be received on-line
Other certificates
Gift certificates/gift cards, other than King Soopers and Tattered Cover, can only be purchased with an imprest (petty cash) check. If you need to spend more than $500, you need to send an e-mail to Alice Allendorf-Koehn in General Accounting.
