Newcomb Hall

Function:

The Game Room provides recreational opportunities to students and guests. The Game Room staff ensures the proper use of the Game Room and equipment, the safety and well being of patrons, and compliance with facility use and relates policies and procedures.

Responsibilities:

  • Responsible for the smooth functioning of the Game Room while on duty.
  • Responsible for the security of the Game Room, equipment, and furnishings.
  • Issue equipment in accordance with the appropriate check out guidelines.
  • Keep work areas clean and neat.
  • Track daily usage of Game Room.
  • Handle money in an efficient and responsible manner.
  • Notify the supervisor when forms or supplies are at a low level.
  • Relay instructions and information to the Area Supervisor and Manager as needed.
  • Act as tournament directors for planned tournaments as needed.
  • Be aware of procedural changes and/or new happenings.
  • Pass on any last minute instructions to the next shift attendant or supervisor.
  • Treat all patrons courteously and with respect.
  • Attend required training sessions and staff meetings.
  • Perform other duties as assigned.

Commitment

This position requires up to 20 hours per week with beginning and ending dates to be determined by the Assistant Director for Operations. Attendance at all training activities is required. Prior to the start of Fall semester, training typically begins ten days before the start of classes and lasts approximately one week. Evening and weekend work will be required.

Information Center Attendant

Newcomb Hall

Function:

The Information Center staff provides accurate information to visitors and callers to Newcomb Hall. The Information Center Attendant provides information concerning events, activities, and services throughout the University community. The Information Center Attendant also operates the following services: lost and found, key sign out, FAX, and student locator.

Responsibilities:

  • Disseminate up to date and accurate information concerning campus events, activities, and services.
  • Perform duties related to lost and found and FAX services.
  • Issue and secure keys in accordance with the key check out guidelines.
  • Keep Information Center area clean and neat.
  • Notify the supervisor when forms or supplies are at a low level.
  • Maintain the information rack by straightening current materials and removing outdated information.
  • Relay instructions and information to the Building Attendant and Newcomb Manager as needed.
  • Be aware of procedural changes and/or new happenings.
  • Pass on any last minute instructions to the next shift attendant or supervisor.
  • Treat all patrons courteously and with respect.
  • Attend required training sessions and staff meetings.
  • Perform other duties as assigned.

Commitment

This position requires scheduled shifts of 5 - 15 hours per week with beginning and ending dates to be determined by the Assistant Director for Operations. Attendance at all training activities is required. Prior to the start of Fall semester, training typically begins one week before the start of classes and lasts approximately three days. Evening and weekend work will be required.

Special Event Manager – Satellite Facilities

Function

The Special Event Manager is responsible for the safe and proper functioning of events requiring special coverage, such as late night parties, block shows, talent shows, or events where alcohol is served at the SAB, Newcomb Hall and Tuttle Coffee House. Each Special Event Manager also serves as a manager at either the Student Activity Building or Lambeth Commons.

Qualifications

Students in good academic standing with excellent communication and negotiation skills and self-motivation. Lambeth Managers should be a resident of Lambeth Field.

Responsibilities of the Special Event Manager

  • Meet with organization’s event coordinator and police officers to review policies and procedures.
  • Check facility condition with the event coordinator before and after event to detect any damage.
  • Ensure that event monitors and organization staff comply with all event and facility policies, including but not limited to specific policies relating to ID’s, guests, alcohol and re-entry.
  • Patrol all areas in use for actual or potential disturbances and alert event coordinator and officers as necessary.
  • Write and deliver report of event.

Responsibilities related to satellite facilities (SAB, Lambeth Commons, The Forum at O’Hill)

  • Open and close facility according to reservations.
  • Help users with room setups as necessary.
  • Oversee activities to ensure compliance with UVA and building regulations.
  • Ensure that facility and equipment is returned to standard and all trash is removed after each event.
  • Report all problems with cleanliness, equipment, and mechanical systems as needed.

Office Assistant

Newcomb Hall

Function:

The Administrative Offices of Newcomb Hall coordinate the daily operations of Newcomb Hall.

Office Assistants provide administrative support to the various offices within Newcomb Hall.

Responsibilities:

  • Provide coverage for the Director’s Office in absence of Executive Assistant
  • Communicate and work with variety of professional and student staff
  • Provide excellent customer service to internal and external customers
  • Pick-up and distribute mail
  • Organize and complete special projects
  • Phones: Answer questions, direct calls, take messages as needed
  • Maintain vehicle check-out for Newcomb vehicles
  • Organizing and filing duties
  • Copy and collate materials
  • Run errands as needed
  • Attend all required training sessions and staff meetings.
  • Perform other duties as required

Commitment

Newcomb Hall Reservations Office Assistant

Function:

The Reservations Assistant provides support in the scheduling and planning duties managed by Newcomb Hall Reservations.

Responsibilities:

  • Use of Resource 25 scheduling software to process customer requests submitted online through the SOURCE
  • Assignment of spaces and resources in Newcomb Hall venues as well as classroom spaces scheduled for student organizational use by Newcomb Reservations
  • Generating and distributing reports for internal and external service providers involved in event management
  • Providing guidance and some training by email, phone, and in person for requestors on best use of the SOURCE
  • Assist with other Reservations Office projects as needed

Commitment

The position requires up to 20 hours per week with beginning and end dates to be determined by the Assistant Director for Operations. Attendance at all training activities is required. Prior to the start of the Fall semester, training typically begins one week before the start of classes and lasts approximately three days. Hours are flexible – between 8 am and 7 pm weekdays. Some weekend hours may be optional.

Audio Visual Operator

Newcomb Hall

Function:

The Audio-Visual Office provides support in the areas of audio visual equipment, sound reinforcement, lighting, theater and video projection and other related electronic equipment.

The Audio-Visual Operator performs duties related to providing necessary support for AV and sound setup. The Audio-Visual Operator will be trained to support events and activities in need of sound reinforcement, lighting, projection (16mm film, transparency, computer, and video), and other audiovisual equipment.

Responsibilities:

  • Perform duties related to the on-site setup and operation of sound reinforcement, lighting, audio-visual, or other related equipment for events and activities as assigned.
  • Assist with duties related to the cleaning and/or maintenance and repair of equipment as needed.
  • When returning equipment, place it in its assigned area.
  • Process the appropriate paperwork for each event.
  • Attend all required training sessions and staff meetings.

Commitment

This position requires up to 20 hours per week with beginning and ending dates to be determined by the Assistant Director for Operations. Attendance at all training activities is required. Prior to the start of Fall semester, training typically begins seven to ten days before the start of classes and lasts approximately one week. Evening and weekend work will be required.

Projectionist

Newcomb Hall

Function:

The Audio-Visual Office provides support in the areas of audio visual equipment, sound reinforcement, lighting, theater and video projection and other related electronic equipment.

The Projectionist performs duties related to providing necessary support for film projection. The Projectionist will be trained to provide projection and sound reinforcement support for designated programs. The Projectionist may also be trained in the setup, operation, and breakdown, of other audiovisual equipment and may be assigned to provide support for other events and activities as needed.

Responsibilities:

  • Build, show, breakdown film for scheduled showings.
  • Assist with duties related to the cleaning and/or maintenance and repair of equipment as needed.
  • When returning equipment, place it in its assigned area.
  • Process the appropriate paperwork for each event.
  • Attend all required training sessions and staff meetings.
  • As needed, will perform duties related to the on-site setup and operation of sound reinforcement, lighting, audio-visual, or other related equipment for events and activities as assigned.
