Fundraising and Database Officer

Job Description

Overall purpose

The Fundraising and Database Officer will support the growth of fundraising income by providing exceptional supporter care, including the accurate and efficient processing and acknowledgement of all donations, coordinating and supporting key eventsand maintaining Womankind’s supporter database.

The post holder will ensure that Womankind supporters and the general public are extremely satisfied with their interactions with Womankind, whether over the phone, in writing or face-to-face.They will be responsible for coordinating key events throughout the year including the London Marathon, the Royal Parks Half Marathon, RideLondon-Surrey 100 and supporting Womankind’s International Women’s Day community event (alongside the Marketing Officer). The post holder will ensure that all supporter and donation information on Womankind’s fundraising database is accurate and will provide data selections and reports for Womankind’s supporter mailings and campaigns.

This post will be tasked with delivering four key areas of responsibility as detailed below.

Responsibilities

  1. Supporter care
  • Coordinate the efficient and accurate recording and acknowledgement of donations: writing appropriate and timely acknowledgement letters, emails and SMS
  • Write and update template thank you letters
  • Respond to donor enquiries and provide personalised information on Womankind’s work when requested
  • Working with the Individual Giving Manager to develop the supporter care strategy, proactively identifying and implementing new ways of improving supporter care
  • Regularly identify lapsed committed givers and reactivate them through mailings and telephone calls
  1. Fundraising events
  • Promote and coordinate Womankind teams for sponsored events including the London Marathon, RideLondon-Surrey 100 and the Royal Parks Half Marathon.
  • Promote and support Womankind’s International Women’s Day community event alongside the Marketing Officer.
  • Promote fundraising opportunities and events to new and existing supporters
  • Support and advise individual supporters and community organisations on fundraising activities and events
  • Keep the events information on the website up to date
  1. Processing donations and coordinating Gift Aid claims
  • Coordinate efficient and accurate input and processing of all donations (cash, cheques, credit cards, Direct Debits and vouchers) accurately and in a timely manner, working closely with the administrative assistant
  • Import standing order and Direct Debit payments into the fundraising database
  • Improve the efficiency of processing donations
  • Process Gift Aid claims monthly, liaising with the finance team
  • Coordinate the validation and scanning of Gift Aid declarations
  • Reconcile income recorded on Womankind’s fundraising database with management accounts on a monthly basis
  1. Developing and maintaining the fundraising database
  • Maintain procedures for data entry, data selections, and reporting, ensuring that data protection requirements are met
  • Ensure that others in the fundraising team use the database in line with agreed procedures
  • Produce data selections for the Individual GivingManager; ensuring data is delivered to schedule, well presented and to specification.
  • Use the reporting and query modules of the database and Excel to provide reports and information to the organisation.

Undertake other responsibilities not outlined above which are commensurate with a role of this nature and which have been discussed and agreed with the line manager.

Work occasional evenings or weekends to support fundraising events (for which time off in lieu will be given).

Must be committed to the mission, vision, values and aims of Womankind Worldwide as it seeks to support and speak out about women’s human rights and development internationally.

Person Specification

  • Experience and understanding of what makes exceptional supporter/customer care
  • Excellent written communication skills
  • Excellent verbal communication skills and experience of talking to supporters/customers over the phone and face to face
  • Basic knowledge of charity fundraising
  • Experience of supporting individuals and groups in fundraising activities
  • Excellent numeracy skills
  • Knowledge and demonstrable experience of working with databases, preferably The Raiser’s Edge, to input supporter and gift details, import data and produce queries and reports
  • Excellent IT skills including experience with Excel and Word
  • Able to work under pressure and stay calm and professional at all times, even when faced with difficult situations
  • Able to take initiative and solve problems
  • Excellent organisation and prioritisation skills
  • Have empathy with the aims and objectives of Womankind Worldwide

Hours / 35 hours
Salary / £26,891
Contract / Permanent
Probationary period / 3 months
Holidays / 28 days per annum plus statutory holidays (rising up to 30 days once you have been with us for 3 years)
