Required Personal Skills and Experience:

  • Proficient in full MS OFFICE and ADOBE ACROBAT Suites
  • Very Strong Computer Skills
  • Troubleshooting software issues regarding electronic software, forms, systems and the like.
  • Excellent communication skills-(writing-proofing-editing)
  • Organization skills required
  • Confident-creative-resourceful
  • Ability to navigate and work with in depth electronic archiving systems and electronic management systems
  • Knowledge and ability to work with database operations, structures
  • General Clerical Duties-mailings, FAX, email correspondences, phone work, filing, etc.
  • Heavy Data Entry & Electronic Filing
  • Ability to Take Meeting Minutes-electronically.
  • Ability to work independently with little or no supervision
  • Able to work with many types and levels of employees from all parts of the company.
  • Experience in Maritime Industry a plus
  • Must be able to physically embark and disembark onto a vessel via ladders, bulwarks and small launch boats in all weather, physically fit thru hatches 24”x 24”, lift and carry at least 75pounds.
  • Auditor Credentials and Strong knowledge of SOLAS/Int’l Safety Management Code, ISO 9001: Quality and ISO 14001: Environmental and OHSAS 18001: Occupational Health (HSQE maritime business standards) a strong plus
  • Valid TWIC and valid clean driver’s license.
  • Must be able to travel (fly) the USA for auditing purposes.

Job Description

The person who assists the Compliance Manager by monitoring, updating and maintaining the Health, Safety, Quality, and Environmental Management System (HSQEMS) activities that relate to the fleet and company.

Involved in all aspects of Compliance-Safety-Quality-Health-Environmental & Regulatory issues.

Assists in updating policies and corporate documentation. Also, assists in reviewing the HSQEMS and provides written confirmation of such action for the record systems to the Compliance Mgr.

Operational email reports and documents relating to: Fuel Reports, Relieving Reports, Risk Assessments, Near Miss Reports, Tug Fleet. Engineering Tour Reports, Preventive Maintenance Reports, Vessel Monthly Fuel Reports, All Fleet Drills, etc. and forwards any actionable items to the Compliance Mgr.

Conduct HSQE Internal Audits on fleet. Creates reports of findings, Nonconformance write ups, work lists (if necessary), and forwards the aforementioned to Compliance Mgr. Maintains all files on audit program.

Builds and Inputs Data Structure for Safety Correspondence Databases. Run reports on same Correspondence Databases to ensure all required reports and Drills are submitted by every vessel and for Monthly PIC info.

Maintain vessel drills/reportse-files, “Compliance Tracker”

Electronicallypreparing files for posting, sorting, compiling, optimizing, updating and archiving.Utilizing ADOBE products, merging and creating documents and binders with security access controls applied & graphics embedded.

Creating, updating and modifying e-forms via design software.

Prepare some applications andsome reports with submissions to governing authorities for renewals, i.e. EPA-VGP.

Liaisons with Engineering/M&R on administrative documentation issues, writing projects, form designs, manual revisions, compliance matters, procedures & OTP revisions, etc. assistance with equip, reporting, sampling, ORB entries, MARPOL, energy efficiency, etc.

Assisting with all ISO documentation for dept. and Operations Division.

Assist with maintaining OHSA/DOL/NYS federal compliance notices, visual monitor uploads

Assist with HSQE & TMSA Internal Audits for RTC

Maintains all company Environmental Implementation Objective Plans and e-Shed Recycling program for company and e-Matrix

Maintains all destruction certs and recycling documentation IAW federal, state, local law & ordinances

Confident knowledge of HSQEMMS to train and assist and support wherever needed

Participates in all Safety Meetings and Training Seminars, able to present at same if needed.

Represent company on all Audits, at terminals, facilities and the like when off site.

Perform other duties as directed by the Compliance Manager in relation to the aforementioned.

Maritime Auditor. Auditing vessels against the applicable U.S. CFR's 33 / 46, SOLAS/ISM Code, ISO 9001, ISO 14001, OHSAS 18001 Business Standards, Federal and State laws from EPA, DEC, DEP, etc ; as well as company policy. Must be physically able to board vessels via ladders, gangways and launch boats.

Responsible for completing the annual vessel specific internal audit boarding report, acquiring photographic evidence onboard vessels, interviewing crew, creating a written summary of the actual audit event. Ability to identify nonconformance’s, citing’s against pertinent CFRs, company policies, crew credentials, etc. Conduct drill and or Safety Meetings with crew, as well as elaboration of company policies. Support crew with any questions and relay concerns. Presenting the findings to management in a professional manner. Findings are entered into company database for record keeping. All records of all boarding’s are also to be maintained in an orderly fashion. Following up on previous boarding findings, ensuring all findings and cites were in fact addressed properly in accordance with business standards, laws, etc. Will also participate in management meetings regarding audits, findings, follow-ups, etc.

  • Internal Auditor. Credentials for SOLAS/ ISM Auditor, ISO 9001 and ISO 14001 Auditor, OHSAS 18001 Auditor.
  • Excellent Communication and Writing Skills
  • Clean Valid Driver’s License
  • STCW a Plus
  • TWIC
  • Maritime experience and/or knowledge of Tug & Barge ops also a plus.
  • General clerical skills for compiling, sorting, filing and maintaining records of fleet boarding’s.
