We have a dual process in place firstly to offer advisors support, information and advice which will be received from our partners Energyextra, and secondly to switch fuel on all our voids where we have 28 days notice via Scottish and Southern
Services we can expect from Energyextra:
- Streamlined service for fuel switching on void properties
- Process for clearing down prepayment meter debts
- Access to prepayment devices to ensure continuity of supply for void teams
- Bespoke advice on resolution of fuel debt for void properties
- Advice and assistance on energy related issues relating to void properties

Fuel Switching
It is important that all properties excluding (transfers, abandonments and evictions) are nominated to our preferred supplier Scottish and Southern to avoid delays in void works, cost to the organisation and most importantly to ensure all our homes have fuel provided at sign up
We receive Notice of a void
On day one of notice the lettings advisor will:
- Contact our customer in line with the empty homes process
- Complete the ‘Tenant Out’ form (See appendix 1 below)
- On the same day as notice email the completed formto Scottish and Southern
Switching the fuel into Bromford’s name
- 28 days after Scottish and Southern receive the completed tenant out form they will switch the fuel supplies to Bromford
Pre-Vac interview
The lettings advisor will:
- Contact the outgoing customer and carry out the pre-vacation interview
- Ask the customer what meter type they have
- Ask the customer who their fuel provider is
- Input the information onto the void action plan
If the advisor is unable to contact the customer they will ask the surveyor to collect the above information from the customer when they do the pre-vac inspection
The contractor will:
Within one working day provide the meter and fuel information to the lettings advisor so that they can input the information onto the void action plan
Day 26
The Lettings Advisor will contact Scottish and Southern to ensure that the fuel switching process is on track and that new cards have been ordered.

Day 29
The same day as the inspection on day 29 the Contractor will:
- Call the lettings advisor and notify them of the meter readings and serial numbers
The lettings advisor will input the information onto the void action plan and email this information to partnership services at SSE.
Sign up
The Housing Manager will obtain the final meter readings at sign up these reading are vitally important for the fuel switching process.
Following Sign up
The Lettings Advisor must complete the Tenant In – (Change of Tenancy) Form(See appendix 2 below)
Failure to send this form will result in the property remaining in Bromford’s name and liable for any debt on the meter and future fuel used.
The following details must be entered.
- The Lettings Advisors Name,
- Contact Number and Date the form is completed.
- The Property address and post code.
- The incoming customer details
- The meter serial and meter readings and the date they were taken (sign up date) The meter readings are vitally important
- The Tenant In Form must be e-mailed to
- Once this form has been sent the new customers account will be set up with Scottish and Southern and a welcome pack sent out from SSE.
