Subject: Verification requirements

When a customer is requesting a verification and you are collecting the money for the application that will be remitted to the Division of Vehicles for processing, please make sure that you are using the latest form available which is TR DL 302 with a revision date of 06-03. This form is available on our web site WWW.KSREVENUE.ORG/.

All vehicle identification numbers newer than 1981 have 17 digits. Please make sure that the vehicle identification number has at least 17 digits before accepting the application if the vehicle is newer than 1981. Please ensure the vehicle identification number entered onto the system matches the form supplied by the applicant.

Make sure that the application has been signed, it is readable and the requesters phone number is on the application. Many times we have to get hold of the applicant for additional information and the process is speeded up when they can be reached using the telephone.

When making application for a REPO title, please do not accept the title application if the verification information is missing or incomplete. Please check the WIP for residing records. If you are able to provide the complete verification for the customer, you may go ahead with the REPO application and include the verification documentation within the paperwork. If you are unable to provide the verification, please give the customer the paperwork for the REPO, deny the application and relate to the customer you will have to send the request and money into the Titles and Registration Bureau for completion of the verification.

Before processing the verification for your customer, please research the WIP file to determine if there are any records residing on the file. If a title, 30 day permit or NSI (notice of security interest SIZZZZ) record is residing on the WIP file do not process the request. Send the request and money in with your daily report for the Titles and Registrations Bureau to complete.

We are in the process of identifying possible system enhancements that will make it possible for you to provide more verification requests than you are currently able to do such as the WIP file accessibility.

If you do not find a record on the WIP or current master file, please proceed with collection of fees on a verification not provided receipt record. The Titles and Registrations Bureau will complete the request for verification.

Please do not send copies of the verification applications with title applications in your reports. The verifications are to be sorted and placed on the top of your vehicle report. We only need the verifications that are to be researched and sent to the customer by the Titles and Registrations Bureau. If you provide the verification, we do not need the copy or original application. Thanks for your continued support and assistance. It is sincerely appreciated.
