Library Requests

$1,377.00 in total expenses approved, including the following:

-  $295 for Kim Butler’s request for Victorian Valentines.

-  $1,082 for Margie Walker’s requests for Genealogy Day ($300.00 the Irish Volunteer, $150.00 Prosopography, $232.00 Town Meeting) and Teen Programs including Yu Gi Oh, Anime, Cookbook Club, etc. ($400.00).

Library Director’s Report to the Friends: (Erin’s January 2016 Report)

Highlights include:

-  Children’s Room Page Mara has left for another job. Clare is working on a replacement.

-  A table, which had been bolted to the floor for many years, was removed from the boiler room by the DPW.

-  The library is pleased with the quality of the snow removal service provided by the new outsourced vendor.

-  The Library was closed on December 24th, 25th, and 26th in observance of Christmas Eve, Christmas Day, and Christmas holiday respectively.

-  The Library closed early (4:00 PM) on December 29th due to ice and snow conditions.

-  The Annual Cookie Walk was successful and both Greens Workshop sessions were completely full.

-  The Library Director will be departing for maternity leave shortly. Kim Butler will attend friends meetings and prepare requests in her place.

Treasurer’s Report: (document dated December 01, 2015 – December 31, 2015)

Janet presented the Treasurer’s Report, highlights included:

-  Provident Bank balance 12/31 = $2715.30

-  Newburyport 5 Savings Bank balance 12/31 = $8,409.41

-  Earmarked $3,560.21 from closed (additional) Newburyport 5 Saving Bank for expenses to be determined

-  Earmarked $995.00 for: Children’s Room ($275.00), Children’s programming ($220.00), genealogy book ($50.00)

-  Appropriated $1,100.00 for Holiday Program

Secretary’s Report: (document dated December 7, 2015)

Minutes from the December meeting were approved.

Book Shop Report: (document dated January 4, 2015)

Chris Conant presented the Book Shop Report, highlights included:

-  October Book Shop sales were $905.00

-  Special Holiday Sale proceeds were $340.00

Membership Report: (document dated December 2015)

Kate Currie presented the Membership Report, highlights included:

-  The Google database contains 188 contacts.

-  There was 1 renewal and 0 new memberships received in December.

Marketing Report:

The marketing Report was not presented this month

501(c)(3):

Janet spoke with the IRS and has confirmed that we are already classified as a 501(c)(3) non-profit. They will be sending us a letter documenting this, which Janet will keep on file.

Friends Logo:

Erica is working with the designer to determine if we can obtain copies of the logo in any other formats.

Erin has spoken with the Library’s logo designer and confirmed there are no copyright issues with our use of the logo. Erin will clear our use of the new logo with the trustees at the next meeting.

Friends Page:

Erica is working on updating content.

Fuller Memorial:

Thank you notes have been sent to Mrs. Fuller and the donors. The books are on display.

New Business

Cookie Walk:

The Library Director has requested that the planning and execution of the Annual Cookie Walk be taken over by the Friends in the future. The board agreed that this task belongs to the Friends and have agreed to take it over for 2016 and forward.

Goal Planning for 2016:

Nicole and Pam have requested that the Friends begin thinking about goals for 2016 and come to the February meeting prepared to discuss ideas. The Friends discussed topics including May Membership month events, hosting an annual meeting, timelines for scheduling member reminders, and accepting electronic payments.

Members who sign up late in the year:

Pam will check membership paperwork to see if there was a grace period in place to allow Friends who join late in the year to retain their membership without paying again.

Bookstore Project:

Barbara has put together a black history month reference binder for possible display in the Bookstore. Pam will present the binder to the Library Director for approval before it is displayed.
