1. Stallholders. Parade and Stage Participants must agree to comply with any reasonable request by the organisers or other person authorised by the organisers.

2.Stallholders, Stage and Parade Participants agree that any photos taken on the day of the event by the official event photographer may be used for promotional purposes by the event organizers.

3. All Stallholders, Stage and Parade Participants application forms must be received by COB Friday 10 March, 2017.

4. The WREP&F Committee reserves the right to allocate and restrict sites. The WREP&FCommittee’s decision on stall selection and location is final.

5. The Stallholders will supply evidence of insurance, as follows: Public Liability Insurance with a minimum of Twenty million dollars ($20,000,000). Stallholders without this insurance will be unable to participate.

6. The Stallholders, Stage and Parade Participants hereby indemnify Council and West Ryde Easter Parade & Fair in respect of any claims for injury, loss or damage by any third party arising from the operations of the stallholder, stage or parade participant during the activities subject of this agreement.

7.The Stallholders, Stage and Parade Participants will be liable for any damage to City of Ryde property or City of Ryde Contractors.

8. No weapons, toy guns, swords, knives, silly string, burgers, throw downs, shaving cream or counterfeit goods will be tolerated, Further prosecution may be pursued if found selling counterfeit goods on knives.

9. The stallholder understands and agrees that Council has the right to remove, without refund or recourse, any stallholder who misrepresents him/herself or his/her product.

10. Totalstall space are approximately 3m x 4m

11. Stallholders are not permitted to share, sub lease or assign a site with other exhibitors or any other party.

12. The 2017 West Ryde Easter Parade & Fair will operate between the hours of 9am and 3.30pm.

13.Participants in the Parade are to assemble at 8.30am at Miriam Park, Miriam Road, West Ryde.

14. Stallholders are not permitted to enter the event site with a vehicle other than during the designated unloading and loading times. These times are from 7.00am – 8.30am and after 4.00pm.

15. Only vehicles with an official West Ryde Easter Parade & Fair Car Pass (allocated to you upon success of upon application) will be permitted to enter the event site to set up your stall/activity; however we advise that ALL VEHICLES MUST BE REMOVED from the ground by 8.30am.

16. There will be no parking of vehicles with a stall site for any reasons. No vehicles are to be left onsite and are liable to be booked and fined by Council Rangers outside of these times.

17. Stallholders must not drive faster than 5km/h within the event site. Hazard lights must be on whilst driving on the event site.

18. The stallholder is to confine their operations to within the boundary of the stall area and may not move the stall from the allocated site space.

19. Stallholders are responsible for rubbish around their site. Please clean up around your stall. All stallholders should try to reduce waste, maximize recycling and avoid polluting.

20. Stallholders must take their rubbish with them. It is the responsibility of the stallholder to remove all rubbish and other materials (including waste water and oils), and leave the area clean and tidy at the conclusion of trading. No waste water or oils are to be poured into drains or gutters.

21. Stallholders will recycle their flattened cardboard boxes at the end of the day by placing them at designated recycling stations indicated on the Festival map. Any stallholder found in breach of the Waste Wise Conditions may be fined by Council Compliance Officers.

22. The Festival will proceed regardless of adverse weather conditions. Fees will not be refunded for reasons of weather.

23. Parade Participants are to ensure that they have sufficient parental supervision of marching children and maintain strict control of all parade participants during the march.

24. Clarified of stall payments categories:

a) CommunityGroups: Community is defined as non-profit organisations and schools, charities, churches etc.

b) Commercial: Commercial, political and others is defined as any other organization.

25.Processing of hire fee does not necessarily guarantee a site at the Festival. After all applications are received and considered we will then advise in writing whether or not your application has been accepted.

26. Cancellation Fees:

a) One months notice or more – full refund

b) One week to four weeks – 20% fee

c) Within seven days – 50% fee

d) 24 hours before or on Festival day – no refund

e) Failure to appear at the Festival on the day – no refund

f) Non compliance with City of Ryde requirements and removal from Festival site – no refund

27. Food Stallholders must agree to comply with the Food Handling Guidelines for Temporary Events and the Food Act 2003 (NSW). You will only be permitted to attend if you have a Food Notification Number.

28. All food stalls must sell out of a Food Fete Stall with sneeze guards OR approved fixtures.

29. All stalls are subject to an inspection by Council Health Officers under the Food Safety Act 2003 (NSW). Inspections will be made throughout the day to ensure these regulations are adhered to.
