Board of Directors Meeting Minutes

June 21, 2017

  1. Call to order

Joe Hirliman called to order the regular meeting of the Chautauqua County Youth Hockey Association at 6:31 pm on June 21, 2017 at Northwest Savings Bank Arena’s conference room.

  1. Roll call

Patricia D’Angelo, substitute secretary for the meeting, conducted a roll call. In addition to the herself, the following persons were present: Joe Hirliman, Mary Fales, Craig Hinderleider, Christine Munson, Jacquelyn Conroe, Tonia Brown, Rob Bender, and Jeff Kresge.

  1. Approval of minutes from last meeting

The reading of the minutes from the last meeting was deferred until the regular secretary returns.

  1. President’s Report – Joe Hirliman

a)  WNY meeting discussed upcoming rule changes, which include: not icing the puck when short-handed from Bantam down, all face-offs at the nearest dot, coaches can change at any time (not frozen), state tournaments will have 8 teams max (2 from each section), and more. Joe to send out an email of the rules that apply to our teams.

b)  Next year, the annual meeting will be in Buffalo.

c)  MOHL Meetings will be September 30th (for 18u, 16u, and 14u) and October 7th (for 12u and 10u). Both will be at McGruder’s on Broadway in Depew.

d)  Coaching clinics not announced yet.

e)  Saturday, October 7th is the Referee Clinic.

f)  Mite Jamboree coordinator position is open (for WNY).

g)  The scheduling meeting for Squirts, Peewees, and Bantams is scheduled for September 9th at 9am at Classic Five on Niagara Falls Boulevard.

h)  The scheduling meeting for 18u and 16u is August 2nd at 7pm at Millenium Hotel.

i)  July meeting for WNY rough draft of team and setups should be ready.

  1. VP Travel Report – Ted Farnham

Report deferred until the VP of travel returns.

  1. House Coordinator Report – Carl Olson

Report deferred until the House Coordinator returns. (House league and beginners start in November.)

  1. Treasurer Report – Christine Munson

a)  Mounting a box on the wall at the rink for payments to be deposited by our bulletin board.

b)  The financial reports were reviewed in detail including accounts receivable.

c)  Not much financial activity due to the off season.

d)  Costs for beginner program and house were discussed. Fundraising is necessary to help fund the programs. Need to have a fundraiser that is more geared toward all players, including beginners. Discussed $5 tickets for cash prizes.

  1. Registrar’s Report – Mary Fales

a)  We will have the banner on 3rd Street again for sign-ups - $100

b)  PG Magazine advertising options were discussed. (Voting deferred)

  1. ACE Report – Henry Tomassi

a)  Report given by upcoming ACE Coordinator, Rob Bender.

b)  CEP, Screenings, and SafeSport is required before coaches go on the ice.

c)  SafeSport is good for 2 seasons, not 2 years.

  1. Ice Coordinator – Stephanie DePonceau

Report deferred until the Ice Coordinator returns. (July 11th Midget practices start.)

  1. Tournament Director’s Report – Christina Olson

Report deferred until the Tournament Director returns.

  1. New/Other business

Craig Hinderleider spoke on behalf of the ice arena.

·  He has been working with Stephanie DePonceau to secure practice and game ice for our travel teams.

·  New lights are up on Rink B.

·  They are hiring a Director of Programming and looking into a possible addition to the building.

·  The digital board on the outside of the rink can be used to help advertise CCYHA events/info.

  1. Adjournment

Joe Hirliman adjourned the meeting at 8:41 pm.

Append to meeting minutes:

On Saturday, June 24, 2017, an email motion was made by Christine Munson regarding the following:

1.  The prizes for the $5 fundraiser tickets that were proposed in the monthly meeting (as mentioned in the minutes above). The proposal was for a 1st prize of $1500, 2nd prize of $1000, 3rd prize of $750, 4th prize of $500, 5th prize of $250, 6th-10th prizes of $100 each, and 11th-15th prizes of $25 each.

2.  Having a second round of $5 tickets around the time of the Mid-Winter Classic.

3.  Beginner fees: $100 fee, $100 (up front) fundraiser, and $100 equipment deposit.

4.  ADM/Mite fees of $375, $100 (up front) fundraiser, with a $200 deposit at the time of sign up and the remaining fees due by October.

The motion was seconded by Christina Olson. The following voted in favor of the motion: Mary Fales, Bud Tomassi, Rob Bender, Jacquelyn Conroe, Ted Farnham, Patty D’Angelo, Danielle Bergman, and Christine Munson. The motion was carried.
