Food Pantry Manager

Summary: Under the overall direction of the UCM Deputy Executive Director, with immediate supervision provided by the Director of Social Services, the Food Pantry Manager will be responsible for the following tasks:

Essential Duties and Responsibilities:

  • Handle and oversee all food pantry related activities that include purchase, donations, distribution and storage of food items, as well as management of personnel involved in these activities.
  • Maintain the pantry ready for service in days and hours approved by UCM; stocked up with adequate food,clean and served by staffand volunteers prepared to do it.
  • Maintain food storage facilities (freezers, storage room and area) clean, organized and up to standardsset up by USDA.
  • Maintain, supervise, and monitor unit budget relating to his/her responsibility. Assist Social Services Director with the development of the annual budget based on current needs and past expenditures.
  • Comply with all UCM and Food Pantry Internal Controls requirements, including established operating procedures and timely, factual record keeping and reporting.
  • Report in timely manner expenses, and return in-cash donations to UCM Financial Dept.(keeping receipts for your personal records).
  • Deliver to UCM Dept. of Development all donation receipts, and inform about special donations or benefitevents to ensure correct and immediate response to gifts to UCM.
  • Organize and coordinate: monthly Commodities (USDA) food and CAFB veggies distribution; SHAREProgram food purchase and distribution; Sharing Sundays food collection; weekly assistance to seniors atMt. Vernon House;pick up of food donations and food purchases; weekly food deliveries to home-bonddisabled and elderly.
  • Instruct and supervise volunteers and UCM staff assigned to food pantry activities. Identify their training needs and coach them for more efficient service delivery.Put special attention on work-safety standards,and good food-management techniques. Report their work-hours and performance to UCM VolunteersCoordinator.

Administrative Duties:

  • Provide supervision of each staff member assigned to his/her unit on a regular basis. Schedule meetings and keep records of supervisory discussions.
  • Supervise and compile written reports as required by funding sources.
  • Conduct those staff appraisals for which he/she has responsibility according to schedules published by the Human Resources Manager. Prepare Personnel Action Forms as required to reflect exchange in status of supervised personnel and to document appraisals. Prepare proper interim supervisory action forms to reflect problem areas personnel should work to improve or which may jeopardize continued employment.
  • Keep receptionist and supervised staff informed of whereabouts throughout the day.
  • Adhere to UCM Personnel Policies and Procedures, enforce same with supervised staff and help maintain the UCM Mission and Vision as written in the Personnel Manual.
  • Attend All Staff meetings, and SSU monthly meetings.

Qualifications/Experience:

  • Bachelor's degree or equivalent work experience in a related field must and 2 years experience in social work or a related field.
  • Demonstrated skills in supervision.
  • Bi-lingual with good written and oral English skills.
  • Fluency in Spanish is preferred..
  • Familiar and sympathetic regarding cultural mores.
  • Be dependable and able to work flexible hours which many include evening and weekend hours.
  • Demonstrate adequate information and skills in food management techniques; obtain or have Food Handling certificate.
  • Demonstrate good organizational skills, oral and written communication skills.
  • Able to meet U.S. Department of Justice requirements for Employment Eligibility Verification.
  • Physical expectations: have physical stamina to fulfill all work requirements during assigned working hours; able to lift 40 lbs. on a regular basis.
  • Valid driver's license with acceptable driving record and transportation available.
  • Available one Sunday per month for receiving of donations from churches and some Saturdays to work with special collections of food.
  • Must have a clear Virginia Criminal History for not less than five years with respect to crime related to property or money convictions.
