HR150: Employee Service Report

Description

HR150 is a basic report of employee service time information.

Report Usage

HR150 can be used to provide a simple listing of applicable service dates and can be expanded by adding additional columns from the Navigation Block. In addition, the following fields are available from the Key Figures filter in the Navigation Block:

·  FTE%

·  Annual Salary

·  Pay Rate

·  Pay Rate w/o LON/INC

·  Original Hire Years (calculation)

·  Cont Srvc Years (calculation)

·  Rec Hire Years (calculation)

·  Recogn Years (calculation)

·  Longevity Years (calculation)

Default View of Report

Default Variables Entry Screen Exclusions

·  Employees who are withdrawn are initially filtered out of this report on the Variables Entry screen. Remove the “0” from Employee Status to include Withdrawn employees in a report.

·  Retirees ARE NOT Withdrawn; they are Inactive. Emeritus employees remain assigned to their departmental ORG unit. Their Employee Group 8 has been excluded on the Variables Entry screen but this exclusion can be removed if the retirees need to be included.

·  Employee Group 9 Non Employees are also initially excluded via the Variables Entry screen.

Tips

·  Additional information fields are available from the Navigation Block. More employee data can be added as attributes from the Properties of the employee column.

·  No dates are currently available to reflect how long an employee has been in a particular position or field of work.

·  Definitions:

Original Hire Date – Date of first hire at UC, regardless of later separations and positions held.

Recent Hire Date – Date of the most recent employment at UC

Continuous Service Date – Most recent hire date by a state institution with no break in service between the other Ohio state service and employment at UC

o  Longevity Date – Calculated date to reflect the amount of time an employee has spent in state service which takes into account any breaks in service.

Recognition Date – Calculated date to reflect the amount of time an employee has spent as a UC employee if in an employee grouping eligible for service recognition awards. Initially the date is the employee’s Recent Hire Date. HR will adjust that date if an employee has previously worked for UC AND requests a service time audit to recalculate his/her recognition date.

·  The columns available from the Key Figures Filter should only be added if Wage Type and Pay End Date are also added to the report.

Go To Functions Available (from the right click menu)

·  PA20-Display HR Master Data: Use the "Go To" functionality to access PA20 in R/3 for the selected employee. (Right click on the employee and choose this Go to.)

·  UCID must be an active column in the report for the Go To Cost Distribution function to work.

HR150 Relationship to Other Reports

HR150 reports only CURRENT basic employee information, even if a person was in more than one position during a calendar year.

Since BW data is as of the previous day's business, this report will not include any activity that has posted today in R/3.

Additional Information:

N1 – Spouse/Dependent is a group of spouses and dependents of deceased retirees that were converted from HRMS in order to manage their benefits

N3 – Special is a group of employees who are not paid by UC. Normally they are Visiting Faculty who are paid by another institution and not UC.

N4 – Corporate is a group of contractors and employees of the College of Medicine’s Private Practices who need access to UC Flex plus the Clinical Instructors at University Hospital

N5 – Other is a group of bad records that couldn’t be deleted from R/3 and withdrawn employees

O1 – Out of Area is a group of Post Docs who work outside the local area
