Flips Booster Club Meeting

Present: Donya Jenkins, Anya Mathews, Amanda Osburn, Danielle Carlton, Anne Carter-Hargrove, Donna McGuire, Sharon Bonnett, Katie Melkonian, Lynn Gardner, Sabrina Reeves, Martha Schwalbe, Heather Dean
Treasurer’s Report – Heather presented the Treasurer’s report. There is $12, 864 in the Booster Club account and $7,568 in the Parent’s Account. Donya moved to accept the report from this month and last month. Amanda seconded the motion and it passed unanimously.
Approval of Minutes – Martha moved to accept the minutes as presented from this month and last month. Danielle seconded the motion and it passed unanimously.
Approval of Post Season Expenses – After lengthy discussion, Donya moved that the following postseason expenses be paid from the Booster Club:
-All coaches’ expenses for Level 7, Xcel, Level 8,9,10 Regionals (approx. $8500)
-All coaches’ expenses for Level 9 Westerns (approx. $2000)
-All coaches’ expenses for Level 10 Nationals (approx. $1200)
-A $200 travel credit for each qualifier and first alternate to Westerns ($800)
-A $400 travel credit for each qualifier and first alternate to Nationals. ($1200)
These payments are in addition to the expenses already approved, which include state entry fees ($100 per gymnast) and regional entry fees ($4070) for all gymnasts and banquet admission ($2210) for each gymnast.
Heather seconded the motion, and it passed unanimously. It was noted that all gymnasts from Level 7 on, including Xcel, are receiving funding of over $650 which would have otherwise been charged to their booster club accounts.
Banquet - there was discussion of the end of the year banquet, scheduled for May 19th. It was noted that the gymnasts who have just joined the team are welcome to attend the banquet. Katie presented an update and tentative schedule, which was reviewed. Danielle is handling invitations and tickets as well as beverages. Heather is handling coaches’ gifts. Anya will provide center pieces. Martha will coordinate desserts – Tiffany’s sister is donating a cake. Sabrina and Chris are handling the Senior slide show and the gymast slide show – Katie will send out an email requesting photos from each gymnast to be used in the slide show. Sabrina will provide a list of current gymnasts for trophies. Donya presented a sample trophy to be engraved with each gymnast’s name. Martha moved that the Booster Club approve $360 to cover the trophies. Anya seconded the motion and it passed unanimously.
There was discussion about photos – Anne and Amanda will be providing team photos and mattes for each gymnast as well as creating Senior Banners. The banners for the current seniors will be displayed at the banquet. Banners for the upcoming seniors will also be created to be displayed at the gym beginning in the fall. Costs for these items will be covered by the gymnast photo fundraiser on May 1st and 2nd.
Board of Directors’ Elections – the election of Board Members will take place at the General Membership meeting which will take place at the banquet. Anne will e-mail a request for nominations and then a ballot for anyone who will not be attending the banquet. Danielle moved that Lynn be nominated to the position of fundraising. Martha moved that Donna McGuire and Sharon Bonnet be nominated to positions as Members At Large. These names will be placed on the ballot along with any other nominations received.
Fundraising – there was a discussion about fundraising activities. Anya will coordinate another Savers’ clothing drive. Lynn will look at the fundraiser at Applebees and the GreenTree carwash. Donya noted that she would like to see the proceeds from the carwash cover USAG fees for all gymnasts. Cheryl will look at the possibility of another Chipotle fundraiser.
Next Meeting – The next meeting of the Booster Club will be on Saturday, May 13th at 9:15 at the gym.
