Flagstaff Rotary Club Foundation Annual Report For Year Ending June 30, 2011

In accordance with Article VI, Section 4 of the By-Laws of the Flagstaff Rotary Club Foundation, Inc. an annual report shall be submitted to the membership within 90 days of the close of the corporation’s fiscal year.

On Jan.18th, 2011 the Trustees met for the first meeting of the year and elected or reaffirmed the following positions for this year:

Tom Mackin, Chair, term to 2012

Hal Stern, term to 2012

Craig Roberts, Treasurer, term to 2011

James Dorman, Trustee, term to 2013

Robert Bruenig, Board Liaison Trustee, term to 2011

Following the elections the Trustees discussed the upcoming Hunger Banquet proposed by FRC President Elect Hilton Harris and the need for publicity and advertising. Hilton suggested a FRCF website with Pay pal capability and indicated he had a contact that would get everything in place at a discounted rate. This was discussed and determined that the expense would be a FRC expense. We also discussed the Golf Event and agreed that it would occur once again this year. Tom had scheduled the date for June 4th with the CCC pro.

At the next scheduled meetingFeb. 15th, 2011 the agenda included additional discussions regarding the golf event and a lack of support from the general club membership. Trustee Jim Dorman indicated he would address this shortcoming with the FRC during its regular meeting and he did so, calling for more general support and reminding the members that this is a major fundraiser for providing grants in the community. The next meeting was held on Mar. 22 2011 at which time further discussion was held about the golf event as well as an overview of the very successful Hunger Banquet that was held on March 5th. A decision was made to address the FRC following this meeting and indicate to the membership that the golf event will be cancelled and no grants provided if they do not provide a better response regarding the golf event. This was done at the regular club meeting and the response was very good with 14 sponsors signed up as well as two Chairs for the golf event, Jeff Ross and Andy Phillips. In addition, numerous club members volunteered to head up the various tasks including publicity, player and donation solicitation, arranging for meals and coordination with the golf course. Other actions involved setting the dates for the 2011 Community Grant cycle, opening on April 18th and closing on May 23rd, all done via email.

This year,by the May 23rd, 2011 deadline, thirteengrant applications were received requesting nearly $16,050 in funds. Electronic copies of the applications were provided to each Trustee for review prior to the scheduled meeting on May 31stwhich was conducted to evaluate all grant applications and select those grant applications for funding. In making the selections the Trustees were guided by the long standing goal of the Flagstaff Rotary Club to make funding available to assist charitable, educational, scientific, and youth and family oriented organizations within the community. The thirteengrant applicants are listed as an attachment to this report. Three grant requests from local groups that benefited from the Hunger Banquet were considered ineligible for this grant cycle. The remaining requests were stack ranked by all Trustees present and once all funds are available, groups will be notified of their allocation. Total funding for the Community Grants is estimated at approximately $9400 and distribution of funds will probably take place in August.

In addition to the grant funding program, college academic scholarships of $1000 each were awarded to a deserving high school senior from FlagstaffHigh School, and CoconinoHigh School and a deserving student currently enrolled at CoconinoCommunity College.

As of June 30, 2010 the Treasurer reports the Foundation’s Fund Balance at $72,164.03, with an Endowment Account balance with the Arizona Community Foundation at $50,152.44, $4000 payable to the Endowment fund pending and the CD at Alliance Bank at $10,422.21 for a total Endowment balance of $64,564.85, almost a 20% increase over last years endowment balance. The Foundation’s Balance Sheet and Income Statement are shown as attachment to this report.

As the Foundation’s Chair for fiscal year 2011 I want to extend my appreciation to my fellow Trustees for their generous support and participation and I want to thank the Flagstaff Rotary Club membership for allowing me to serve in this capacity this past year.
