Academic Recognition Banquet for First Year Students

2004 Advisor Checklist

_____Attend and Participate in Winter Training (1/5-7/05

_____Sign the Meal Request Sheet (1/5-7/05)

_____Retrieve from an e-mail the list of student invites for your Building (1/5-7/05)

_____Review the list of students to identify misspelled names, missing students, inappropriate students. (1/7/05)

_____Notified Mary of any students meeting the criteria listed above (12:00 p.m., 1/10/05)

_____Pick up student invitations in Warfield on 1/11/05

_____Plan a meeting time and location for your building’s ARB attendees. (Plan on leaving your building by 4:30 p.m. to be at Shriver by 4:45 p.m.

Note: If you are in a building with more than one Advisor, please arrange to have one Advisor meet students and walk them over to Shriver. The other Advisor should arrive at Shriver MPR by 4:30 p.m. to help Mary seat faculty and staff.

_____Make sure that that a student staff member (hall assistant or SSM on-duty) hand delivers the invitations to the appropriate individuals. All invitations need to be delivered by 5:00 p.m. 1/13/05. NOTE: This is a good time to celebrate student achievement, explain banquet, hall meeting arrangements, and dress.

_____Place a large envelope outside your office for students to return RSVP cards (ONE per building). Mark the envelope appropriately. (1/11/05)

_____Check the envelope on a daily basis, use your student list of ARB invitees to keep track of RSVPs, notify Mary of confirmation on a daily basis. This can be done in one of the following ways:

  1. Place complete RSVP cards in Mary’s mailbox
  2. E-mail Mary the following information: student’s name, banner ID # and meal option.

_____Contact the student on your ARB invitee list who have not RSVP’ed. (1/19/05) Ask them if they would like to attend? If yes, write down their name, banner ID and meal option. Forward this information to the Coordinator of Academic Advising for ORLNSP by 1/21/05.

_____1/24 Pick up Certificate of Achievements and have your building’s advisors sign the appropriate certificates.

_____Return signed certificates to Mary by 5:00 p.m. 1/26/05

_____Contact students who will be attending the banquet to let them know about dress (business casual), seating arrangements, and hall meeting time/location by 1/26/05. You might want to invite faculty/staff involved in your LLC to join you (example: Honors – Tappan). If you inviteF/S members make sure they are on the Coordinator of Academic Advising’s F/S invitee list..

_____Pick up nametags and seating assignments from your mailbox. (1/26/05)

_____Meet the students from your building who will be attending the banquet between 4:15 – 4:30 p.m., hand them their nametags and seating assignments, leave the building by 4:30 p.m. to make sure you are at Shriver MPR by 4:45 p.m., once you arrive to the banquet help seat students, staff and faculty.

_____Banquet Expectations:

*Be an active participant and listener; interact with student, faculty and staff

*Be professional, supportive and celebratory

*Wear your nametag

*Use the banquet to make connections…program ideas and presenters can come from conversation

*Business casual dress

*Stay for the entire banquet

*Help the academic divisional dean representatives pass out certificates at end of building.

_____Pass out certificates to those students unable to attend the banquet (2/4/04)

Things to know:

*Student who RSVP as attending the banquet will not be able to use their meal plans elsewhere that night. Meal cards will be swiped 1/23/04. The invitation explains this.
