SALARY: UP TO $21.40 PER HOUR

STATUS: REGULAR FULL- TIME

PROBATIONARY

PERIOD:SIXTY (60) CALENDAR DAYS FROM INITIAL APPOINTMENT

MAJOR DUTIES:

  • Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
  • Conserves executive’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
  • Maintains executive’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
  • Maintains customer confidence and protects operations by keeping information confidential.
  • Secures information by completing data base backups.
  • Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions.
  • Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.
  • Contributes to team effort by accomplishing related results as needed.
  • Maintains constant communication with internal staff on updates or schedule changes.
  • Flexibility on traveling and work hours.
  • Processes incoming/outgoing correspondence and mail for Chief Executive Officer.
  • Maintains filing system and permanent files including minutes of the Executive Board meetings for AAAHC review.
  • Keeps a “tickler file” for follow up deadlines and correspondence when due.
  • Other duties assigned.

MINIMUM QUALIFICATIONS

  • Possess a 2-year degree or higher
  • At least 3 years experience providing support at a high level
  • Proficient computer skills and in-depth knowledge of relevant software.
  • Knowledge of standard office administrative practices and procedures.
  • Writing skills, reporting skills, scheduling, Microsoft Office skills, Organization, Time Management, Presentation Skills, Travel logistics, verbal communication, up-to-date with

Up-to-date with advancements in office gadgets and applications, ability to multitask and

Prioritize daily workload.

  • Cultural Awareness, Drug and Alcohol free.

Desired Qualifications:

●Associate of Science Degree in Secretarial Science/Computer Science + 5 years office

experience

● Indian preference, enrolled member of the Chippewa Cree Tribe preferred.

●Possess a CPR card for AAAHC purposes.

●Must have a current valid Montana Driver’s License

Other Selection Criteria:

  • Qualified Chippewa Cree members who are honorably discharged veterans will be given preference. DD214 required.
  • Chippewa Cree Tribal Preference.
  • Will be subject to random drug testing – classified as a “critical” employee.
  • Anyone who has violated the Chippewa Cree Tribal I-99 Ordinance must comply with the requirements [required proof shown for followup].

Knowledge, Skills and Abilities – KSA’s [Cite examples and education]:

1. Assures all meeting minutes are complete and concise within five (5) working days after the meetings.

2. Ability to retrieve, prepare, and edit documents for the Office of Executive Director with little or no errors.

3. Show skills in developing templates and computerizing reports, personnel documents for Administrative staff (which includes personnel and self-governance).

4. Ability to conduct in-service computer software training to the organization.

5. Ability to promote a courteous and efficient image to the public and co-workers, etc.

6. Responsible for filing and retrieving documents for the Chief Executive Officer.

7. Responsible for distributing mail and correspondence for the Chief Executive Officer.

8. Responsible for minutes for all meetings and distributing minutes to proper personnel within five (5) working days.

9. Responsible for setting up all meetings and assures that refreshments, materials, supplies, rooms, etc., are ordered before the meeting proceeds.
