POSITION/TITLE: Church Administrator/Director of Church Operations

Remuneration: 1,500/month

PERSONAL QUALIFICATIONS: Proven work experience and knowledge of budget preparation/

management, human resources management, strategic planning, financial reports, facility/operations management. Bachelor’s degree in business or related field and/or relevant work experience.

REPORTS TO:Lead Pastor

WORKS WITH: Pastoral staff, support staff and volunteer staff.

SUPERVISES: Youth Pastor, Children’s Ministry Director, Music Worship, Office Coordinator, and Volunteer Staff.

POSITION PROFILE: Works under the direction of the lead pastor to facilitate the vision, give leadership

to support staff, and manage the administrative and operational functions of the church.

WORKING SCHEDULE: Part-time (20-30 hrs. per week) exempt, administrative position scheduled to meet the needs of MVCC operations.

MINISTRY RESPONSIBILITIES:

Personnel Management

  1. Meet on a regular basis with the paid staff membersto clarify vision, goalsand strategy, and assist staff in the daily operations of the church.
  2. Hire, supervise and evaluate the work of the staff members, meeting regularly with and providing leadership to themin areas of individual goal setting and accountability.
  3. Build solid staff relations by:
  4. Developing written personnel policies and procedures.
  5. Developing job descriptions.
  6. Participating in hiring of departmental or support staff members.
  7. Evaluating staffing structure and proposing adjustments.
  8. Conductingannual performance reviews and reviewing the compensation packages of all staff members who report to the Church Administrator.
  1. Participate in the vision casting and planning process for the church.
  1. Work closely with the Lead Pastor and committees in carrying out the mission of the church.
  2. Handle legal issues such as contracts, loans, leases in consultation with the church’s legal counsel. Ensure that legal documents are safely stored.
  3. Provide staff with leadership, support, encouragement and development.
  4. Develop and administer the personnel policies and procedures of the church.
  5. Maintain and update personnel records.
  6. Periodically review wage and salary structures, personnel practices and benefits, and make recommendations to the Lead Pastor and Pastor Care Committee.
  7. Assure the church’s compliance with federal and state labor laws.
  8. Assist paid staff and volunteers in setting annual goals and objectives.
  9. Coordinate and oversee health and safety policies.

Financial Management

  1. Facilitate and oversee budget development and implementation in coordination with the Lead Pastor, Paid Staff, and Finance Committee. Implement budget after approval by the Church Council.
  2. Insure church compliance in all areas of liability/restitution through adequate insurance coverage and safety procedures.
  3. Provide regular/accurate financial information to the Lead Pastor and Finance Committee.
  4. Direct and oversee the employee benefit plans.
  5. Oversee insurance plans and policies. Ensure that safety standards are developed, risk management is implemented, and staff is trained in safety procedures.
  6. Responsible to hold paid staff and volunteers accountable for their budget management and spending.
  7. Oversee the work of the paid staff and volunteer staff in the receipt, deposit and disbursement of all church funds.
  8. Oversee the preparation of monthly financial reports to Lead Pastor and the Finance Committee.
  9. Maintain a proper cash flow control to meet fiscal obligations.
  10. Obtain an annual audit or review of church’s financial statements.
  11. Oversees the administering of the payroll for church employees.
  12. Assure all tax reports are promptly paid and timely filed.
  13. Direct the process for capital campaigns.

Property Development and Management

  1. Direct the church’s property and facility program by supervising paid staff, volunteer staff, and outside contractors.
  2. Develop and administer policies and procedures concerning the use of all church properties and facilities.
  3. Assist architects, contractors and others in evaluation, planning, building, remodeling and equipping church building.
  4. Periodically evaluate the insurance needs of the church and report to the Lead Pastor and Church Council.
  5. Oversee the security of the church property and buildings.
  6. Oversee the development and maintenance of an inventory of church property and equipment.

General

  1. Log-in regularly to church software to search/evaluate database, develop groups for volunteers/council members, and utilize email communication and scheduling with group members. Will evaluate monthly attendance from all ministry staff.
  2. Attend all Church Council meetings in an advisory capacity. Be available for Pastor Care Committee meetings as requested.
  3. Serve as a member of the Leadership Team.
  4. Support and complete with excellence all other assigned duties.

Church Organizational Responsibilities

  1. Engages in regular conversation with Lead Pastor.
  2. Fully support and live out MVCC mission, vision and value statements.
  3. Deal helpfully and constructively with all other staff members, lay leaders and volunteers within the MVCC congregational body.
  4. Represent MVCC in a Christ like manner in our community.
