MedChex Download Requirements

Facility Upload File Format & Instructions

MedChex is a very flexible program that can be used to analyze many aspects of your Charge Description Master. The facility upload file shall be a “quote” delimited ASCII text file or an Excel spreadsheet following the standard specified in the table below.

Data to be included:

  1. No duplicate records
  2. Only current “active” charge codes
  3. Prices should include decimal point (i.e. 12.35) no other formatting is required
  4. If a field isn’t applicable to your facility, or no information is present leave the field blank, spaces are not required.
  5. In order for the data to import correctly it’s important that data maintains its proper columns and delimiters, otherwise, we end up with the wrong information in the wrong columns and our data analysis will have errors.

The CPT and HCPCS information is loaded into the same field within the MedChex, if a HCPCS code is present we will load it in place of the CPT code. If no HCPCS code is present we will use the CPT code.

If you are having problems creating files in the above format please contact us at (775) 825-3660 and we will work with you to document the steps required to manipulate the data from your system to our required format.

Please look through the data before you send it to us. Things to look for include data in the wrong fields, truncated data, and extraneous characters in the data.

In most cases, you will want to “Zip” (or compress) the data before you send it to us. If security is an issue, the data may be encrypted with a password. If you would like to send the data via email the address is . Please include your name and phone number should we need to call and discuss the data with you.
