Facilities Meeting
Apologies: none received. In attendance : BH, DB, IE, KP, BL , RB
No previous minutes held.
Planned maintenance
- Fire extinguisher Fire alarms and some alarms all up to date. New certificates in club folder.
- Boiler commissioning paper work to be added to file. Brian to action
A walk around the club house and around the vicinity of the building was conducted to highlight any areas in need of attention.
Defects found:
Bar
General paint/touchup, curtain rings missing.
Ladies W/C
broken cistern, bulbs out 3 x ceiling 2 x mirror. tap broken. Painting needed.
Men’s W/C
Painting needed, radiator rusting, handle missing on window.
Kitchen
Dishwasher blocked, oven handle broken, general deep clean necessary.
Porch Lean - to
Ceiling panel missing, lights out.
Outside area
Chairs to be removed, glass washer to be removed, Helston RFC sign to be fixed, cigarette box over flowing (nb this is following a busy function, may need to be emptied more frequently, general weeds, J. Gilbert memorial over grown, grass near car park needs strimming/ cutting. CCTV out of focus, litter pick around outskirts of carpark.
Container needs welding.
Home team dressing room
Deep clean of toilets needed (stinking) roof tiles to be replaced, pressure wash needed throughout. Handle needed on door.
It has been decided to hold a Maintenance day for works to be carried out, followed by a fun afternoon evening with a BBQ
Date of Maintenance day Saturday August 6th 1000 - 1600hrs approx with evening social.
Actions to be complete on maintenance day:
- Painting in several areas.
- Strimming of grass around the front of the club.
- Gutters to be cleaned/ jet-washed.
- General weeding around the building.
- Dispose of chairs and old dishwasher.
- Radiator in mens W/C to be sanded and painted.
- Memorial to be attended and cleared.
- Deep was home team dressing rooms inc deep clean toilets.
Repairs due to be fixed
- Porch lean-to roof/ceiling panel to be replaced. - Bob to action.
- Ceiling tiles to be ordered - Bondy to action
- 3 lightbulbs outside to be replaced and lights in ladies W/C - Brian to action.

Limited stock now held at club, push for orders to go online.
Kit going forward who to use for future requirements. Agreed to keep match shirt the same.
Staffing
Callum 40 per month approx 9/10 hrs per week.
Vince Wednesday and Thursday plus any extra for functions.

Ian - what is happening with the pitch? Bondy responded, the grass areas have been vertidrained, sand applied, top soil applied, levelled and rolled. First seeds sown.
Barney - Is the management structure book all up to date ready for the meeting with Mike Bratt next week. Bondy replied yes, pending the boiler paper work.
Bondy - Future plans for the club,
- Short term plan to build patio at the rear of the clubhouse. Quotes have been received and total cost estimated at £4000. This can be reduced by taking on some of the jobs ourselves.
- Benches quote £300 each delivered.
- Bondy to draft a breakdown of each price per section, therefore showing what monies can be saved.
- Bondy to research companies for donations of supplies and work force. Mentioned RGB, RNAS Culdrose, Tesco and B & Q.
- Long term plan, to build a players lounge to include the building of two staircases for emergency use.
- Clear brew to clean all lines to cut cost of wastage. This will save the club money by having less wastage overall.
- The shack has now got some equipment inside for use of the first team only (secure lock). Equipment has been donated. The meter reading has been supplied and the bill is £108.
