ONS COMMUNITY LEADERSHIP CONFERENCE CALL

  1. Welcome and Introductory Remarks
  • Darcy Burbage, ONS Communities Advisory Panel, thanked those leaders who could participate in the call.
  • The purpose of the call is to provide an opportunity for leaders to be given an update on progress towards launching the new collaboration platform.
  • Friday, October 14th was the deadline for submission of “seed questions” for the Community sites and migration of information on current VC to new site. Several reminders were emailed to the Community leaders. The final report is: 6 communities have not submitted seed questions or migration of information by the Community leader (Breast Care, Neuro-Oncology, Nurse Practitioner, Spiritual Care, Staff Education, Transcultural Nursing Issues).
  • This call is being recorded and will be posted, along with the notes, on the leader’s Virtual Community page for later access.
  1. Update on Community Implementation Process
  1. Kristin Walsh, Program Manager, Education, has been working with Higher Logic getting the platform ready. The items that have been completed and technical testing will begin for quality assurance:

a)Completed the data integration

b)Completed the Single Sign On capability

c)Migration content and seed questions have been gathered

  1. Training internally has begun, D. Scheuring and K. Walsh have begun training (i.e. where to find resources and setting up the content). D. Scheuring and K. Walsh will attend a program – The 2016 Higher Logic Super Forum in Virginiathis month.
  2. Working with marketing for the look and feel for the site.
  3. IT working the integration – content and technical side.
  4. The initial Beta testers are being finalized.
  5. The ONS office will be closed December 23rd thru January 2ndbut this process is still on track.
  1. Review of Rules & Etiquette/Terms of Use Content/Violation Policy for ONS Community Member

The leaders reviewed the draft of the Rules & Etiquette/Terms of Use Content/Violation Policy for ONS Community Member and made initial revisions.

This will be required to review when someone first logs into the site andperiodic reminders will be

on the site and linking to the ONS Terms of Use as well.

A library and resource areaswill be available -these will have folders available to store information. All users will be able to share their resources on the site (i.e. toolkits, example forms, links to ONS website re: PEP cards, etc.). It would be expected that that information would need to be updated/taken off.

If there is inactivity on the site for a period of 6 months, the community will be sunset and archived. This would be communicated to the membership through dialogue and communication.

The site will begin as one general discussion area. It will be monitored to see what topics the general membership is discussing before dividing into individual topic communities.

  1. Questions

Initial beta testers will be given instructions to walk through the site and will be encouraged to use the site to help identify what works/what doesn’t work to help staff to fine tune the site. Additional testers will be added before the site will go live.

Once it goes live more education and webcasts will be made available to users.

Membership will have the choice of how often they want to receive discussion posting notifications.
