EXPORTING MEDICAL RECORDS FROM Kindred LINK AND UPLOADING THE FILE INTO MAVEN– HOSPICE

Introduction

Most agencies will receive requests for medical records from government agencies or other entities. This can be a time consuming and frustrating task if the record has to be printed, scanned and emailed or uploaded. Exporting medical records from an electronic data base and submitting the document electronically is a much more efficient way to accomplish this task. In addition, and the quality of the medical record that is exported electronically is far superior than a document that is printed, copied, scanned and uploaded.

Importance

Each location must understand the process for exporting records from our software system and uploading them into the vendor software system. The ability of the auditors to read the medical record may factor into the determination of whether or not a claim is paid. If it is not readable, it will be denied for payment. A second advantage to exporting medical records and electronically uploading them is that this process saves time and energy, allowing the agency to work smarter, not harder. Understanding the mechanics of exporting the complete medical record from the software system is a vital part of successfully responding to requests from government agencies or other entities.

The Learner will:

Understand the Steps for Exporting a Medical Record from Kindred Link

·  Understand how to select the items that are needed to be exported and export the record

·  Ensure the print settings are configured properly to prevent print overrun

·  Save the record to a PDF using the correct naming convention

·  Save document attachments to a specified folder

·  Convert the folder containing all the records to a zip folder so that all of the medical record documents can be uploaded together rather than individually

·  Understand the steps for uploading the zip file into MAVEN
