How to Migrate to the TELUS Managed Exchange Servers

1. TELUS System Administrators will provision Managed Exchange for your Organization and send you a Welcome Email.

2. Configure your new Exchange Organization. Login to the Admin Control Panelusing the username and password provided in the Welcome Email and navigate to the following pages:

  • Users > List Users; View your list of users
  • Users > Add Users; Create new user accounts
  • Users> Import Users; import users accounts from a file
  • Hosted Exchange > Distribution Lists; [optional] Create distribution lists
  • Hosted Exchange > Public Folders; [optional] Create Public Folders
  • Hosted Exchange External Contacts; [optional] Create contacts.

3. Modify DNS records of your domain(s).

  • Make changes to the DNS records of your domain. Repoint mail exchanger (MX) record of your domain to the TELUS Managed Exchange servers. The new MX
  • Please contact your DNS server administrator (usually it is your ISP or current web host) and ask them to Repoint the mail exchanger (MX) record of your domain to:
  • yourdomain.com. IN MX 10 mx11.exchange.telus.com
  • yourdomain.com. IN MX10 mx12.exchange.telus.com.
  • yourdomain.com. IN MX20 mx13.exchange.telus.com
  • yourdomain.com. IN MX30 mx14.exchange.telus.com
  • Please refer to WHOIS service to find your DNS server provider/administrator
  • Due to the distributed nature of DNS, it will take several days for the DNS changes to propagate. The time it takes to propagate is usually 2 days, but it can go as high as 7-10. During this propagation time, your mail may be delivered to either the old email server that used to serve your domain(s) or the new Exchange server mailboxes.

4. Export your data to Personal Folder File (.pst). [optional].

  • On the File menu, click Import and Export . If the menu item is not available, hover your pointer over the chevrons at the bottom of the menu and then click Import and Export.
  • Click Export to a file, and then click Next.
  • Select Personal Folder file (.pst), and then click Next.
  • Select the folder you wish to export, and then click Next.
  • In Save exported file as type the name of the file to which you wish the data to be exported.
  • Click Finish.

5. Connect to your new Exchange server.

You can configure Outlook for Hosted Exchange using a setup wizard as described in this section.

To configure your Outlook mail client:

  • Go to the email client setup page in the user control panel at
  • Log in to the user control panel by entering your username and password.
  • On the user control panel home page, in the Hosted Exchange area, click Desktop Outlook Setup. The mail client setup page is displayed.

NOTE:Organization administrators cannot access this page using the auto login feature.

  • Click Download Executable.
  • When the download is complete, run the executable.

The executable configures your Outlook mail client profile and installs the Outlook Autologin application on your computer. You can use the Outlook Autologin application to change the configuration of your Outlook profile any time after the setup is complete. You are not limited to managing email through Outlook, however; you can use other email clients as well.

The executable checks to see if there is an existing profile for your mail client. If no profile is found, the program creates a new profile using defaults. If a profile is found, the program displays a dialog box with the following settings:

  • Profile Name. A default profile name. You can overwrite any existing profile by selecting Existing Profile or you can type a new profile name.
  • Outlook Options. For Outlook, this option is enabled; for previous versions of Outlook, it is disabled. Options include:
  • Local Copy. If checked, Outlook is configured with the Local Copy option enabled.
  • Connect Using HTTP. If checked Outlook is configured to connect using HTTP.

NOTES:

The Outlook Autologin application automatically verifies your Outlook credentials each time you access Outlook.

If you use the shared contacts or shared calendar features of Outlook, you need assign shared permissions to each user manually.

For Outlook 2003/2007 users: When creating or configuring your Outlook profile, you might receive the following message: Do you want to import setting from this files? Click Yes to proceed with the configuration.

6. Import your data to new Exchange server.

  • On the File menu, click Import and Export.
    If the menu item is not available, hover your pointer over the chevrons at the bottom of the menu, and then click Import and Export.
  • Click Import from another program or file, and then click Next.
  • Select Personal Folder File (.pst) , and then click Next.
  • Specify file name you wish to import data from, and then click Next.
  • Select the folder you wish the data to be imported from.
  • Click Finish.

7. Terminate services with former email service provider. After a week or more, when you are confident that the MX DNS record changes have taken effect and all email is arriving in your new Exchange mailbox at TELUS, you can cancel your old email service.
