JOB TITLE: Events Co-ordinator

REPORTING TO: Senior Events Manager

DEPARTMENT: Fundraising

Purpose:

To undertake the administration and co-ordination of events for The Anthony Nolan Events Team, to include but not limited to, all National Running Events, and Overseas Challenges.

  • To develop and implement procedures to ensure the smooth running and efficiency of the national running events
  • To implement strategies for marketing such events to increase participant levels
  • To maximise income generation from running events and achieve agreed objectives, including income and expenditure projections
  • To build relationships with potential and existing supporters, with suppliers and with event organisers, which build the supporter base of Anthony Nolan, and lead to beneficial outcomes for the charity
  • To review and evaluate the performance of events and other fundraising activities and plan, with the Events Manager, future activities accordingly

Responsibilities:

  1. Customer Care
  • To have a thorough overview of the events programme with sufficient knowledge so as to show initiative in dealing with straightforward enquiries from participants (and general enquirers).
  • To respond to all enquiries into the Events Team in a professional manner, ensuring all relevant information is timely and accurately entered, and maintained on The Anthony Nolan database (ALMS) in conjunction with Anthony Nolan procedures and the Data Protection Act.
  • To support event participants with their training and fundraising to ensure they meet the minimum requirements for the event.
  1. National Events and Overseas Challenges
  • Plan, budget and coordinate national and overseas events in order to implement effective recruitment, retention and remittance strategies
  • Coordinating event logistics (organising event materials, transport accommodation etc)
  • To ensure all event applications are processed, screened and fulfilled.
  • To be responsible for event materials stock levels and to ensure they are available for use by participants, staff and supporters, and that they are despatched in a timely fashion.
  • To work with the Events team to ensure all events and publicity linked to Events are adequately supported with materials and/or staff.
  • To work and assist on the development of all running and overseas events, and any new events undertaken by the team.
  • To be responsible for all mailings and supporting the regular programme of communication.
  1. Marketing and Cross-sell
  • Overseeing events marketing, publicity and promotion – signing off proofs, providing case studies for press releases
  • To assist with all press and PR activity surrounding the events.
  • Proactively developing the National Events and Overseas Challenge digital marketing strategy, including social media presence, quarterly e-newsletters and web content
  • Tracking cost-effectiveness of all marketing methods by accurate recording on Anthony Nolan database and post-event analysis
  • To ensure all work undertaken with supporters underpins the objective to create long term committed financial donors to Anthony Nolan
  • To cross-sell a targeted number of other fundraising activities
  • Ensure the key fundraising messages are accurately reflected in communications developed both inside and outside of fundraising
  1. Ambassadorial Role
  • To represent the Charity at events as required.
  • Proactively network with other charity representatives to glean competitor analysis and share best practice.
  1. Other Duties
  • To develop and implement administrative procedures to ensure the smooth running and efficiency of the events team.
  • To supervise oversee the day to day work of temporary Events Assistants or volunteers in order to ensure procedures are carried out.
  • To support all administration needs involved within the Events Team.
  • To work closely with other staff members to avoid duplication of effort and reduce unnecessary workload whilst maximising all opportunities.
  • Sourcing and booking contractors and suppliers
  • Data management – ensuring data is effectively captured and stored in line with Data Protection protocol.
  • To undertake any other activity reasonably requested by the Senior Events Manager and/or other senior Anthony Nolan management

PERSON SPECIFICATION

The following attributes are considered essential for the job:

1. Experience of working within Event Fundraising, or a relevant discipline. preferably with knowledge of National running events/Overseas challenges within the charity sector

2. Excellent administrative skills and able to show a competent level of administration experience

3. An excellent standard of I.T. literacy including Word, Excel and web-based technologies. Experience of using databases is a distinct advantage

4. Ability to work as part of a team

5. Excellent interpersonal and communication skills

6. Previous experience working within a small team

7. Able to work well under pressure, meet deadlines and achieve solutions

8. A commitment to professional standards and able to apply industry best practice to all aspects of the role

9. An enthusiasm for fundraising

CONDITIONS OF EMPLOYMENT

  1. Salary as advertised
  2. 35 hours per week, Monday to Friday with a need for flexibility
