(Fixed Term – 9 Months)

Purpose of the Role

This role has a focus on providing day-to-day management and administration forVISION 2020 (UK) Ltd, including:

  • Managing the business activities ofthe organisation, contributing to its direction and working closely with the Chief Operations Officer, the Board of VISION 2020 (UK) Ltd and the UK Vision Strategy Strategic Advisory Group to deliver VISION 2020 (UK) Ltd strategy and objectives.
  • Developing and maintaining effective business systems and procedures to ensure the smooth running of VISION 2020 (UK) Ltd and other associated organisations.
  • Working with staff of VISION 2020 (UK) Ltd and the UK Vision Strategy teamto ensure co-ordinated and effective use of resources and good communications
  • Working with the staff of member organisations that provide ‘in-kind’ support to VISION 2020 (UK) Ltd in the operational areas of finance and governance, as well as additional areas from time to time.
  • Developing and managing projects as directed to ensure the membership and incometargets of VISION 2020 (UK) Ltd are achieved.

Main Duties and Key Responsibilities

Operational

  1. Plan and deliver day-to-day tasks and activities and ensure that the VISION 2020 (UK) LtdChief Operations Officer is regularly updated, producing reports for Board meetings as requested.
  2. Manage the process by which the VISION 2020 (UK) Ltd Board meetings are recorded and work with the Chief Operations Officer to translate those into actions.
  3. Produce and update an operations manual covering all aspects of the day-to-day tasks and activities of VISION 2020 (UK) Ltd
  4. Maintain accurate and up-to-date lists of Directors and committee members of VISION 2020 (UK) Ltd.
  5. Maintain accurate and up-to-date information on VISION 2020 (UK) Ltd members and potential members and ensure that the contact database is kept up-to-date and co-ordinated with the UK Vision Strategy database.
  6. Contribute to the production of an annual business plan and monitor the implementation of the plan. Report on progress, raising issues of concern to the Chief Operations Officer as soon as identified.
  7. Contribute to the VISION 2020 (UK) Ltdstrategic planning process.
  8. Support the planning and delivery of all events as directed.
  9. Be the first point of contact for correspondence toVISION 2020 (UK) Ltd and respond as appropriate.
  10. Implement, develop and maintain effective paper and electronic filing and archiving systems for VISION 2020 (UK) Ltd.
  11. Support the planning and implementation of communication activities as directed.

Meeting Support

  1. Produce an annual meetings schedule for the Board.
  2. With the Chair and Chief Operations Officer, prepare agendas for the Board and meetings, as directed, ensuring that deadlines for distribution are met.
  3. Draft papers as appropriate for the Board.
  4. Attend meetings and ensure accurate minutes of all Board meetings and ensure that these are promptly produced and distributed as appropriate.
  5. Produce management information and papers for the Board.
  6. Provide support for the Board as necessary.

Governance

  1. Manage the process of election or appointment of Board members and produce and regularly review processes and procedures for elections
  2. Draft standing orders and other governance papers for VISION 2020 (UK) Ltdas directed.
  3. Ensure that efficient and effective procedures are in place to support the governance and development of VISION 2020 (UK) Ltd.

Budgets

  1. Ensure that all expense claims and fees are in line with any standing orders in force at the time.
  2. Ensure adequate management information is maintained to inform budget setting and review.
  3. Contribute to the preparation and management of the budget.
  4. Regularly review expenditure to ensure costs are managed and budget targets achieved.
  5. Oversee the issuing of VISION 2020 (UK) Ltd invoices.
  6. Ensure that VISION 2020 (UK) Ltd invoices received are verified, coded and arrange for payment.

Other

  1. Manage the process for dealing with enquiries and ensure that the appropriate person is informed and responds accordingly.
  2. Carry out from time to time and, as directed, any other reasonable duties as required, in addition to the above that will be both reasonable and within your capabilities.
  3. Ensure that at all times you take care of your health and safety and that of others by complying with health and safety obligations, particularly by reporting promptly any defects, risks or potential hazards.

Person Specification

Skills and Experience

Essential:

  • Educated to degree level or equivalent
  • Experience of managing projects through to effective delivery
  • Knowledge of formal project management processes
  • Experienced in working with Microsoft Office, including Word, EXCEL and databases
  • Experience of developing and maintaining policies and processes to support the effective management of an organisation
  • Ability to work as part of a diverse team with team members based at different locations across the country
  • Experience of supporting Board Directors to fulfil their responsibilities

Desirable

  • Experience of working with Committee structures preferably in not for profit organisations
  • Holder of a recognised qualification in project management

Salary – c£40k

Hours – 35 hours a week
