Procedures

Event Organisation Procedure

ECD have been working with Security and HSU to formalise “The Event Request” procedure.

“The Event Request” procedure has been developed in conjunction with some key stakeholders and it is ECD’s intention to send an all staff and student e-mail to inform potential requestors of the procedurewhich should be followed by those wishing to organise an event as defined within this procedure. An extract is provided below

Event - An extra-curricular activity, curricular activity, fund raising activity, or promotional event, which involves any or all of the following:

  • A large gathering in public places or spaces.
  • Arranging for, marquees, stands, stalls or promotional vehicles to be erected, installed or utilised.
  • Recreational or promotional paraphernalia being utilised in the public areas.
  • The hire of equipment in conjunction with the proposed event.
  • The connection of large numbers of electrical items utilising plugs and sockets.
  • The installation of electrical generators
  • Connection to the university infrastructure
  • The potential to cause damage to buildings, roads, pathways, grass or landscaping.

The ECD Health and Safety Advisor has already carried out three briefing sessions with a selected group of people who are known to organise events. This will be offered more generally if it is felt that this would be beneficial. ECD will work separately with Chris Owens of Aston Business School who requires students to organise events as part of the curriculum.

This procedure is now live

We have completed several briefing sessions and continue to provide further session as the need arises.

We have already authorised or are in the process of authorising approximately 15 event requests that have been made using the new procedure.

Anyone wishing to organise an event should follow the link

Which will give access to the procedure details and various forms which are required during the requesting process.

Postal Room – procedure

We have reviewed the process for recorded deliveries and in order to improve control we have made the following process improvement.

When recorded deliveries are received by the Post Room they will sign to say we have received it on behalf of the University (this is no change to the current procedures), the Post Room will then ask for a signature from the relevant department (if possible the addressee or if not available an appropriate administrator in the department). You may wish to nominate someone in your department responsible for receiving and signing recorded mail – if so please contact Chris Betts or the Post Room direct and they will endeavour to deliver to that person where possible.

This change takes place with immediate effect and some of you may have already been asked to sign for mail.

We appreciate your co-operation.
