eSchoolData Report Card and Progress Report Printing Process
INITIAL SET UP:
1. Check School information to be sure all information is accurate (Principal name, phone, address, etc.) –Distict>Schools
2. Allowable grades defined – System>Grade Reporting >Grades
3. Set up honor rolls – Academic>Honor rolls>Honor Roll
4. Know which grading method you are using for vertical average calculations.
5. Course parameters set up and reviewed – Scheduling>Courses
6. Formulas created at the school level and course level if different. Consult BOCES to do this the first time. ******* Don’t set up in course weights. Call us first.
7. Assessments (regents and SLP exams) attached to appropriate courses by January and June as needed – Scheduling>Courses>Courses >Assessments
8. Comments all entered and reviewed - System>Grade Reporting>Comments
9. Attach appropriate weights if using weighting for advanced courses for Rank and or vertical averages. Scheduling>Courses >Courses>View>Course Weights, course Weight field
PROCESSING REPORT CARDS:
1. Teachers enter grades via Report Card Entry or Gradebook; have them print a verification report from the Report Card Entry screen, sign and turn in
2. When ready to process cards, teacher permissions are now controlled by dates set up in your calendar for access. This prevents the teachers from making further changes to the marking period grades.
3. Calculate marking period totals for vertical averages – Academic>Marking Period Totals. You must click run each time you make grade changes, otherwise you are looking at the last run. If using PCM1 be sure to click that button before the run. This sets grades in the database and should be done before other reports are run.
4. Run grade search reports to find incompletes, grades <65 etc – Academic>Performance>Marking Period Grade Search
5. Run honor rolls – AcademicHonor Rolls>Student Honor RollsRUN (add and exclude exceptions as needed). You must click run each time you make grade changes, otherwise you are looking at the last run
6. Printing Report Cards; (if BOCES is printing your cards you do not need to do this. However it gives you a pre look at the cards).
· Set up report cards options: Reports>Grade Reporting>Report Card>Options. Select options and save. Consult your BOCES representative about the various options.
· Run Cards; Reports>Grade Reporting > Report Card,
· Select grade level (run one grade at a time).
· Select current MP from calendar event drop down.
· Click Final Run this creates three views, Word, an XML view and an XML data file which is used in creating the BOCES custom card. The xml runs are save as a record of what was sent and printed. Or can be used as the report card print. A list of final runs will be stored and can be reproduced if needed. This is very important as these are the report cards the teachers/guidance counselors can view for the current year and subsequent years under the report card tab and xml runs tab. Also if a student leaves, you can always see their report cards in the xml run tab. If you do not run these the record can be lost. Always do a final run.
· This is also where you upload the cards to the parent portal.
· If BOCES is printing your cards, we will create these XML files and use them to produce the style we mail home. You can also print that style by running the XML file through the BOCES report card site.

1. Teachers enter grades via the Progress Report tab; have them print a verification report by clicking the Print button; sign and turn in.
2. Printing 5 Week Progress Reports:
· Reports>Grade Reporting/Progress Report > Options Select printing options and save.
· Reports>Grade Reporting/Progress Report,
· Select grade level (run one grade at a time).
· Click Search to see previous runs.
· Select current Progress report period from calendar event drop down.
· Click Final Run this creates three views, Word, an XML view and an XML data file which is used in creating the BOCES custom Progress Report.
