ANNUAL REPORT FOR THE YEAR 2011 – 2012
Respected President and Honourable Members,
On behalf of the Managing Committee I place before you a brief report of our activities during the year 2011 – 2012. The report covers financial aspects up to 31/03/2012 and administrative aspects up to 31/05/2012.
OBITUARY
The following personalities who had close association with this library expired during the period of this report. They are Sri. P.K.Jayanthan, the member of the managing committee, Sri. M.Madhava Menon (M.M.Menon) the member of the library and Mr.A.S.Sivaprakasam, Proprietor, Sreeram Agencies, who was President of Muthamizh Sangham and was instrumental to start a Tamil Wing in the Library. We mark our respect to the departed souls.
New Facilities:
During the relevant period, the Committee has strived to improve facilities available in the Library and also to add to the facilities. The courtyard of the Library has been renovated in a manner which can be used as an open-air auditorium. We have started using the place for conducting public functions. We are sure that it will soon turn to be a place sought after for functions like book releases and book exhibitions. The civil works connected with Renovation of courtyard (Akshara Muttam) is still in progress.On completion of the said works, public will get better space for reading news papers freely.
A screening hall” has been set up at first floor of Ravi Varma Mandiram where we were having our “Children’s Section”. The hall is having moderate seating capacity of about 60. Thus the Library is now having permanent facility to screen classic films frequently. The first event we conducted in the screening hall presently named as “Ernakulam Public Library Cinema Hall” was a festival of cinemas made on world classic literary works. The Festival was during the first week of February and it was inaugurated by Prof. M.K. Sanoo, on 4th February introducing the work “The Brothers Karamazov”. The cinematic version of the work was followed. Cinematic versions of The Old Man and the Sea of Ernest Hemingway, "Gone with the Wind’ of Margaret Mitchell, Les Miserable’s of Victor Hugo, Hamlet of William Shakespeare were screened on the following days. Before each screening, the literary works based on which the cinemas were made were introduced to the viewers respectively by Ms. Prema Jayakumar, Mr. John Paul, Kum. Indu P.Nampoothiri and Prof. Madhukar Rao. Inspite of lack of wide publicity, the programme attracted public at large especially students. The concluding session of the festival was marked with a class of Prof. Madhukar Rao on Hamlet. Prof. Rao being a veteran teacher retired from Government service thirty years ago after teaching Shakespeare, several of his erstwhile students attended the class with nostalgic feelings. It turned to be a classical class room of English literature, recreated after years.
Our ambition is to have an air-conditioned screening hall with better audio-visual facilities, which we are sure the Library will achieve soon.
As you all are aware, we have a renovated “Book Room”. Though we planned for similar renovation to be carried out with the “Reference Section” and “Members’ Reading Room” the works are yet to be started. Hope the new committee will take up work and improve the facilities in the said sections.
Membership Campaign
A massive membership campaign was launched during the period October to December 2012. Several innovative methods like door to door campaign, circulation of application forms etc. were employed. The Library also put up its stalls in the International Book Fair at Ernakulathappan Ground and in DC Book Fair at Marine Drive and campaigned for membership. During the campaign, we strived to popularize the Library. we released a calendar for the year 2012 depicting nostalgic photographs of Ernakulam in past. The calendar was of great demand which we could not satisfy in full. Let me mark gratitude of the managing committee to Mr. Ajith, Proprietor, Krishnan Nair’s Studio for benevolently making available the photos of erstwhile Ernakulam, to be used for the calendar.
We also brought out a documentary film tiled “VAYANAYUTE KAIYYOPPU” high lighting the legacy of Ernakulam Public Library. The documentary was produced in association with the Bhavan’s Institute of Media Studies. It was directed by Mr. M.V. Reghunath who has graduated from the Pune Film Institute, and was then the Vice-Principal of BIMS. The script of the documentary was prepared by Mr. Ravi Kuttikkad who is a veteran journalist and is the Prgramme Co-ordinator of BIMS. Research works necessary for the work was done by the students of BIMS under the guidance of Mr. Kuttikkad who is also a Member of the Managing Committee of the Library. The documentary was formally released on 24-01-2012 in a function organized in the auditorium of DC Book Fair.
The campaign was a real success and we enrolled 1447 new members during the campaign. The staff of the Library under the leadership of the Librarian Mr. V.G. Ramachandran has done commendable work to make it a success. We also record our gratitude to the organizers of the Cochin International Book Fair and the Management of M/s. DC Books for granting space without any charges to put up stalls of the Library in the Book Fairs organized by them .

Book Purchase
During the financial year which covers this report, we have purchased 3388 Volumes of books worth about Rs.8,10,386/- for Rs.5,68,720/- and we have received 4356 Volumes of books having face value of Rs.8,39,668/- by way of Gift.

Purchase of books were made as per the decision and under the supervision of the “Book Purchasing Sub Committee” headed by Adv. T.P. Ramesh as its Convener. While making the purchase of books, the sub committee has considered suggestions made by the members regarding the purchase of books. The Sub-Committee has met periodically and reviewed its activities.

Financial Position
Member may recollect that in the last Annual Report the Committee had assured that the library would finish with a surplus this year. From a deficit of Rs. 2,96,735/- during 2010-2011, we have achieved a surplus of Rs.1,53,621 in the current financial year. Expenses have all been brought under strict control and our fixed deposits have reached nearly Rs.40 lakhs. In the year under report the committee increased the dearness allowance paid to the staff to 50% of their basic pay. Despite this increase we have been able to end in a surplus. More over the expenditure on books has been maintained at a steady level of an excess of Rs. 5 lakhs in the years to come we are planning to substantially increase the purchase of the books.
P.N.Panicker Anusmaranam(Vayana Dinam)
As done in previous years, library celebrated vayanadinam on 19-06-2011. In connection with the celebration of Prose & poetry reading competition were conducted on 19-06-2011 for students of the UP, High School, Higher Secondary Level. Prizes to the winners of the competition were distributed in a public meeting held on 02/072011.

Film Appreciation Camp
Ernakulam Public Library in association with Metro Film society conducted three days film appreciation camp on May 10th ,11th , 12th . 56 Students participated in the camp. The reputed script writer Dr. John Paul was the camp director. The camp was inaugurated by Mr. Kamal, the famous film director. Film actor Meera Nandhan, Prof. C.S.Jayaram, Script writer P.F.Mathews, Film director Anajali Menon, Prof. I. Shanmughadas, film actor Muthumani and film director Ashik Abu visited the camp. Certificates were issued to all participants in the valedictory function on 12/05/2012.
MEETINGS OF MANAGING COMMITTEE AND SUB COMMITTEES:
Managing Committee has met once in every month. There are four sub-committees constituted by the Managing Committee, Viz., Book purchase Committee, Programme Committee, Staff Matters Committee and Development Committee. The Sub-Committees have also met periodically.
Conclusion:
We place on record our sincere thanks to all those who helped for the progress of the Library.
