EOSSAA EXECUTIVE AGENDA

  1. Review and updating of school information

-changes need to be found and made to contact information on EOSSAA website; Need to know school codes (found in Documents section of site)

-need to remove school codes of now-closed schools i.e. Gen. Vanier

  1. Championship Calendar 2012/13

-look at championship calendar and see if they can be filled; RCI will do Sr. Boys A Bball if nobody else will

-Will become first come first served after the calendar is reviewed and championship is not taken

-KCVI will take tennis

-Junior Boys AAA v/ball= Regi

  1. Playing Regulations:

A.Rugby

-biggest challenge is length of game/number of minutes due to safety concerns

-divided into East/West divisions; 2 OFSAA bids; Due to this, if there are 5 or 6 teams in the championship, the teams are seeded. Therefore, best teams should be determined.

-top seeded team will host championship final

-keep medallions as award and remove t-shirts as a possible prize

-declaration date needs to be determined for associations that play in the fall to prevent “scouting” the spring associations. This is in EOSSAA constitution so it should not be an issue. Teams need to declare by the date set for whatever season they play in.

-add another category for all possibilities for number of teams/seeding.

-Need to add Jury of Appeal in playing regs

B.Curling

-Luc Guenette made corrections to old playing regulations based on OFSAA playing regs.

-Convenor must have a coaches meeting; remove paying for supply teacher

-3.8 report to championship coordinator (and not president)

-9.4 remove “no cheating” and refer to Coaching Code of Ethics in EOSSAA Policies section

-10.2 replace committee with Jury of Appeal

-Switch order of 2013 and 2014 championships hosts

-convenor has responsibility of finding OCA rep

  1. Volleyball

-Rules were changed at OVA level but these rules remained unchanged at EOSSAA level

-Junior girls net height remains at 2.15m

-Libero will remain in both junior and senior divisions

-First contact-the junior game will mirror the senior game in that first contacts using hands will be permitted

-5 team draw is a round robin format

-Baden sponsorship is up at OFSAA so if the “official” ball changes, there is a possibility that new volleyballs will be required at all schools ($$$)

  2. Transfer Update (Tony)
  1. Grade 9-10 transfer: Tony wants a name and email address from each school from all member associations; This person will be a contact person for transfers

-problem with students transferring from gr.9 to 10 while participating in individual sports. Team sports are allowed but individual sports is different because there are OFSAA championships. Athletes could be recruited to transfer schools.

-Tony: Need to come to a consensus toward rules of transferring

-Might be difficult to allow kids play certain sports and not play others (individual sports)

-Most associations allow transfers in gr.9 to 10 to play at junior level; Local associations interpret the EOSSAA policy differently

-transferee must go to a school that is closest to them therefore they can’t decide to go to ANY school.

-Local associations have the liberty to change their own policies as they see fit. This might allow for consistency among associations

  1. Classifications Report / Appeals (Tammy)

-QECVI and St.Thomas looking to drop from AA to A; Suggested to have QE to get support at their local association first.

-Question about numbers given in their appeal (enrolment figures were not correct when compared to FTE report)

_Vote: 0 votes for QE’s appeal to go to A; All opposed. Appeal denied

St.Thomas: Enrolment numbers are at 500.

-Belief is that number is a number and EOSSAA should hold firm at “hard” numbers. EOSSAA still needs to hear appeal in order for member school to appeal to OFSAA

-St.Thomas vote: 0 votes for granting appeal; All opposed; Appeal denied

8. Principal’s Report (Joellen)

- There is discrepancy/inequity among schools toward what money goes to athletics: Principals have discretion to put money into sport at local associations and member schools all have different policies regarding money to sport (athletic fees etc.)

-Would like principal representatives at June meeting: We can address discrepancies of fees at schools: The hope is to get consistency among all associations/schools

-Perhaps June meeting is not the best timing (agenda is large and any decisions made might be “lost” over summer: Suggested a conference call would be more convenient. Comm. Officers need to let principals know that conference call is needed

  1. EOSSAA Championships:(Deb and Bryan)

-Winter Championship review (issues/concerns/solutions).

Sr.Boys Basketball AA Competition:

ADHS: Won EOSSAA jr. in 2011; 11 returning players, central location

.

BCI: Strong showing last 3 years, 5 starters returning

Vote; 13 ADHS 0 BCI

ADHS will host AA Basketball

-Mandatory AELS

-could have more schools using AELS. Reminder to schools to use it

-Spring Championships concerns and dates.

-OFSAA dates have been set back. Therefore, EOSSAA champ. have been set back too. Local associations may want to consider moving their championships back too.

-Girls rugby dates have changed to May 24(AAA) and 28(AA championship) due to track changing their dates

-Try to convince boards not to have a PA Day in May. Too many off days to begin with; it would allow one more day as an option to have a championship

-EOSSAA Medals (Dennis)

-Does TrophyCraft have to be the supplier; Can it be a more local person/business

-TrophyCraft was originally chosen because theyoffered the best product for plaques; the deal was EOSSAA would purchase medals from there too

-Medal unit price from T/C is $3.18; any problems with supplier are minimal/sporadic

-Champ. coord. will consider talking to T/C and do some research for alternative supplier

  1. OFSAA Report (Mark and Jean)

-OFSAA order paper: Local associations have to give Mark and Jean their opinion on basketball issue of changing to FIBA; Mark will be voting for the change to FIBA

-Cross Country issue: New category for A/AA and AAA/AAAA team championships; Local associations need to give their opinion to Mark and Jean in next two weeks

-people that are opposed to the motion feel that they will be dividing teams (stud runner has to choose b/w the team or competing against the AAA/AAAA runners)

-XC SAC needs to come to a consensus on the issue before OFSAA AGM

-Need to come to conclusion on the parameters of who can compete in “ambulatory” race; intellectual and physical disabled students in same race may not be fair

-Is the XC proposal SAC driven or grassroots driven? Important to know how it affects EOSSAA

-EOSSAA entries to OFSAA (spring)

-Entries will be put forth; accept everything except boys field lacrosse

-Schools need to be ready to accept going to OFSAA. The window to decide is small so it’s imperative that Mark and Jean know who is going.

-OFSAA championships in EOSSAA

Track and Field; Girls A soccer are both in spring 2012

-Looking for volunteers to officiate. Failing that, local associations will be asked to find people to assist.

-Forward names from your local associations who want to volunteer to Mark Lewis

-track clinic on April 14 at TISS for all people interested in officiating

EOSSAA track May 22/23 (Tue/Wed)

East Regional May31/June 1

OFSAA June 7/8/9

- Women’s Sports School (May 3,4 at Brock) Deadline is April 13

-Maple Leaf sport scholarship

-Colin Hood award: every school eligible (1 boy, 1 girl and 1 coach)

-Funding for student/athletes for any student unable to pay for athletic fees; funding is available

11.Financial Report (Leanne)

-Trophy Replacement Process (Concern From AGM)

-still waiting for fees from some associations; need to find a way to get fees in timely manner to prevent possible shortfall. Problem might lie with schools paying their fee to local assoc. and not local assoc. paying EOSSAA.

-Needs to be discussed and determined: Do schools pay their fee based on prior year’s FTE numbers or current year’s. Possible penalties could be imposed.

-Schools will be given a bill at AGM for fees

-Insurance will be with Jones-Brown

12.Website Update: (Dave)

-Local sport convenors page

-can convenors place business names and ads on EOSSAA w/site; convenor may have received gifts-in-kind and some money; EOSSAA didn’t receive any

-is there value to this?

-Sponsorship agreements should be at the local level i.e. ads in programs and not on EOSSAA w/site

-Deb and Bryan will address this issue at AGM

-Website Sponsorship (Suche)

-should EOSSAA consider more sponsors?

-Ambassador Hotel is only official sponsor right now and implied agreement was that Ambassador is only sponsor. May not be good business to include other sponsors

-Opening up sponsorship at local level might lead to problems of perception from public i.e. where is money going?

-If vendors want to advertise their product, they can find emails of schools/teachers to get word out

15.President’s Report

-local AD’s can bring forth their own argument to their respective Board’s

17.Retirees (Dennis and Pat)

-Retirees nominations should be forwarded to Pat

-Notice of motion to amend criteria, specifically section “e” of Retirement Award form. Objective is to include more people who have contributed at all levels i.e local associations and duties (coaching, admin etc)

-need to change top of form for address

18.AGM Format (Suche)

-June 15, St.John’s in Perth (location to be confirmed) 9:15am start time

-Voting Cards (Lynn and Pat)- Lynn has them

-Suggestions (SAC’s, OFSAA discussion questions, New OFSAA Policies, etc.)

-want to cover something that covers communication across the board for all associations i.e. fundraising ideas, have a small agenda for all items that need/want to be discussed

-have sub-groups separated by sport to address issues specific to each sport; offer best practices in various events, fundraising etc

-schools could bring flyer/info on any invitational tournaments they run

19.Slate of Officers – OFSAA Girls Rep, Boys Championship coordinator, Secretary, President

-turnover is a good thing to get people involved and made aware of different duties

-Tammy Bovaird is interested in OFSAA Girls Rep; Bryan will continue as Boys Champ. coord.
