Representatives of the Ethylene Oxide Sterilization Association, Inc. (EOSA) participated in a meeting on November 15, 2010. All attendees participating in the meeting were members, unless otherwise noted:

Meeting Minutes
1.0 Administrative Issues -- Participants introduced themselves. R. Viscomi thanked all for participating.
1.1 Antitrust Reminder – K. Roberts provided the antitrust reminder.
1.2 Approve Past Meeting Minutes -- Members approved the May 24, 2010, general meeting minutes without changes.
1.3 EOSA Financial Update -- A. Eldridge summarized the status of the EOSA finances.
1.3.1 Proposal for 2011 Membership Dues -- Based on the current budget status for 2010, it appears that about $100,000 will be expended and about $75,000 will rollover into 2011. Given the Executive Committee’s view that EOSA will be as busy, if not busier in 2011, it recommends that the overall budget for 2011 should be about $125,000. This means that members will need to contribute about $50,000 in membership dues, which is 50 percent less than what was collected in 2010. For that reason, the proposed 2011 membership dues will be 50 percent less for EOSA general members, as follows:

Dues for associate members would remain at $750. Viscomi noted that if 2011 activities are unexpectedly high, there may be a need for a special assessment.
1.3.2 2011 Commitment Forms -- Roberts reminded members that she will be sending membership commitment forms for 2011 in the next few weeks. Members must return these forms, with an indication of sales amounts, so Roberts can proceed with invoicing at the proper amount.
2.0 Feature Presentation: Communicating in a Crisis -- Viscomi began the session by showing a video of an ethylene oxide (EtO) tank car derailment. That particular incident resulted in no leakage with the tank car, but highlighted the importance of having a crisis communication plan. A. Huey led the members in a review and discussion on how to deal with the media and the public during a crisis.
3.0 General Business
3.1 Election of EOSA Treasurer -- Members elected D. Stucker as EOSA Treasurer.
3.2 Website -- C. Klosen reviewed information on the EOSA public and members-only websites.
3.3 EH&S Committee Report
3.3.1 EtO Media Testing Program -- R. Emerich updated the membership on EOSA’s efforts to find viable options for EtO respirator cartridges, including the problems and timing concerns related to the effort.
3.3.1.1 Discussion on Respirator Options -- Emerich reviewed various options available for facilities engaged in EtO sterilization.
3.3.2 EOSA Battery Device Guidelines -- Copies of the finalized guideline “Considerations for Sterilizing Battery-Powered Devices” were distributed to members. A copy will also be posted on the EOSA members-only website.
3.3.3 EOSA IH Sampling Guidelines -- Copies of the finalized guideline “Exposure Assessment Methods for Ethylene Oxide (EtO)” were distributed to members. A copy will also be posted on the EOSA members-only website.
3.3.4 Other EH&S Activities -- Emerich reported that the Committee would begin working on a process safety management/process hazard analysis document.
4.0 New Business – K. Hoffman reported on the German regulations related to a reduction in EtO occupational exposure limits from 1.0 ppm to 0.1 ppm.
5.0 Next EOSA Membership Meeting -- The next EOSA meeting will be in conjunction with the May 16 -- 18, 2011, Association for the Advancement of Medical Instrumentation (AAMI) meetings, which will be held in Baltimore, Maryland. At that meeting, the membership will hold elections for EOSA Board Secretary.
There being no further business, the meeting adjourned at approximately 9:10 p.m. (EST).
