Program Assistant –Training and Hotline

Seeking individual for part-time program assistantposition at Minnesota Literacy Council’s main office (700Raymond Ave, St. Paul 55104). This benefits-eligible position is 30 hours per week with a flexible schedule to be agreed upon with supervisor. The program assistant plays an important role by providing administrative support to the children’s tutor training and the hotline teams, aiding in building strong relationships within the agency and with outside partners to support the agency’s mission.

Specific responsibilitiesofthe Program Assistantinclude, but are not limited to:

SUPPORT CHILDREN’S TUTOR TRAINING (approx. 20 hours/week)

  • Outreach: Develop plan to promote volunteer training services.Create and send mass marketing emails and other promotional materials, maintain relevant sections of website, research opportunities. Maintain list of program contacts. Promote children’s tutor training and volunteer opportunities at internal and external events.
  • Scheduling, Coordinating and Materials: Work with organizational partners and training director to schedule workshops and maintain registration and evaluation processes and records. Print, compile and assemble Children’s Tutor Training participant materials. Assist with development of new training materials.
  • Volunteer Referral: Facilitate process toconnect community volunteers to tutoring opportunities.
  • Workshop Facilitation: Co-facilitate workshops as appropriate within an evolving role toward leading workshops independently based on seasonal need.

SUPPORT ADULT LITERACY HOTLINE (approx. 8 hours/week)

  • Answer Adult Literacy Hotline:Answer incoming phone requests for referrals to ABE (Adult Basic Education) and ESL (English as a Second Language) programs, return messages.
  • Record-keeping:Track volunteer and learner calls and caller surveys electronically.
  • Outreach: On occasion, assist with hotline outreach at fairs and other events.
  • Collaborate with team: Work collaboratively with staff for Hotline training, scheduling and other projects.

OTHER(approx. 2 hours/week)

  • Serve as team leader for book donation collection, processing and distribution.
  • Attend department and MLC staff meetings and contribute to MLC publications as necessary.
  • Other duties as assigned.

Qualifications for the Program Assistantinclude:

  • Bachelor’s degree in education, business or related field. 1-2 years of experience in an assistant role.Additional years of work experience considered instead of degree.
  • Demonstrated success in efficient and accurate administrative task performance in a collaborative team setting.
  • Outstanding attention to detail.
  • Previous experience in delivering presentations or training workshops a plus.
  • Self-directed, ability to work well independently and with a diverse group of people.
  • Excellent oral and written communication skills and strong organizational skills.
  • Computer skills, including experience with MS Office software, email and internet.
  • Familiarity with or interest in literacy and/or social causes.
