Job Description

Purpose of the job

To manage and invigorate the existing services at Elleray Hall Social Centre and to develop new services and activities that promote independence, well-being and quality of life. This post includes managing all tasks involved in running and promoting the Social Centre.

Main Tasks and Duties

  • To be responsible for managing all aspects of existing services of the centre and the development of new services and activities that promote independence and well-being.
  • To develop the charitable work of Elleray Hall to allow it to grow and respond to changing needs.
  • To ensure Elleray Hall’s services and facilities are a welcoming, caring and safe environment for all who use, hire or visit.
  • To ensure a wide range of activities/services are offered to meet the needs of the service users.
  • To liaise and create effective working relationships with partner organisations.

Staff Management

  • Assist in recruitment, management and training staff and volunteers including; the administrator, the Activities Organiser, the Cook, the Domestic Cleaner/Kitchen Assistant.
  • To oversee the Activity Organiser’s timetable of planning and arranging activities/services offered to the centre users.
  • Ensure staff and volunteers are supported, supervised, appraised and trained appropriately.
  • Ensure compliance with policies and procedures and bring any updates or amendments and new polices to the attention of the staff.
  • Carry out a Disclosure Barring Service check on staff and volunteers where appropriate.
  • Compile a plan which includes essential training such as Safeguarding and ensure training undertaken is recorded.
  • Ensure that adequate cover is maintained during any staff absence.
  • Engage agency staff if necessary, subject to prior approval by the Board of Trustees.
  • Maintain continual professional development by participating in supervision and appraisal and any relevant training.
  • Keep personnel records, including records of leave entitlement, sick leave, hours worked, etc. and maintain confidentiality.

Members / Service users

  • Ensure transport is arranged formembers as needed to and from the centre in association with the Richmond Accessible Transport.
  • Provide occasional practical assistance for members who may have difficulties with mobility or personal care
  • Assist Elleray Hall members and their family in accessing any information they need about the statutory and voluntary services and social care.

Budget and General Management

  • Work with the Board of Trustees’ to develop service delivery and fundraising opportunities.
  • To attend Trustees meetings and provide a comprehensive report for the Trustees.
  • Work with the Treasurer to comply with all financial and budgeting matters.
  • Work with the Cook to ensure the quality and suitability of meals and monitor cost of provisions against sales.
  • To liaise with the Volunteer Co-ordinator.
  • Organise payments of invoices including forwarding information regarding staff salaries onto the payroll company.
  • To promote and progress the hiring out of the premises.

Health and Safety

  • Maintain the list of key-holders.
  • Maintain an incident book and report any incidents, accidents and near misses or risks to the Board of Trustees.
  • Observe fire precautions and arrange regular fire drills for staff and members.
  • Ensure that the standard of hygiene throughout the centre is maintained in accordance with legislation and Health and Safety regulations.

Marketing & Advertising

  • Develop vibrant promotional material including leaflets and posters and ensure they are displayed prominently in the community.
  • Promote the services to the community, local doctors, community nurses, social workers and rehabilitation teams.
  • Keep notice boards and website updated.

Building

  • Work with the Domestic Assistant/Kitchen Assistant to ensure that the internal of the building is maintained to a high standard of cleanliness.
  • Ensure internal areas of the building are maintained to an acceptable standard and general building maintenance requirements are reported to the Trustees Board for authorisation.
  • Ensure that the building is used to capacity and that satisfactory financial and practical arrangements are made with hirers.
  • To be a registered key holder for the building’s internal alarm system.

Monitoring and Evaluation

  • Seek feedback from members via an annual survey, as well as observation and interaction with the members, and report the results to the Board of Trustees.
  • Keep accurate records of all clients and maintain a database of client information, continue to update client records with progress and outcomes.
  • Raise safeguarding alerts to the local authority and report any safeguarding incidents to the Board of Trustees. Ensure that staff follow safeguarding procedure.
  • Deal with complaints in accordance with the complaint’s procedure.
  • Liaise with and attend meetings with other professional within The Hamptons & Teddington Hub, council officers, statutory bodies, voluntary organisations and outside agencies.
  • Complete all reporting, monitoring and evaluation as required.
  • Produce reports (verbal or written) as and when required.
  • Be proactive in applying for funding and completing funding application forms.

Quality Assurance

  • Comply with Elleray Hall’s policies and procedures and ensure staff and volunteers are aware of policies and procedures and comply with them.
  • Attend training and development as identified by you and your line-manager.
  • Organise team meetings and supervision.
  • Any other work commensurate with the level of this post.

To undertake any other duties as may be deemed appropriate by the Chairman and the Management Committee

This post is subject to a Disclosure and Barring Service as to the existence of any criminal record.

You will need to travel within London Borough of Richmond upon Thames as part of this post to attend meetings and occasionally may need to work outside normal office hours.

Person Specification

Experience & Knowledge

Essential

  • Minimum 2yrs experience in a supervisory role
  • Experience in managing a team
  • Understanding of confidentiality, data protection issues and safeguarding issues
  • Good working knowledge of Microsoft Office, email, social media,database entry and other applications
  • Awareness and understanding of the needs of older people and the ability to be flexible and response to those needs

Desirable

  • An understanding/experience of the charitable/voluntary sector.
  • Experience of working with older people or vulnerable client groups
  • Fundraising experience
  • Understanding of health and safety, equal opportunities and food hygiene.
  • First Aid trained (training can be provided)
  • Experience in dealing with financial transactions and record keeping
