Call to Order

Ed Schwitzky – HBS Management Solutions, Community Manager called the meeting to order at

6:00p.m.

Review and Approval of Minutes

A motion was made and seconded to approve the September 12, 2017Board of Directors meeting minutesas written.

Review September & October 2017 Financial Statements

A motion was made and seconded to accept the September & October 2017 financials. Motioncarried unanimously.

Manager’s Report – Tracy Kirk

  • The lighting on the south end of the pool has been replaced.
  • L&L will be resetting the timer again so that the lights come on at 5:30pm.
  • The fines policy is in place and people have incurred fines as you can see by the violation report.
  • The new programmer for the pool was purchased and all of the keys have been converted over. I am now able to program new keys and make changes to existing keys.
  • The new revised pool signs were ordered and installed.
  • The sunken pavers were repaired at the front entrance.
  • The insurance companies are working with the former owner of unit 53. As soon as I have some information from the adjustor I will pass it along.
  • The backs of the doors and frames on the clubhouse restroom have been painted.
  • The south perimeter wall has been painted.
  • The flower pots and pedestals have been installed however, the 6 on Blue Diamond will be switched out on Wed. The bases will be stained to match the bowls.
  • The 18 tons of gravel was brought in dirty will be washed to match the existing on Wed.
  • The French drain has been installed.
  • The water faucets have been capped in common area across from units 58 and 59.
  • Electrical wiring has been buried outside unit 59
  • Groundskeeper cut and capped PVC outside unit 57
  • The front entrance lighting has been completed.

Old Business

  • Benches:A discussion took place regarding replacing the current benches. At this time, it was decided to table the purchase of new benches. However, 3 benches need to be removed. The two around the fountain and the one at the clubhouse.

New Business

  • Holiday Decoration Policy: A motion was made and seconded to approve the new holiday decoration policy. The motion carried unanimously. This policy will be distributed to the community the last week of November.
  • 2018 Groundskeeper Contract: A motion was made and seconded to approve the Groundskeeper 2018 contract. The motion carried unanimously.
  • Water main install: This proposal is to bring water to the south end of Autumn flower to be able to irrigate. Currently there is only one box irrigating the entire neighborhood and it is working to hard to do that currently. A motion was made and seconded to accept the water main install proposal. The motion carried unanimously.
  • Drainage:Howard and Tracy from HBS Management Solutions will be meeting with Southern Arizona Plumbing to see if there is a problem with drainage along autumn flower.
  • 2018 Budget: The 2018 budget was discussed. Some items need to be adjusted. Ed to meet with Tracy and Bradley at HBS offices to get finalized to be approved by the board.

Call to Audience

A resident thanked the board and management for all of the improvements over the last year to the community. A resident asked about the fine structure that was talked about at the last meeting. Ms. Kirk stated that the fine policy is in effect and currently residents are being sent every two weeks and being enforced. A resident also wanted to stress that she is very much in favor of more security in the community.
