Review items in progress:

  • Technical timeline
  • People are starting to log into the test instance with their Shibboleth authentication.
  • CMAC, CMET andthe Canvas Migration Tier 1 support partners (CMT1)are testing right now.
  • Testing will continue for those who have been notified and asked to test their ability to login.
  • Trainings starting this week.
  • Next week we are planning to go live with the production instance of Canvas.
  • Communications
  • Pushing more communication weekly, going to faculty meetings for wider exposure.
  • We have held a number of presentations and trainings, etc.
  • Need to increase communication to faculty regarding options if a course is only taught every other term.
  • We are working on providing tutorials and sample courses; "Here's what you used to do, and here is what is coming...".
  • We are working to get CMET Consulting on-board early so they're ready to answer Canvas questions like they have answered for Blackboard.
  • We are working to provide examples of ways to build the courses so they are built to be friendly for students.
  • Training
  • We held “Train the Trainers” two hour sessions last week with as many of our CMT1 partners as possible.
  • Faculty training starts this week, using the test instance of Canvas: uoregon.test.uoregon.edu
  • 2036 courses are scheduled for migration into Canvas for spring term.
  • Instructors can go through and reorganize or rebuild their course.
  • 400+ people have signed up for early adoption and we're still aiming for 700+
  • There are more people signing up for the fresh start than for migrating their course.

Upcoming and current issues for discussion:

  • Records retention policies

  • We are currently negotiating an archive license with Bb to be in compliance with our universities record retention policies.
  • There does not seem to be any specific language stating the LMS must be the repository or the data steward for the long-term records retention.
  • Helen has been reviewing the policies.
  • It seems that clarification of records retention policies needs to be better communicated to instructors. This may be a potential outcome of the review of records retention policies.
  • We will want to address the OARs language going forward with Canvas so that the policies match the tools and practices for that system, and for the university.
  • In regard to letters of recommendation, how long does data need to be kept around so that instructors can give accurate and useful letters?
  • 3 years - in line with the records retention policy?
  • 4-5 years/ average time to degree?
  • Another time frame?
  • Course access and permissions
  • Course builder access? Preferences and opinions?
  • It might be best to designate people on campus as "Course Builders" and / or other roles and then leave it up to the instructors to add the role to the course, rather than automatically having them added to courses each term.
  • We suspect instructors would be extremelydistressed if people were automatically added to their classes.
  • Would be really upset if anyone started sending them advice about their site.
  • We need to ensure that it is easy for faculty to add others into rolesfor their courses.
  • We want there to be an easy way to grant role access. We also want to establish an easy way for instructors to access bodies of resources, for example a course shell resource that multiple instructors continue to develop and pull material from for their courses, and share material out to other instructors.
  • Possibilityofusing the library subject specialists and any library integrations as an additional method for pulling in resources.
  • We also need job of marketing the fact that there are resources on campus to help develop courses.
  • Banner discussion:
  • University attempting to expedite the onboarding process so we can get people into the UO system quicker when they're hired.
  • This should help with adjunct instructors being hired, but not being able to access course material until a couple days before show time.
  • Should have data feeds ready by spring. Tim Ketchum and the LMS team are working on getting things smoothed out.
  • Once the data feeds are ready, we can start looking at expediting the process.
  • Adjuncts(issues to resolve and ideas to resolve them):
  • Get adjuncts’ paperwork done faster so that they can get in more than a couple days before.
  • Need a Banner ID.
  • At the end of class – make it available to other adjuncts who will be picking up the course next term.
  • Have CMT1 partners and / or department admins create shell courses that adjuncts can copy.
  • In the old system: need we need a lot of supplemental paperwork, etc. but account reps will use LDAP.
  • Intro to Geology Trades off every other year (switch between two instructors).
  • In the next couple of weeks, the change will take place. We can work with IS to check in and see if this makes a difference for departments with lots of adjuncts.
  • Suggestion: Have a central resource for items that can be copied into courses.
  • Modules, quiz banks, assignments, resources, etc. available that people can pull in and add to their Canvas sites.
