EAL/D Eligibility Notifications in SIRS

Advice of new process

The process for notifying schools of the outcome of eligibility applications for EAL/D will be changing from Term 3, 2015.

Please note that schools will no longer be sent letters ofnotification via mail. Student eligibility information will now be accessed through the generation of reports in SIRS. This means that schools will be able to view the eligibility statuses of students immediately after the applications have been processed. Schools should allow approximately five working days during March and August and three working days at other times of the year for applications to be processed once they are received by SCSA.

Categories of students’ statuses in SIRS

Once a student’s application has been processed by SCSA, his/her status will be updated in SIRS. The status will be listed under one of three categories. These categories are:

  • Eligible
  • Not eligible
  • Further action required *(see below)

If the student is placed into the ‘Further action required’ category, this means that he/she has not been granted eligibility and further action is required by the student or school to progress the application. The action required will be specified as one of the following:

  1. Application is incomplete. Please complete all sections and return to SCSA.
  2. Incorrect information supplied. Please check the application for errors and return corrected form to SCSA.
  3. Copy of passport identification page missing. Please provide to SCSA.
  4. Copy of stamp of date of arrival in Australia/International Movement Records missing. Please provide to SCSA.
  5. Student declaration requires signature.
  6. Teacher declaration requires signature.
  7. Principal declaration requires signature.
  8. Copies of previous school reports are missing. Please provide the relevant reports to SCSA.
  9. Question 7 in section 2 is incomplete. Please complete every row in the table and return to SCSA.
  10. Other. Please see below.

In the case of ‘other’, the action will be provided in a text box.

The student/school will need to undertake the further action stipulated for the application to be processed (see below).

Generating Reports in SIRS

Schools will no longer be sent letters of notification of eligibility and ineligibility, as this information will now be immediately available in SIRS upon the processing of an application. To find out information regarding the outcome of a student/s application/s, schools can generate the following two reports:

CSE198
This report will show, for each school which students have been found eligible, ineligible and require more action to process their application.

CSE197
This report will show, for each school, which students have been found eligible and have been enrolled into EAL/D by the school.

Schools should allow approximately five working days during March and August and three working days at other times of the year for applications to be processed once they are received by SCSA. Reports can then be generated as many times as required by the school.
