Online Monographs: Original & Copy Cataloging
Policy

It is the policy of Yale University Library to create separate bibliographic records for print and online formats of a resource, which simplifies the management of online resources and is consistent with the Library’s policy with respect to works that appear in multiple formats.

Scope

These guidelines apply to remote access electronic resources--online resources. They do not apply to direct access electronic resources such as CD-ROMs. Online resources and direct access electronic resources are distinct formats.

Implementation
  • Follow the cataloging guidelines for monographs in Orbis2 Policies and Procedures, except where these guidelines differ.
  • Original cataloging: Describe the online resource in the body of the record. (See Example 1 and Example 2 below.)
  • Copy cataloging: Prefer records in which the online format of the resource is described in the body of the record. Accept records in which the online format is treated as a reproduction. (See Example 3 below.)
  • Records for other formats: Do not link to the online format of a resource from a bibliographic record for another format. However, it is acceptable to link to a related resource, such as a table of contents, an index, or a finding aid.
Overview

Bibliographic records are created for online monographs not yet represented in Orbis that are (1) licensed, (2) purchased, or (3) freely accessible, as requested by selectors.

The procedures described in this document are to be followed by cataloging staff with responsibility for creating records in Orbis for materials that are in one of the above categories:

Part 1: Fixed Fields

Part 2: Variable Fields

Part 3: Creating a MFHD

Example 1: Bibliographic record for a freely accessible online resource

Example 2: Bibliographic record for a licensed online resource

Example 3: Bibliographic record for an online resource treated as a reproduction

Part 1: Fixed Fields

Fixed fields in the leader and 008 will reflect additions or changes applicable for book cataloging.

In addition, Form of Item (008/29) needs to be coded s : Electronic.

It is also necessary to add fixed fields in the 006 (for machine readability) and the 007 (for the computer component). All necessary items required for these fields are established in the current MARC tagging documentation.

Click on the 006 button in the MARC tab of the bibliographic record. Select the Computer file tab and click New. Three fields should appear in the box. Select the appropriate tags and click on Apply, then close the dialog box.

Type of File (006/09) indicates the type of computer file being described. Its value corresponds to the description given in a 516 note. Online monographs that are primarily textual, even if search software is present, are coded asd: Document. For more guidance, consult Guidelines for Coding Electronic Resources in Leader/06 (

To add the 007 fields, click on the 007 button in the MARC tab of the bibliographic record. Select the Computer file tab and click New. Eleven fields should appear in the box. Select the appropriate tags and click on Apply, then close the dialog box.

For Specific Material Designation, enter r : Remote.

It is not necessary to check for color or sound. Code Color as u : Unknown and Sound on Medium as _ : no sound (silent) unless it is evident that other values are appropriate.

Code fields pertaining to creation or reproduction in electronic form (Quality Assurance Target(s), Antecedent/Source, Level of Compression, Reformatting Quality) as u : Unknown unless it is evident that other values are appropriate.

Part 2: Variable Fields

In the variable fields of the bibliographic record, follow the current established guidelines and procedures for monographic cataloging in all areas with particular emphasis on the following:

050 / 4 / ‡a [LC call number for item]

Supply an LC call number for the item in this field. Do not add it to the MFHD. The call number will only be reflected in the bibliographic record.

245 / 0 / 0 / ‡a Bioethics for scientists ‡h [electronic resource] / ‡c edited by John Bryant, Linda Baggott la Velle, John Searle.

Add ‡h [electronic resource] immediately following the title proper.

250 / ‡a [Add an edition statement, if applicable, for the online monograph, if readily available.]

Add an edition statement if information is given about a hypertext version of a work that is also available in print.

300 / OMIT/DO NOT ADD.

Although our policy is to create separate records for electronic and print versions of a work, records imported from bibliographic utilities or other providers may treat the electronic version as a reproduction of a print original. In that case, leave the 300 field and leave or add a 533 note. (See below.)

Information on the extent of an item in pdf format may be included in this note.

500 / ‡a [Source of title note, e.g., Title from title screen (viewed Jul. 22, 2005).]

Include the date the title was viewed.

506 / ‡a [Access restrictions note, if applicable, e.g., Access restricted by licensing agreement.]

Do not include this note for resources that are freely available to the public. Additional information on local access is given in a 590 note.

Add a reproduction note if the electronic version is treated as a reproduction in an existing record. Give the place, agency, and date of reproduction (subfields b, c, and d), if available. Add the notes recommended in these guidelines under subfield n, rather than making separate notes in the body of the record. Refer to the instructions under field 300 for more information on original vs. reproduction treatment of electronic resources.

Do not include common requirements such as Adobe Acrobat, a Web browser, etc.

An access restriction note in a 506 field or in a subfield n of a 533 note must be included if a local access note is present.

Copy and paste the URL as it appears on the screen to include all numbers, letters and symbols. On completion, click to verify that link is active. Online book is the anchor text for the URL.

Part 3: Creating a MFHD

In the MFHD, code the 852 field with first indicator 8, and second indicator 0 (zero). For the location code, use yulint. Add a subfield k with value None and a subfield h followed by a blank. Add Online resource as a public note in subfield z.

Example 1: Bibliographic record for a freely accessible online resource

It is not necessary to create a 506 note or a 590 note for freely accessible online resources.

For online resources described as reproductions, access restrictions may be given in a 533 note, subfield n. Local availability is indicated in a 590 note. These records are accepted in copy cataloging or in batch loads.

This particular record is part of a batch load from ebrary. Processing information given in

the 946 field indicates that the record is not to be exported to bibliographic utilities because the records may be licensed and that it should not be edited because the edits may be lost if the record is replaced in another load.
