Donor Supporter Officer - Job Description

Salary: 25 – 27 (£19,647 - £20,955)

Accountable to: Head of Fundraising

Work base: Sense Scotland Head Office

Job Summary: The Donor Supporter Officer will help maximise income generated from individuals across Scotland. The post holder will process individual gifts, co-ordinate the day to day running of donor recruitment campaigns, oversee social media campaigns, undertake research on behalf of the Donor Care team, produce relevantpublications relating to their post and be involved in donor recruitment, development, retention, stewardship and committed giving for Sense Scotland fundraising team.They will contribute to the on-going development and execution of the Donor Marketing plans and strategies and assist in maximising the income of individual donors, through a variety of direct marketing campaigns.

Scope

The Donor Care team is responsible for implementing a strategy that delivers cash and regular giving income from individual supporters while seeking to improve the quality of the supporter journey across Sense Scotland. We aim to understand our supporter’s motivations and giving trends in order to build long-term sustainable relationships with supporters, tying in their loyalty through their lifestyle as well as their interest in the cause. The post will focus on campaign on-going co-ordination, research, processing, and post campaign analysis.

Key Responsibilities

FUNCTIONAL ACTIVITY

•Be responsible for processing of direct debits twice monthly and generating direct debit instructions, cancellations and reports timeously on an on-going basis.

•Be responsible for processing standing orders twice monthly.

•Assist where required with aspects of direct mail programme, working alongside fundraising and donor care team colleagues.

•Co-ordinate the daily activity concerning donor recruitment and retention campaigns, including complaint handling, activity reports, website updating for face to face and telephone donor recruitment within criteria agreed by the Head of Fundraising and in conjunction with Donor Care Team colleagues.

•Generate queries and reports using Raisers Edge database as required.

•Assist with donor development. Includingsatisfaction, retention and stewardship of new and existing donors, individuals and supporters.

•Assist in promoting all forms of committed giving to Sense Scotland prospective, new and existing donors.

•Undertake donor research as required by donor care team colleagues and Head of Fundraising.

•Provide database support for telephone and door to door campaigns including data selection and data output and end of campaign analysis, working alongside Database Officer.

  • Actively seek opportunities to develop existing and new campaigns or appealsas appropriate, in conjunction with Donor Team colleagues and Head of Fundraising.
  • Provide assistance and support for Social Media campaigns, including Facebook, Twitter, You tube and Google +.
  • Develop relationships with existing key partners and partnerships.
  • Work with external agencies within criteria agreed by the Head of Fundraising and in conjunction with Donor Care Team colleagues.
  • Be an active member of the Donor Care Team within Sense Scotland and assist where necessary.
  • Liaise with and brief Donor Care team to ensure that any responses received from Donor Marketing campaigns are efficiently processed, recorded and acknowledged.

COMMUNICATIONS

•Keep abreast of all internal activities – personal visits to services and with families gathering stories to feed fundraising materials for donors.

•Use of telephone agency for recruitment, gift aid, conversion and upgrade campaigns.

•Use of direct marketing agencies for the print production and distribution of mailings.

•Use of fundraising agencies to recruit prospective and new donors.

•Oversee best internal distribution of appropriate fundraising publications.

•Make best use of internet and social media as appropriate for promotion of campaigns and income generation.

•To assist with social media in a campaign or appeal format.

•To contribute as part of the donor care team to the overall individual giving strategy within Sense Scotland.

FINANCIAL ACTIVITY

•Monitor and report on all fundraising income and expenditure in relations to Campaigns, Appeals and Committed Giving.

•To regularly monitor, analyse and report on individual campaigns to ensure competent and compliant campaign and financial management.

•To contribute to the development and implementation of donor recruitment and retention plans, strategies and budgets

GENERAL

•Comply with the data protection regulations, ensuring that information on donors remains confidential.

•To undertake training as required.

•To prepare for and attend Fundraising and Staff Meetings.

•To undertake talks/presentations to groups and individuals as required.

•Administrate and organise own work to ensure that it is accurate and meets quality targets, reasonable deadlines and reporting requirements

•Any other reasonable and agreed activities as requested by the Head of Fundraising.

Person profile

It is essential that the Donor Supporter Officer will have/be:

•Competent inusing the database Raisers Edge or equivalent, including data entry, manipulation, analysis and producing queries and reports.

•Excellent written and verbal communication and presentation skills.

•Is numerate and analytical.

•Competent in creating, producing statisticalreports either in charity or commercial sector.

•Good level of organisational and project management skills

•Excellent communication skills.

•Is proactive, works well under pressure and is ideas lead.

•Good time management skills.

•Sound administration skills, including good working knowledge of MS Office products and databases, and use of email and the internet

•A proven track record in working on own initiative and as part of a team

•A pro-active and problem solving approach

•Experience of working to plans and strategies.

•Ability to plan and prioritise

It is desirable, but not essential, that the Donor Supporter Officerhas:

•Experience of desk top publishing preferably with Quark Express, in-design, Photoshop and other ancillary desk top publishing packages.

•Experience of creating, developing and overseeing social media either in the charitable or commercial sectors.

•Awareness of current legal framework for charity fundraising.

•A minimum of 1years’ experience of fundraising from individuals.

Hours: 37 hours per week

Holidays: 24 days annual leave, plus 12 public holidays as agreed locally

(pro rata for part time). Probationary period: 12 months
