JOB DESCRIPTION

JOB TITLE: Office Manager

REPORTS TO: Executive Director, Downtown Community Improvement District

SUMMARY OF JOB:

Be an active team member and assist the Executive Director in the implementation of the Downtown CID Strategic Plan and general administrative tasks. Implement work as assigned by the Board, Committees and through job description. Communicate with the Downtown CID’s constituency to build relationships and increase economic vitality in Downtown Columbia.

This position could be part time or full time and range in hours from 30 – 40 per week, including flexibility and some nights and weekends. Total compensation package based upon experience and skills.

SPECIFIC DUTIES:

  • Provide office administrative duties, such as answering phone, greeting visitors, filing and maintaining database
  • Ensure proper and timely payment of bills and management of financial reports, in partnership with accountant
  • Serve as Custodian of Records. Ensure that all legal requirements are met for the Downtown CID, including taking meeting minutes, resolutions, meeting notices, filing of budget and board activities, notification of State and Council of actions, and other duties as assigned
  • Responsible for maintaining public transparency according to state and local sunshine laws
  • Communicate, build relationships and provide high level of customer service for Downtown CID constituents and guests
  • Staff liaison and support for the Downtown CID’s Committees
  • Be an active team member for a small staff, willing to assist with a variety of projects and needs
  • Performs other duties as assigned

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

  • Five years of work experience in office management or a related field
  • Advanced education, training or degree in business or related field preferred
  • Experience in bookkeeping
  • Demonstrate strong organizational and time management skills
  • Self motivated and willing to learn
  • Working knowledge of today’s social networking and collaboration technologies
  • Strong writing, communication, and relationship building skills
  • High degree of patience and a great sense of humor
  • Ability to prioritize and handle multiple projects simultaneously with a smile
