  1. Center For International Education/FLAWI (This site was reviewed and approved electronically)
  • International Expertise Database needs a link on the page to the database with language such as “to search the database, click here” after the information on how to enter it.
  • The database template can be changed in Banner.
  • The Tuition Assistance page has a [1] on it without a link; this should be removed or information added to it.
  • Staff page should be revised in order of rank/title or set up as an org chart.
  • Study Abroad Resources needs to be updated.
  • The Scholarship page should have the same template as the one on the OneStop page.
  • Health and Safety needs links to other sites.

Sharon’s email comments about Center For International Education:

  • A lot of time was spent reviewing International Center, and there are many problems that need to be fixed before this goes to IPC:
  • The copy on the Registration, Documents page has lots of random boxes in the paragraphs.
  • Florida/West Africa is supposed to have a form, but there is no form.
  • The left hand nav of Employment and Training doesn’t take you anywhere.
  • The Upcoming Event is old. All Study Abroad links including Study Abroad scholarships need to be cleaned up. Why is there a #3, but no #1 or #2?
  • What is supposed to be on the Student Exchange Program page? Right now it is pretty empty.
  • The numbering is not in numerical order on Study Abroad Resources.
  • In general, I would say this site is not ready to go to the IPC, and we need to pull it from the agenda for further review and clean up.

FLAWI

  • This one-page site with links to forms should have a link added to the left hand nav on the Center For International Education site.
  • “FCCJ” should be changed to “FSCJ”
  • “USA” should be added to all for consistencies
  • All previously viewed FLAWI pages (in CMS) are dead and should be deleted by the functional owners.

Sharon’s email comments about FLAWI:

  • There is confusion about FLAWI.The minutes from last spring show that it was going to be integrated into the International Center, but there is no integration.You can’t even get from one site to the other.
  • Last spring, there was a long list of changes for FLAWI that are listed in the minutes.The first two have not been made, and it looks like the site has not been touched since March. I am not inclined to have the IPC look at this site again when the changes we asked for five months ago have not been made. I think we need to pull this from the agenda to allow more time to make sure the changes we asked for are in there and to integrate the two sites.

ELP

  • The first paragraph is not clear that that this is specifically for students from other countries studying in the United States, and it needs to be more descriptive.
  • English Language requirements need to be linked.
  • The address references “ELP” but the page is called “IEP”. The headline and left hand nav should be changed to “ELP”.
  • All photo releases will be checked.
  • The entire left hand nav on the English Language page needs to be changed and re-structured.
  • ELP template change needs to be fixed.
  • Phone numbers need to be corrected to hyphens.
  • The Jacksonville link to the Chamber should be changed to “Visit Jax”.
  • Recent newsletters need to be added.
  • “Contact Us” has an extra space
  • Initials for the program names need to be consistent.
  • Studying English in the USA.com is on this page, and if they want to keep the access, the owner has to be contacted. The owner will have to do a 301 redirect. Eventually, it will have to be removed in a year or so.
  • There was discussion from Tim Robinson regarding a scholarship program and his page being live soon. Even though his old site is still up, the new scholarship information is being directed to the new site. He is requesting that some part of the new site be put up so that there is access to the scholarship material. Sharon stated that there is a two part step: training and approving the site with all the recommended changes made. His site has a lot of changes to be made. Most of the work is on the left hand nav of the English Language Program site. Lucy requested that the International Center go live since there is not much to do on that site. Jamie stated that this could not be done because of the way it is set up. Dmitriy commented that even if this was ready to go live now, it still takes time because of Osprey and CMS. It can either be turned on or off.

Sharon’s email comments about ELP:

  • The ELP home page needs to make clear that it isfor international students. Someone (from the US) wanting to study English might get confused.
  • Links on various pages need to be checked as some do not work.
  • TOFLE and IBT need to be spelled out on the first reference.
  • There is a page that talks about August classes which will be over by the time this goes live.
  • Are there signed releases for all these student photos?
  • The About UNF takes you to a page that doesn’t tell you a whole lot about UNF. It should probably link to Fast Facts instead.
  • Sharon asked if these items could be handled before the meeting on August 25th.

Steps to be taken for approval: If Ernie Fulton can make all the above recommended changes and either Tim or someone from his staff receives training within three weeks from today, August 25, then it can go live. However, the scholarships are not on the new web pages. So, all the new information has to go in the library. Ernie will have to build these pages as well as make the changes for it to go live. Copy will be added (New Scholarship) to the home page which is a link to a PDF.

  • Motion to approve site with recommended changes and additional scholarship information including mandatory training within 3 weeks of this meeting and checking to make sure that all content follows the UNF Style Guide, Seconded by Sharon Ashton, all in favor, motion passed
  1. Residence Life
  • This page needs to be re-formatted to look more like CMS.
  • Footer needs to be added
  • They would like to keep the icons on the top of the page (telephone, wrench, etc.) because they want to carry these icons on every page for Res Life. They are open to any suggestions of where to put these so they can be carried over, and they will have to change the font. Dmitriy stated that they could put them wherever they want. He also stated that they will have problems in the future maintaining global changes.
  • Facebook needs to be smaller
  • Resources link has a serious ADA issue, and Lucy has told them that this site has to be ADA compliant. They took all the requirements, and they said they would go back and address them all. They will have to go back to the Library site and follow that format.
  • It was discussed and decided that all of this could be in CMS. Their problem is that they don’t want to have to maintain CMS and another system (portal).
  • IPC to check the minutes to see if Paul Riel was given a motion of approval to go off and not go in CMS. It appears it was never voted on.

ACTION ITEM – Sharon to find documentation from Paul showing that it was

agreed to have these pages go into CMS. IPC has not voted to exempt them. Since this is not a priority right now, this will be dealt with at a later time possibly when we get back to Student Affairs after Academic Affairs. Paul to be told that this will be revisited.

  1. Athletics Web site

August 2010 Minutes:

Athletics Web Site:

  • Current Contract with Sidearm is getting ready to expire.
  • Provided a handout of services that Athletics needs according to NCAA Division 1 Rules, and that are provided by Sidearm.
  • Dmitriy responded that CMS cannot currently support some of the features that are required for a Division I Sports Program.
  • There is a need to get the current site up to par with other D1 Schools to be in a competitive market for recruiting purposes.
  • Reviewed Davison University’s Athletics web page which is currently under contract with Sidearm. Sidearm will work within any design to make the page compliment a university’s home page.
  • Brian stated that by using Sidearm for their web design, it will give UNF a competitive web presence as a NCAA Division 1 School,Sidearm will be able to mirror our header and footer, can include a site search that can either be an Athletics site search, university wide search or a Google search, and will be ADA compliant.
  • After discussion two proposals were put on the table:

1)The IPC will ask Brian Morgan to have the Vendor (Sidearm) work with Marian Watters regarding the look and feel of the site, so that it mirrors our own website.

2)Or, Brian will have Sidearm redesign their website, keeping in mind that the IPC would like to have the CMS Header and Footer included in the design and that they would have Marian Watters review the site prior to reveal.

3)Sharon asked that the site be checked to make sure that it is ADA compliant and that all alt tags are in place.

  • Motion to exempt Athletics from CMS and they are free to work with another vendor to redesign their website, as long as the redesign of the site complements our current header and footer. Scott Bennett seconded, all in favor, motion passed.

Notes from Meeting:

  • This site was handed over to Rocelia Gonzalez to run through some of the tools they use to determine ADA compliance. The report basically states that there are a lot of minor problems. There are 3 large Excel sheets identifying what needs to be done.
  • The slow loading problem is only seen when using IE6.
  • When this was approved, there were certain things that needed to be done (in red above); none of this was done.

ACTION ITEM – Sharon and Dmitry to get together with Lee Moon to

discuss that the IPC has issues with this site and that this was not the

direction that we gave them.

  1. Hot Button on the myWings portal for the Office of Medical Compliance

The Office of Medical Compliance is requesting the use of a “Hot Button” on the myWings portal for the purpose of providing an easy link to the Fall 2011-2012 Medical Insurance Plan that is now available. Since we have a new Insurance Plan (United Health Care) and new Plan Administrator (Gallagher-Koster), this “Hot Button” will benefit both new and existing students who are looking to obtain information on the health care policy that we are offering here at UNF. This “Hot Button” would also be beneficial to the International Students, who are required to have medical coverage while enrolled at UNF. The “Hot Button” would take them directly to our Medical Compliance web-site. There the students would find the “Hot Button” icon and title along with a link ( that would direct them to the Gallagher-Koster web site that was designed specifically for UNF students and caters to both Domestic and International students. It provides detailed information and on-line enrollment for the medical plans as well as an affordable dental plan. We would like to utilize the “Hot Button” from the present time thru open enrollment, ending Tuesday, September 20th, 2011.

Additionally, I am attaching the image that we would like to use. The description that we would like to accompany the image is our tag line for the insurance this year: “HEALTH INSURANCE: GET YOUR DUCKS IN A ROW! UNF is offering a new Health Insurance Plan!

Notes from Meeting:

  • The link was wrong and has to be linked to a UNF page.
  • The Medical Compliance page does not have enough information on what the UNF requirements are such as who needs to get the insurance.
  • It should also be clearer that it is for students and not faculty or staff insurance.
  • They should put the hot button on the page and see where it links to and what it looks like.

ACTION ITEM – Lucy to go back to Student Health Services and tell them to put the hot button on their page and submit new copy that explains that it is for students and not faculty or staff. This can be reviewed and approved electronically

  1. Campus Recreation Migration Training
  • There is one site left for Student Affairs and is about 70% complete.
  • Justin Cato and Wendy Rahmanwould like to get training in the pre-migration of their site. What is left is the polishing of the site (navigation, links and beautification of the page).
  • If Student Affairs can go live, this could stay out there and get back to it once Academic Affairs is done. Then we will still have to deal with Housing.
  • It was suggested that whenever Ernie has some spare time, he could get back to Campus Rec and work on it in the next few months. Dmitriy will talk to ITS to try to get this done sooner.
  • Motion to get training in CMS migration for Justin Cato and Wendy Rahman to finish this site, motion denied by Sharon Ashton and Seconded by Marianne Jaffee

Future Sites for IPC:

  • COAS – nearing the end
  • FIE (falls under Academic Affairs and is on the agenda for next week)
  • Brooks is coming up
  • College of Education
  • The strategy is that the sites will be split up
