Thank you for being a participant at RILA’s 2014Retail Sustainability Conference. We hope you plan to take advantage of our unique blend of high-level networking, leading-edge education, and meaningful exhibit hall to further your company’s business goals.
Exhibitors and sponsors who are prepared to commit to the listed sponsorship levels will have the opportunity to be the first companies to select their booth spaces for 2015.If your company is committed to a sponsorship in 2015, please sign up during that level’s designated time slot below.

All non-sponsoring exhibitors will choose booths in group order based on priority points. Companies with the same amount of priority points will draw their selection order by lottery, during your priority point scheduled selection time. Please understand that this event has been in existence for several years and many participants will have the same number of points, therefore, one point could make a potential difference of 15 selection slots.
General sales will begin at the conclusion of the 2014conference, and priority points will no longer be honored.

RILA reserves the right to resell any booth space that does not meet the above payment deadlines. RILA will e-mail invoices to each company no later than October 15, 2014.
Priority points are earned for: membership in RILA, by level of sponsorship at the conference, exhibit space purchased (outside of what is included in the sponsorship), and for the number of years your company has participated. Sponsorship priority space assignments are only valid with a signed agreement for the sponsorship level. Cancellation of the sponsorship at a later date may result in space relocation.

HOW TO SELECT A BOOTH SPACE FOR THE UPCOMING CONFERENCE
- Each company has been assigned a group to select their booth space for the 2015Retail Sustainability Conference. Please check the attached list for your company's appropriate group.
NOTE: Our purpose for using the priority point system is to be sure all exhibitors are treated fairly and the same standards of qualification have been used for all companies. This allows RILA to determine the order of how booth space assignments are made. Keep in mind that you may only select a booth space for your company.
2.RILA will first allow sponsors to choose their preferred booth spaces. Once we have placed sponsor booths we will open booth selection for other companies. If your company is not currently a sponsor and is ready to commit to a sponsorship at the 2015event, you are eligible to participate during the appropriate selection time. If you opt to continue participating with a booth, your company’s selection time will fall during the general priority point selection times that are attached. RILA has the right and will hold some booths in reserve for sponsoring companies that commit after the process has begun.
PRIORITY POINT FORMULA:
= One (1) point per 10’x10’ purchased (does not include booths included in sponsorships) + one(1) point per $5,000 in sponsorships + one (1) point for RILA Membership
= Points are cumulative except for your RILA Membership point which will be based upon your current year’s membership status.
3.On Wednesday, October 1, come to the Skyway Suite AB on the 2nd Floor at the Hyatt Regency at your assigned time slot. Please bring with you your completed agreement with everything completed except the booth location.
4.When you arrive at the Skyway Suite AB, please sign in. Exhibitors with identical points will be asked at the beginning of each session to draw numbers to determine who will select first within their group. Booth spaces will then be assigned in numerical order (Group 6 Selection 1, Group 6 Selection 2, etc.). NOTE: If you arrive late (once the doors close) or miss your assigned time slot, you will be placed in the next available group.
5.Prior to the session beginning you will be able to see which booth spaces have previously been assigned. Please be prepared to make your selections quickly so that the meeting continues on schedule.
6.RILA will email countersigned contracts and invoices to each company no later than October 15, 2014. All booth spaces will require a 50% deposit by November 7, 2014; balance by February 6, 2015. RILAreserves the right to resell any booth space that does not meet the above payment deadlines.
7.Sponsorships will require a 50% deposit no later than February 7, 2015, and the balance by May 8, 2015.RILA reserves the right to resell any sponsorship that does not meet the above payment deadlines.
8.If you are unhappy with the space you have selected you may submit a request to be relocated at a later date. Relocation requests will be placed on a wait list in the order RILA receives them. RILA will contact wait-listed companies as the appropriate booth space becomes available.
9.General sales will begin at the conclusion of the 2014conference. All booth space reservations will be taken on a first-come basis and must be accompanied with a 50% deposit. No priority points will be honored once the general sales have begun.

RILA shall have the right to make such rules and regulations with Exhibitor as it may deem proper and may amend them at any time, and Exhibitor agrees to abide by said rules and regulations. The Terms and Conditions accompanying this Agreement are attached hereto and incorporated herein by reference and Exhibitor agrees to abide by such Terms and Conditions, as well as any others included in RILA Logistics Conference materials. This Agreement cannot be amended or modified by Exhibitor without the express written consent of an authorized representative of RILA.

APPLICATION AND AGREEMENT FOR EXHIBITION SPACE RILA’s 2015Retail Sustainability Conference
TERMS AND CONDITIONS
The undersigned, (hereinafter referred to as “Exhibitor”) hereby applies for exhibit booth space during RILA RETAIL SUSTAINABILITY CONFERENCE (hereinafter referred to as “Conference”) sponsored by RILA to be held at the designated hotel for the presentation of products or services designated above and for no other purpose, subject to the conditions, rules, regulations and requirements hereinafter set forth. This application shall, upon written acceptance by RILA, constitute a binding agreement between the parties.
It is understood that this Agreement is a license, and not a lease, and that no leasehold or tenancy is intended to be or shall be created as a result of this agreement.
It is the policy of RILA to deposit all checks received in partial or full payment, if applicable, of the total space, subject to the availability of space. By depositing such check, RILA is under no obligation and has in no way obligated itself to provide any exhibit space and RILA shall not be liable for its failure to provide. RILA shall make every effort to accommodate a request for exhibit space, and all assignments will be subject to review and acceptance by the Exhibitor within two weeks of written notice of the space assignment by RILA. If RILA is unable to provide acceptable exhibit space, RILA shall refund in full the deposit payment.
RILA reserves the right to cancel this agreement if the initial 50 percent payment, if applicable, is not made or if the total space fee for participation shall not have been paid in full by the deadline. Upon such cancellation for non-payment, RILA shall be entitled to receive as liquidated damages an amount equal to 50 percent of the total space fee under this Agreement.
If Exhibitor should cancel this Agreement, Exhibitor shall be liable for the following charges as liquidated damages: 50 percent of the total space fee if cancellation is prior to November 7, 2014; 100 percent of the total space fee if the cancellation is made after February 6, 2015. Cancellation becomes effective upon receipt, by RILA, of written notice from Exhibitor.
In the event that Exhibitor fails to comply in any respect with these Terms and Conditions, RILA shall have the right without notice to Exhibitor to license replacement of said space to any person or organization, and Exhibitor agrees to pay any deficiency, loss or damage sustained by RILA as a consequence of such failure to occupy said space as provided in the Agreement. In addition, it is agreed that should RILA be unable to license the remainder of said space as herein provided, RILA shall have the right to occupy said space for its own purpose without prejudice to its rights against Exhibitor pursuant to this Agreement, including but not limited to the payment of the balance of the fee.
Exhibitor will not sublicense any part of the space herein provided for without the express written consent of an authorized representative of RILA.
In the event that the Conference and/or exhibition premises are destroyed or rendered unavailable for any reason whatsoever (whether before or during the scheduled period) the rights of Exhibitor under this Agreement shall terminate and Exhibitor shall and does hereby waive all claims for damages or compensation for such termination.
In the event that an alternate location or room for exhibit booth space becomes necessary, RILA reserves the right to re-assign booth space at its discretion as may be necessary. If because of unforeseen circumstances RILA finds it necessary to cancel the exhibition and/or to close the exhibit hall on any day or days or to vary the announced hours the exhibition is open to visitors, RILA reserves the right to do so at its sole discretion.
CHARACTER OF PRESENTATION AND SPACE USE: RILA reserves the right to approve all presentations and space use. Sales presentations will not include any derogatory remarks directed at another exhibitor’s products or services.
PHOTOGRAPHIC EQUIPMENT is not permitted in the exhibit hall without the express consent of an authorized RILA representative.
REGISTRATION: All employees of Exhibitor should apply for and wear a registration badge for proper identification. Only one individual per 10x10 space will be entitled to attend, without additional cost, all sessions and workshops of the conference as part of the fee stated in the Agreement. Additional representatives must be paid for and registered separately in order to attend sessions and gain access to the exhibit hall. A maximum of four (4) attendees may register per Exhibitor (unless otherwise stated in a sponsorship agreement).
RECEIPT OF GOODS: Exhibitor is responsible for the shipment and delivery of equipment and material for its exhibits to the hotel/exhibit facility. It should be addressed as indicated in your exhibitor manual, so that equipment and materials will reach the desired location. RILA assumes no responsibility for any losses that may be incurred due to loss, theft, and damage or otherwise.
COMPLIANCE WITH LAWS: Exhibitor must comply with all existing and/or amended Federal, State, City and other local and jurisdictional laws, regulations and rules that may be in force before and during the exhibition and Conference period. Exhibitor assumes all responsibility for any and all loss, theft or damage to Exhibitor's displays, equipment and other property while on hotel property, and hereby waives any claim or demand it may have against RILA, the hotel or its affiliates arising from such loss, theft or damage. In addition, Exhibitor agrees to defend (if requested), indemnify and hold harmless RILA and the hotel and their respective parent, subsidiary and other related or affiliated companies from and against any liabilities, obligations, claims, damages, suits, costs and expenses, including, without limitation, attorneys' fees and costs, arising from or in connection with Exhibitor’s occupancy and use of the exhibition premises or any part thereof or any negligent act, error or omission of Exhibitor or its employees, subcontractors or agents.
