Search/MatchSetups
Search Match in the Student Information System, SIS,offers the opportunity to create multiple search match scenarios. With this option, more choices need to be selected when a user accesses search match. Users can save their search match selections to make it easier each time they access search match.

Choosing Values for Search/Match Setup
Selecting the Search Values and saving it for a one time setup.
- Select theSearch Typeof ‘Person’.
- Type Search Parameterof ‘UWMSN_ADM_SRCH’
or click the magnifying glass and select ‘UWMSN_ADM_SRCH’.
Note: Non-Admissions users usually type or select ‘UWMSN_TRAD’. - Click [Save Search Criteria].
Naming Your Search/Match
Save the name of the search as ‘UWMSN_ADM_SRCH’ or ‘UWMSN_TRAD’.
- Enter“UWMSN_ADM_SRCH”In the Name of Search box.
Note: Non-Admissions users usually enter‘UWMSN_TRAD’. - Click [Save].
- Click [Return to Advanced Search].
Search/Match Selection of Saved Name
The saved search name is now available.
- Select your desired saved search from Use Saved Search drop-down list.
Note: Admissions users usually select ‘UWMSN_ADM_SRCH’.
Non-Admissions users usually select ‘UWMSN_TRAD’. - Click [Search].
Setting the Search Result Code (user default)
On the Search Criteria page, in the Search Result Codearea you need to set the user defaults for the search fields.
- Click User Defaultlink.

- Type Search Result Code of ‘UWMSN_ADM_SRCH’
or click the magnifying glass and select ‘UWMSN_ADM_SRCH’.
Note: Non-Admissions users usually type or select ‘UWMSN_TRAD’ or ‘UWMSN_TRAD1’. - Click [OK].
SearchDefaults Are Set
This default is set and will remain for future use.
Search/Match Selection after Setup
Whenever you go into one of the 3 menu paths for Search/Match all you have to do is click on the down arrow in the Use Saved Searchbox and select‘UWMSN_ADM_SRCH’or your desired saved search.

Running A Saved Search
Select your saved search from the Use Saved Search drop-down list.
Note: Admissions users usually select ‘UWMSN_ADM_SRCH’.
Non-Admissions users usually select ‘UWMSN_TRAD’.
Search/Match Pages
Search/Match is used to determine if a person already exists in SIS. To perform a search:
- Enter any or all of the values listed in the Search Criteria section.
(Campus Id, National Id, Last Name Search…). - Press enter or tab after each criteria entry.
Tip: This has to be done to be able to use the sections that you picked in the search. - Click [Search].
The system will process the request and display the results on the Search/Match Result page.

The Search Criteria section of the Search/Match page looks like this:
Search Criteria Field Descriptions
The table below describes the fields found on the Search Criteria section of the Search/Match page:
Field and Buttons / DescriptionCampus Id / Enter the Campus ID of the student.
National Id / Enter the student’s social security number.
Last Name Search / Enter the Last Name of the student.
First Name Search / Enter the First Name of the student.
Date of Birth / Enter the date of birth in MM/DD/YY format.
Gender / Enter the Gender in Capitol M or F format (can use magnifying glass).
State / Enter the State with2 Letter codes in Capitol Letters
Tip: You can use magnifying glass.
Country / Enter the Country with 3 Letter codes in Capitol Letters
Tip: You can use magnifying glass.
Middle Name / Enter the Middle Name Initial with a Capitol Letter.
Email Address / Enter the Email Address of the student.
/ Click to run the search based on all data entered in the search criteria section.
/ Click to remove all data entered in the search criteria section.
/ Click to reset the carrying of the previous ID.
/ Return back to the previous Search Results.
Selective Search By Order Number Page
The Selective Search By Order Number section of the Search/Match page looks like this:

The table below describes the fields found on the Selective Search By Order Number section of the Search/Match page:
Field and Buttons / Description: Click on this to limit the search based on:10 CAMPUS ID / Campus id.
20 SSN / Social security number-without the dashes.
30 LN-30, SSN-Contains / Last name-begin with 1st 30 characters, and social security number-Contains in the SSN.
40 FN-3, LN, DOB, GEN / First name-begin with 1st 3 characters, full last name, date of birth and gender.
50 FN-3, LN, DOB / First name-begin with 1st 3 characters, full last name, and date of birth.
60 FN-3, LN-30, DOB / First name-begin with 1st 3 characters, last name-begin with 1st 30 characters, and date of birth.
70 FN, LN, STATE / Full first name, full last name, and state-2 characters.
80 FN-3, LN, STATE / First name-begins with 1st 3 characters, full last name and state-2 characters.
90 FN-3, LN-30, STATE / First name-begins with 1st 3 characters, last name-begins with 1st 30 characters and state-2 characters.
100 FN, LN, CNTRY / Full first name, full last name, and country-3 characters.
110 FN-3, LN-30, CNTRY / First name-begins with 1st 3 characters, last name-begins with 1st 30 characters, and country-3 characters.
120 FN-3, MI-1, LN / First name-begins with 1st 3 characters, middle name initial-begins with the 1st character, and full last name.
130 LN-30, EMAIL / Last name-1st 30 characters, and email address.
140 EMAIL / Email address
150 FN, LN / Full first name, and full last name.
160 FN-3, LN / First name-begins with 1st 3 characters, and full last name.
170 FN-3, LN-Contains / First name-begins with 1st 3 characters, and last name-contains in last name.
180 LAST NAME / Full last name only.

Search Results Field Descriptions
The table below describes the fields found on the Search/Match Search Results page:
Field and Buttons / DescriptionSearch Result Summary / Indicates the search/match level used (see the Selective Search By Order Number for the list of search options.)
Customize / Customize the Sort (ex: Last name 1st, First name 2nd, Date of Birth 3rd (DOB sorts by Month).
Find / Enter a search string to help find what your looking for.
[Carry ID] / Click to save the SIS ID. The id is then stored in memory until another id is selected or until the Carry ID Reset is selected.
Detail / Click to view the biographical/demographic data for the student. This is used to verify the correct student is being selected.
EmplID / SIS ID.
Last Name / Last name of student.
First Name / First name of student.
Middle Name / Middle name of student.
Birthdate / Student’s date of birth.
National ID / Student’s social security number.
Campus ID / Student’s campus id.
Name Type / Student’s name type which describes the first and last name listed in the results view. Currently Madison only uses Primary and Preferred. Primary is the legal name. Preferred can be used to indicate the name the student wishes to be known as.
Name Effective Date / Date the name is effective.
Relations with institution / The relationship that the individual has with the institution,
e.g., student, alumni.
Search Results Sorting
There are two ways to sort the Search Results Column Headings after the page comes up.
Sorting By Each Column Heading
Sort by clicking on any one of theColumnHeadings (EmplId, Last Name, First Name, etc).
These will sort by ascending or descending order. If sorting by Date of Birth it will sort by Month.
Sorting By One Time Setup for Column Headings
- Sort by clicking on Customizefor a one time sort setup that can be changed at anytime.
- This ONE TIME SETUP can sort any of the columns by clicking on a column name in the
Column Order area and then selecting and right arrow to move it to the Sort Order.
Tips:The Sort Order can be changed by selecting a Sort Order field and selecting the
up or down arrow.
These setups can be deleted by selecting the sort field and clicking the Delete button.
You can also change the Column Order of fields displayed on the Search Result page.
Note: The example below shows that it will sort by Last Name 1st, First Name 2nd,
Middle Name 3rd, and Date of Birth (by month) last. - Click [OK].
Search Results Using the Find Link
Once you have your search results, use the Find link to locate a specific name.
For example, to find all people with a middle name of Mark:
- Click Find.
- User Prompt displays. Type selected search string.
Example: In the text box, enter the middle name Mark. - Click [OK].
All people with a middle name of Mark will appear at the top of the search results list.
