Exit Interview Policy
Purpose
The purpose of this policy and process is to identify workplace, organizational or human resources factors which have contributed to an employee’s decision to leave employment at the University or from a given department or function, with a view of identifying any trends requiring attention or any opportunities for improving the University’s ability to respond to employee issues, and to retain key people.
Procedure
As soon as practical, following notice of voluntary resignation, and prior to the staff member's departure, a human resource representative will meet and inform the employee of all their rights for health care, other benefit coverage issues and provide them the opportunity to take part in the exit interview survey.
The information exchanged in the Exit Interview will remain confidential within Human Resources. The Human Resources representative will conduct the interview using a Exit Interview Questionnaire. This form will be filed in the Exit Interview Confidential File in Human Resources. Exit Interview Questionnaire attached
Aggregate data from exit interviews which may be used to help improve human resource management practices, e.g. recruiting, orientation, performance management, training, working conditions, etc. will be reported on a monthly basis to the Assistant Vice Chancellor of Human Resources and Vice Chancellor Administration and Finance. Additionally, results may be presented to University management.
