This role sits in the Supporter Acquisition team within Oxfam New Zealand’s (ONZ) Engagement Directorate. The Engagement Directorate’s role is to engage, educate and publicise the work of Oxfam within New Zealand and raise vital public funds for our advocacy, humanitarian and development work.

The Supporter Acquisition team has the primary responsibility for supporter acquisition, retention and administration. The Door to Door Fundraising team supports this by conducting conversations with the New Zealand public, letting them know about Oxfam’s work and inspiring them to support us by becoming supporters.

JOB PURPOSE

Be responsible for leading high performing teams of Auckland based Door to Door Fundraisers who inspire members of the public to become supporters byeffectively coordinating the operation, recruiting, training and developing Fundraisers and Team Leaders, managing human resources, being on top of administration and logistics and upholding and exceeding standards.

PRIMARY RESPONSIBILITIES

General Overview

  1. To coordinate Door to Door fundraising activity across New Zealand, this includes residential teams in Auckland and Hamilton and roaming teams working across the North and South Island.
  2. To recruit, train and develop the Door to Door fundraising team ensuring they can work to the best of their ability within their role and progress within the organisation.
  3. Manage and oversee all of the human resource processes within the department to ensure a smooth running operation.
  4. Be responsible for all administration for Door to Door Fundraising to monitor the effectiveness of the team and arrange logistics to allow the teams to get the most out of their worked hours.
  5. Uphold and exceedthe standards of ONZ and external organisations such as the Public Fundraising Regulatory Association.
  6. Undertake any other tasks that may be delegated by the Supporter Acquisition Manager that are in keeping with the scope of the role.

Door to Door Coordination

  1. Day to day responsibility for ensuring the team achieves agreed KPI’s.
  2. Managing and selecting the areas the team work within and recording roads worked to allow the best use of the territory available.
  3. To coordinate road trip teams as required including researching territory, planning areas to work, managing finances and ensuring trips are within budgets set.
  4. Organise and plan weekly rosters for the Door to Door team ensuring the required shift count is met through managing attendance and recruitment levels.

Recruitment, Training and Development of Fundraisers and Team Leaders

  1. Recruit and induct motivated Fundraisers and Team Leaders who display the values of ONZ and contribute to a positive working environment.
  2. Plan and prepare engaging and inspiring training sessions for allFundraisers and Team Leaders on a regular basis and update existing training materials.
  3. Hold weekly performance reviews with all staff to review KPI’s and the level of support, training and coaching required to reach targets set.
  4. Provide support and on-site coaching to help with the implementation of skills trained in the classroom environment.
  5. Create retention plans for allFundraisers and Team Leaders which develop their skills and support those with potential to move into more senior roles within the organisation.
  6. Maintain an understanding of ONZ programmes, campaigns and causes, to be able to talk convincingly to potential supporters about the organisation’s work and ensure team members can do the same. This includes keeping up to date with projects and news that affects the team, participating in training, talking with relevant ONZ staff, undertaking individual research, etc…

Human Resource Management

  1. On-boarding and off-boarding of Fundraisers and Team Leaders within the Door to Door team and other departments within the Supporter Acquisition Team if required.
  2. Completing fortnightly payroll and signing off and approving any expenses incurred.
  3. Conducting HR procedures such as investigations, disciplinary meetings and hearings when required, sending and recording all relevant documentation.

Administration and Logistics

  1. Log and monitor ONZ property that is allocated to Fundraisers and Team Leaders, and ensure team members take responsibility for any equipment that is entrusted to their care.
  2. Processing team and individual expenses and reconciling credit cards.
  3. Record, monitor and report on performance of all Fundraisers and Team Leaders on a regular basis.
  4. Be responsible for booking required logistics for all teams including accommodation and rental cars.

Upholding and Exceeding Standards

  1. Ensuring quality standards for the Door to Door Team are met and exceeded throughout all areas of work.
  2. Being the first point of contact where necessary and appropriately dealing with simple enquiries and any low level complaints from members of the public. Escalated and serious matters to be handled by the Supporter Acquisition Manager.
  3. Represent and also ensure that team members represent ONZ in the public sphere in a positive and inspiring manner.
  4. Ensuring the team are adhering to the Public Fundraising Regulatory Association’s (PFRA) and ONZ Code of Conduct at all times through training and observations whilst on-site.
  5. Ensure ONZ health and safety and risk assessments policies are adhered to on-site and within the office environment.
  6. Ensure that the Door to Door team actively participate in relevant team-building, group, or ONZ-wide activities or meetings.

COMPETENCIES

Experience & Knowledge

  • At least 3 years proven success in Door to Door fundraising, including experience of leading and coaching teams of face to face fundraisers, preferably in an in-house environment
  • Strong experience of supporting and supervising others, including experienceof managing staff in a not for profit fundraising environment and ideally some experience of managing staff working away from home for short periods
  • Administrative and logistics experience, including experience of managing and reporting against set budget lines, booking accommodation, travel etc.
  • Training experience, including experience of coaching others and of helping towriteand delivertraining
  • Some recruitment experience, including experience of interviewing
  • Additional experience of F2F fundraising on private sites and at eventsis highly desirable

TRAVEL

The Door to DoorFundraising Coordinator is required to travelextensively within the Auckland Region, and within New Zealand as required,to fulfil the requirements of the role
