1. Brief update from the WP leaders / All WP leaders (i)
On the coordination of their activities and issues encountered, feedback to the coordination office.
WP2 status/ Karin:request for news was sent to the members yesterday – too short notice, so no reply. Gerard (co-lead) has been on a long cruise, but we have been in touch and have planned a webex in the near future to plan upcoming work. Need to discuss if workshops within the WP are need or if it is sufficient with webex meetings. Will discuss what is the best way to communicate with and engage the deliverable leaders especially. Currently we are not aware of any problems or issues within the WP. Karin (and Steffen) attended the Workshop of the Transatlantic Ocean Research Alliance in Brussels, and Karin will attend the INTAROS workhop in Brussels 5. May 2017.
WP3 status /Yongqi: difficult part to design the coordinated experiments. We are fully agreeing on experiments 3 and 4: this part is not fully confirmed yet because we are trying to have more innovative experiments. If we are not ready to go for the more innovative part, we might stick to the text of the Description of the Action.The deviation could be in how we set up of the experiments (how we do it).
If we propose a more innovative approach, this can be done without requesting changes to the EC.
We try to go ahead with more innovative approach with experiments 3 and 4, if this does not work then we go back to the plan we had in the Description of the Action.
Experiments 1 and 2 are ok.
How to share experiments? An infrastructure is not available for this project only, we have to rely on the infrastructure of the partners or on the MIP databases. Set up of a catalogue with the contact person for each partner is a feasible solution.
Steffen: Data management plan deadline for a first draft is 1 May for the EC. It is not the final version, it is a rough plan for delivery to be updated every 18 months. Perhaps the YOPP could potentially set up a database, to be maintained by Norway, but it is unclear how this initiative is developing at the moment, we could follow that evolution and use YOPP in the future.
WP4 status/ Daniela: decision on employment and this person will work in WP2 and WP4. Early Autumn new person appointed. Deliverable in May about the data exchange on WP4 and WP5. Data were provided to Mark already, but WP5 is mostly interested in the seasonal data (WP1) than in the data of WP4. No new decadal predictions. Deliverable due in May under WP4 will be co-drafted with the data in WP5 (Pamela Lesser) and WP1, who transferred the data. Daniela sends the draft to Chiara and Chiara will switch on WP1 and WP5 to round it up and submit it.
WP5 status/ Kathrin:Mark is still on parental leave.
Next week Vilena Valeeva will present a poster on WP5 and the Russian case study this is AMAP event on Arctic Science in Virginia (US) with the Arctic Council. More info on the event in the redmine and with a (draft) of the poster.
WP5 meeting in July 10-12 July in Hamburg, at GERICS, who is willing to engage with Blue-Action. WP8 will be there as well. An agenda will be sent out soon.
- Russian case study developments (Kathrin Keil): first scenario workshop will take place in December in Moscow probably some time between 4 and 8 December for 2-3 days, final dates tbc. PO to help Kathrin in spreading the word.
- Finnish case study (Pamela Lesser): work is progressing: a workshop has been organized with RUKA and Pamela has been mapping the needs of RUKA for data. A report will be made available at the beginning of June. Pamela and colleagues got their data from WP1 so far. If further needs arise, we will contact again WP1 and WP4.
WP7 status/Chiara:
- Amendment for inclusion of Climate-KIC needed to be reworked for justification on some tables, now it has been sent to Commission again.
- Development for including Jens under Niels Bohr institute progressing slowly.
- Issue with DNV in Norway/Japan still open.
WP8 status/ Raeanne:
- Deliverables are almost done: with the Communication plan developed by Peter Vangsbo (CKIC) and Thomas Dale (CKIC). Raeanne is working on the professional development plan.
- Newsletter first version has been sent before Easter: feed collected through Chiara or directly by Raeanne will be reversed in the next newsletters. TO DO all: Please ask colleagues outside the project to subscribe to it!
- Raeanne speaking with INTAROS and APPLICATE people in the corresponding WPs on Communication/Dissemination. For instance, some example: APPLICATE running a summer school, we do not have this, but we have some deliverables going in the same direction. Blue-Action can contribute to the summer school. A user blog set up by APPLICATE can also be fed with the data of WP5. Big events (COP23…) should be coordinated via the EU.to make sure we increase the impact.

4. Zenodo as platform for sharing project results/Chiara Bearzotti (i)
Zenodois a repository maintained by CERN and the European Commission, it is a permanent repository linked to OpenAIRE and Cordisto reach out for larger scientific community. Every file uploaded receives automatically a DOI.
File size: minimum 1 file required, max 50 GB per dataset –Zenodo staff can be contacted for larger datasets. This is what we are requested to upload there.

5. Use of the redmine for project management/Chiara Bearzotti (i)
We will use this tool both as a repository and as a communication tool. Additionally this tool allows us to assign tasks, deliverables, and milestones to staff involved and to track progress and time spent in the project. Guideline drafted by Chiara will be made available soon.
TO DO for all:
- Send to you WP colleagues the message from Chiara for registering in the intranet.
- Share your mailing list for the WP with Chiara to make sure that the general mailing list of the project is up to date. Chiara has the master mailing list for all project partners and participants.
6. Next General Assembly: 18-19 January 2018 /Steffen Olsen (di) (de)
Wilco Hazeleger (NLeSC) is able to host the GA meeting in Amsterdam but no capacity at NLeSC for more than 40 people with own rooms (at no cost), thus we have to rent premises and the costs are very high. Chiara comparing prices with other locations: Bologna is an alternative, at CNR. Bologna has an international airport with direct flights to major capitals in Europe, including CPH.
Decision: we go to Bologna.

If you realize that you made a mistake in labelling that as it can prevent you to exploit your results in other means (e.g. certain publisher that accepts only material not published elsewhere) please let Chiara know and we will find a solution.
