Exhibitors Information Sheet

Please join the Arkansas Genealogical Society for our fall conference. Our venue this year will be the Benton Events Center in Benton, Arkansas.

Benton Events Center – 17322 Interstate 30 North, Benton AR 72019. The Events Center is attached to the Fairfield Inn & Suites. TheCenter and hotel have ample parking.

Room Reservations – Fairfield Inn & Suites 17320 Interstate 30 North.(501) 722-6330. The larger block,50 rooms,has been reserved for Friday night with only 10 rooms reserved on Saturday night.. The rooms are reserved under Arkansas Genealogical Society. Rooms will be held until October 1st.

Booth and Exhibit Details – Exhibitors will be occupying two sections of the large ballroom of the Events Center. Exhibitors will be accepted on a first- come, first- served basis.

Each single table/booth will include:

8’ X 36” tables

2 chairs

Electric - if needed please notify exhibit chair 10 days in advance

Exhibitor ID sign

Wi-Fi is available (not secure). If secure is needed please notify the exhibit chair 10 days in advance.

End-cap booths will also be available for large exhibitors.

Booth/table assignments will be the responsibility of the AGS Vendor Chairperson.

Rental Cost of a single 8’ table will be $20.00 will per table.

Registration is open immediately and due by September 15, 2017.

If you have special needs in equipment or set-up, please contact the Vendor Chair for availability and cost.

Only one exhibitor will be permitted per table.

Arkansas Sales Tax – All exhibitors who sell merchandise or take orders at the seminar will be required to pay the Arkansas Sales Tax. Information on paying this tax will be given to each vendor by our treasurer.

Booth Reservations–Booth numbers shown on the map will be assigned on a first-come, first-served basis upon receipt of the signed contract with full payment. Vendors are encouraged to reserve their booths early, especially those hoping to have multiple tables/booths. Checks should be payable to Arkansas Genealogical Society and mailed with completed, signed contract to:

Exhibit Hall Schedule

Friday – Set Up 2pm

Doors open 5 pm, close 9 pm

Saturday - Doors open 8 am, close 3 pm

Cancellations – All exhibitors’ cancellations for the seminar must be received in writing or sent by e-mail to the Vendor Chair no later thanSeptember 15, 2016. Exhibitors requesting a refund by September 15, 2016will berefunded their booth/table fee. Cancellations postmarked after September 16, 2016 or no-shows will not receive a refund.

Syllabus – ¼ page - $25

½ page - $50

Full page - $75

Inside front cover- $100

Black and white camera-ready advertisements will be accepted electronically for the syllabus. Preferred format is MS Word but .pdf can be used. Deadline for submitting advertisement and payment is August 15, 2016. Send to:

Door Prizes –We encourage all vendors to donate at least one door prize

AGS Web Site- In order to maximize advertising, AGS will post the names and appropriate websites of all vendors and advertisers.

Share the News – Please help us spread the news of our conference by mentioning us in your on-line or print catalogs.

Unable to Attend – if you are unable to attend but would like to put brochures or free flyers on the free literature table please ship flyers to Karen Russ, Vendor Chair, between September 15 and September 30, 2017. Based on past interest, at least 50 copies would be recommended.
