Maternity/Parental Leave Process for Faculty and Staff
1. Complete the Maternity/Parental Leave SUB Plans and Maternity/Parental Leave Application form and return to Benefits in Human Resources as soon as you know when you wish to take your leave.
2. If you are the birth-mother and should your baby be born prior to the start of your planned maternity leave then the leave will begin on the date of birth. All other dates will be adjusted accordingly. If this should occur you must notify Human Resources as soon as possible so that your pay can be stopped to avoid pay adjustments at a later date.
3. If you are not the birth-mother and you are taking only parental leave you may have to serve the 2-week EI waiting period. If you are serving the 2-week EI waiting period then you are eligible for 12 weeks of SUB benefit (top-up). If your spouse will serve the 2-week waiting period when claiming for EI then you are eligible for 10 weeks of SUB benefit. Please notify Carley Brook in Human Resources as to whether or not you will be serving the waiting period.
4. Once your leave begins your Trent pay will be stopped. Please e-mail the payroll dept. at to request that your ROE be produced and sent to the Employment Insurance Commission. The payroll department will then issue your Record of Employment (ROE) directly to Employment Insurance (EI).
5. Once your leave has begun, go to the EI website and make your application for EI benefits.
6. Once you have made your application to EI there will be a page on the EI website called “My Current Claim” or something similar which will outline when your claim began, how much you are receiving each week etc. Initially these fields will be blank but once they are populated with your data you must send that page electronically or on paper to the Payroll Dept. .
7. Once this page is received by the Payroll Dept. they will process your SUB top-up payments retroactive back to the beginning of your leave on your next regular pay.
