DETAILED INFORMATION REGARDING THE SUBMISSION OF DISSERTATION THESES FOR STUYDENTS ATTENDING SECOND CYCLE COURSES WITHIN THE FACULTY OF MACHINE ENGINEERING AT GDAŃSK UNIVERSITY OF TECHNOLOGY

1. MSc dissertation thesis is prepared by a student supervised by designated advisor. The duties of the thesis advisor can be undertaken by a professor, PhD or, provided that the consent of the Council of the Faculty is granted, doctor.

2. Dean, in co-ordination with the Council of the Faculty can grant his consent to prepare the dissertation thesis under the supervision of a specialist from beyond Gdańsk University of Technology.

3. The reviewer of the dissertation thesis (in compliance with the appropriate course level) must fulfil the conditions for acting as a thesis advisor, as specified in 1 and 2 above.

4. Collaborative dissertation thesis shall be issued in a shared copy. The dissertation shall clearly specify the division of the performed works. The statement of the thesis advisor and reviewer shall be written separately for each of the authors. Additionally, the grades awarded by the advisor and reviewer shall regard the work performed by each of the authors.

5. The copy of dissertation thesis which is submitted for the defence shall contain the following components:

  • Title page (form can be downloaded from).
  • Signed statement of the degree candidate regarding the copyrights (form can be downloaded from).
  • Copy of the thesis subject issued by the Department with the signatures of the degree candidate, thesis advisor and Head of the Department/Unit/Division.

6. Student shall submit the dissertation thesis in hard copy and in soft copy (CD/DVD) no later than:

- by 30 April – second cycle course, terminating in the winter semester,

- by 30 September – second cycle course, terminating in summer semester.

The document containing the guidelines and editing requirements for the authors of dissertation theses (Ordinance of the President of Gdańsk University of Technology no. 49/2014 of 05.12.2014) can be viewed on the site entitled: Quality of Education at GUT.

7. In compliance with the Regulations of the full-time and extramural courses at GUT, the written dissertation thesis shall undergo anti-plagiarism verification with specialized software, prior to its crediting. The anti-plagiarism verification process is described in a separate procedure (Procedure for protecting intellectual property).

8. After submitting the copy of the dissertation thesis signed by the thesis advisor and the Head of the Department/Unit/Division to the Dean’s office, the Dean’s office staff member shall credit the “MSc Dissertation Thesis” subject without grading.

9. Student, who was registered for the winter semester of the second cycle course and failed to submit the dissertation thesis within the time limits specified in the Regulations of the course shall be removed from the students’ list. In particular cases, the Dean, at student’s written request and after obtaining advice from the thesis advisor, is entitled to prolong the time limit.

10. Person who was removed from the list of the students of second cycle course on the grounds of the failure to submit the dissertation thesis within the specified time limits may request the readmission to the program of the studies in order to sit the MSc exam. The decision regarding the readmission as well as the conditions applicable shall be taken and specified by the Dean. Readmission to the program of the studies requires the payment of the fee compliant with the current Ordinance of the President of GUT regarding the fees for educational services. If the readmission occurs after the period longer than one year it requires obtaining the consent of the thesis advisor for the continuation of the subject of the dissertation thesis.

11.The final grade of the dissertation thesis shall be the mean value of the grades awarded by the thesis advisor and reviewer, rounded to the grades which are in effect at Gdańsk University of Technology as specified in § 21 clause 14 of the Regulation of full-time and extramural courses at GUT.

12. In the event that a negative grade is awarded, the Dean shall appoint an additional reviewer or shall appoint a committee who shall grade the questioned dissertation (committee grading).

13. Upon the request of the thesis advisor or the student, the final exam at second cycle course is open.

14. Conditions for allowing the student to take the final exam:

  • Obtaining the full credits for all the semesters in compliance with the course curriculum, including the applicable internship and obtaining a positive grade of the dissertation thesis.
  • All the required documents and the dissertation thesis have been submitted to the Dean’s office at least 10 days prior to the planned defence.
  • The degree candidate is obliged to effect the payments of all the fees due to the department within the required specified time limits.
  • If the dissertation thesis is written in a foreign language: English, German, French or Russian it is obligatory to provide the abstract in Polish (appendix 10), the minimum word count is 1500 words.

15.The sequence and place of obtaining/submitting the documents required for obtaining the acceptance to take the final exam:

  • Documents to be submitted to the thesis advisor:

a)2 copies of the dissertation thesis (duplex printing in soft cover) – one copy for the thesis advisor (this copy is made available for the reviewer in order to grade the thesis), the other copy, signed by the thesis advisor and the Head of the Department/Division is to be submitted to the Dean’s office,

b)Submitting the request for admission to the final exam – defence of the dissertation thesis (Appendix: Request for the Dean to grant the admission to the final exam),

  • Submitting the documents to the Head of the Department/Division

a)Copy of the dissertation thesis signed by the thesis advisor to obtain the approval,

b)Request for admission to the defence of the dissertation (previously signed by the thesis advisor), the Head of the Department/Division makes the decision regarding the appointment of the reviewer,

  • Submitting the documents specified below to the Dean’s office:

a)Request for admission to the defence of the dissertation thesis signed by the thesis advisor and the Head of the Department/Division,

b)4 photographs, 4,5 x 6,5 cm (5 photographs if the student is willing to obtain the transcript of the diploma in a foreign language),

c)Student’s ID card,

d)Confirmation of the bank transfer of the fee for the diploma if the funds have not been credited on MojaPG site,

e)Copy of the dissertation thesis (duplex printing in soft cover) signed by the thesis advisor and Head of the Department/Division,

f)Soft copy of the dissertation thesis on a CD/DVD,

g)Signed statement regarding the protection of the copyrights (attached to the thesis),

h)Complete and signed clearance slip

i)Non-obligatory: request to issue the additional transcripts of graduation diploma, request to issue the transcript of the diploma in English

  • Submitting the documents to the reviewer:

a)Copy of the dissertation thesis (it can be made available by the thesis advisor, otherwise third copy of the dissertation thesis is required

16. The Dean decides upon the composition of the examination committee and the date of the final exam.

17. Dissertation thesis grading forms completed by the thesis advisor and reviewer along with the anti-plagiarism verification report printed and signed by the thesis advisor shall be submitted to the Dean’s office using the official channels at least 10 days prior to the set date of the final exam. It is acceptable to deliver the thesis review to the final exam.

18. The Student receives the information regarding the date of the final test via student’s personal account in the eDziekanat system at least 7 days prior to the planned date of the final exam.

19. The position of the chairman of the examination committee shall be held by Dean, Deputy Dean, Department Head or any other academic teacher indicated by the Dean, provided that they have the degree of habilitated doctor or professor.

20. The final exam at second cycle course shall take place within three months of submitting the dissertation thesis.

21. The course of the final MSc exam (excluding the interdisciplinary field of study: Power Engineering)

The final MSc exam is an oral exam graded in compliance with the grading scale specified in § 16 clause 1of the Regulations of full-time and extramural studies at Gdańsk University of Technology.

The final MSc exam consists of two parts (applicable to all the fields of study with the exception of Power Engineering):

a)The overview of the dissertation thesis (approximately 10 minutes) and discussion of the dissertation arguments. In the case of collaborative dissertations, the presentation shall be given by all the degree candidates participating in the project (the number of candidates x 10 minutes, approximately). The next part of the exam shall be conducted individually for each degree candidate. This part of the exam shall not be graded.

b)Answering three exam questions. Questions regarding the selected specialty shall be asked by the thesis advisor and reviewer. Questions regarding the basic or field of studies subjects shall be selected from the set of questions () prepared by the departments teaching the specific subjects and shall be asked by a member of the examination committee. Mean grade awarded in this part of the exam shall be listed in the final exam report. Negative grade awarded for any of the questions means the necessity of re-sitting the final exam.

The final MSc exam consists of two parts (applicable to interdisciplinary field of studies: Power Engineering):

a)The overview of the dissertation thesis (approximately 10 minutes) and discussion of the dissertation arguments. In the case of collaborative dissertations, the presentation shall be given by all the degree candidates participating in the project (the number of candidates x 10 minutes, approximately). The next part of the exam shall be conducted individually for each degree candidate. This part of the exam shall not be graded; however, the degree candidate must obtain the committee’s approval of his attempt in order to be allowed to proceed to the second part of the exam.

b)Answering four exam questions: 2 arbitrary questions asked by the thesis advisor and reviewer regarding the range of the field of studies and relating to the specific effects of the education, and two questions asked by the representatives of the other departments. The questions asked by the departments’ representatives are related to the issues which have been previously drawn from the pool of issues approved by the departments and made available to the students before the final exam semester starts (). Awarded grades shall be listed in the final exam report. The final MSc exam grade shall be the mean of four grades, rounded to the grade values in effect at Gdańsk University of Technology. The final exam shall be passed only if the degree candidate receives positive grades for all the questions.

General description for all fields of studies

The final grade of the second cycle course shall be calculated to two decimal places using the following formula:

w=0,6a+0,3b+0,1c

where:

a –volume weighted mean grade calculated in compliance with the principles specified in § 16 of the Regulation of the full-course and extramural studies at Gdańsk University of Technology,

b –positive grade awarded for the dissertation thesis,

c –positive grade awarded for the final exam.

The diploma shall feature the final overall grade determined in compliance with the following point-based grading scale:

In justified cases the examination committee is entitled to increase the calculated grade by half (up to very good grade) or decrease it by half.

If the conditions specified in § 33 of the Regulation of full-course and extramural studies at Gdańsk University of Technology are met, the diploma shall feature the final overall grade of very good with merits (celujący).

22. Before obtaining the diploma, the graduate is obliged to effect all the payments due to the benefit of Gdańsk University of Technology.

23. If the degree candidate fails to appear on the exam and the absence is excused or, if the degree candidate receives negative grade, they are able to re-sit the final exam within three months of the original exam date.

24. If the degree candidate receives negative grade from the re-sat final exam, they will be removed from the students’ list on the grounds of the failure to pass the final exam within the specified time limits.

25. The content of § 16 clause 1 of the Regulations of full-course and extramural studies at Gdańsk University of Technology:

All and any form of the courses contained within a subject listed separately in the curriculum of the studies during a given semester shall be subject to combined grading. Apart from the grade, each subject shall be additionally defined with points reflecting the intensity of labour necessary to master the subject. The number of points shall be a whole number. When awarding credits for the subjects, the grades specified in the table below shall be used:
