Vacancy: Management secretary/receptionist
A vacancy has arisen for the post of Management secretary/receptionist at the headquarters of the European Judicial Training Network (EJTN) in Brussels.
The European Judicial Training Network (“EJTN”) is a body which is independent of all other organisations and comprises the institutions specifically responsible for the training of the professional judiciary within the European Union (EU). It was founded on 13th October 2000, and is a non-profit making international organisation (AISBL) under Belgian law with its headquarters in Brussels.
It promotes and organises training programmes with a real European dimension for members of the European judiciary and their trainers. Each year, in conjunction with national training schools, it prepares, circulates and co-ordinates the implementation of a Catalogue containing cross-border training opportunities for other members of the Network. The European Commission has recognised its monopoly for the implementation of the Exchange Programme, which enables participants to experience and learn about other European systems.
EJTN is also developing a role in providing for the linguistic development of members of the judiciary. Through the development of its website, it is aiming to provide a distance learning capacity for its members and to provide them with the latest technologically accessed tools to acquire a wide knowledge of the European area of justice, freedom and security. Its website will become a virtual repository of training materials including didactic materials in all forms and formats.
The EJTN is the only European body which has in membership the vast majority of European judicial training schools, many of whom are bodies independent of national political structures. Great expansion of its activities are likely in the next two years.
Key responsibilities:
To provide general administrative support, including document management, internal communication, organization of meetings, logistical needs and information provision
He/she will be required to:
- Provide assistance by maintaining the diary, answering the phone, filtering calls and taking messages, responding to general inquiries and managing emails exchange and calander
- Ensure follow-up and respect of deadlines in group activities
- Create files and retrieve documents, management of archives
- Assist in welcoming and informing outside visitors
- Ensure collection and preparation of materials for publication (such as newsletters and web content)
- Provide administrative and logistical support for the organization of internal and external events such as meetings, workshops, conferences and public events
- Assist Programmes Department with administrative and secretariat tasks (drafting documents, office and forum supplies);
- Assist our team with administrative and secretariat tasks (drafting documents, office and forum supplies) and the development of our contact databases.
Qualification and Experience required:
- A post secondary education attested by a diploma
- Proven professional experience acquired in positions related to the profile of the post;
- Mother-tongue level English and perfect French; other EU languages are an asset;
- Fully computer literate; knowledge of the main software and programmes
- Familiarity with the European and international organisations;
- Some experience in international environment, preferably in marketing and/or events organisation;
- Organisational skills and communication capacities, both oral and written – an important asset.
