UOVHSAA County Track and Field Meet 2009

Entry fees:
$2.50 per athlete per event
$5.00 per relay team
Entry fees must be paid on the day of the meet at the registration table in the field house. Cheques must be made payable to UOVHSAA Track and Field.
Registration:
1. All entries are due Wednesday May 6, 2009 @ 12:00noon. A late entry fee of $50.00 per school will apply if your school has to be contacted for entries. Please e-mail entries to Richard Daber () or fax entries to Richard Daber at RCI @ 613 432 7196.
2. All entries must be typed or clearly handwritten into the entry tables provided. Do not enter individual athletes in relay events, use the relay entry table.
3. Please do not simply post a sign-up sheet and allow athletes to sign themselves up.
4. Please verify entries carefully before sending them.
5. Please ensure athletes are capable of doing the event before signing them up (hurdles, steeplechase, triple jump, throwing events especially).
6. All entries will be faxed or e-mailed back to coaches for verification once they have been entered. Errors, omissions, changes or scratches must be made before Monday May 9, 2009 @ 12:00 noon. Be prepared to pay for all athletes still registered as of 12:01pm on May 9.
7. If you have last-minute scratches due to last-minute injury or illness only, Richard would appreciate a fax or an e-mail as soon as you know. No other scratches will be accepted after May 9th.
8. There will be no changes or additions on the day of the meet. However, please inform the registration table it you have athlete no-shows (especially if they have been registered in sprints or hurdle events with lane assignments). You will still have to pay entries for these athletes.
*Please note: Last year there were many scratches and athlete no-shows to heats of sprints and sprint hurdles on meet day. Coaches must not allow athletes to sign up for events that they do not intend to do and coaches must ensure that athletes compete in the heats. Heat sheets are generated before meet day and no-shows cause delays at the track and require additional work on the part of the registration crew. Schools may be penalized for multiple scratches or no-shows.
Entry Information:
1. Please use the event codes when entering athletes (see attached entry tables). These are the codes used in the computer results program for the meet and for EOSSAA entries. Please double check the codes when entering (a small error will enter your athlete in the wrong event).
2. An athlete may enter three (3) individual age class events, plus one (1) age class relay and one (1) open relay.
3. An athlete may legally compete in higher age class relay events as long as he/she competes in only one age class relay.
4. A school may enter three (3) athletes in each age class event.
5. A school may enter one (1) relay team per age class event. No scratches after May 9, 2009 @ 12:00 noon. Relay events require lane assignments.
6. A school may enter three (3) athletes in each individual open event.
7. A school may enter one (1) relay team per open relay event. No scratches after May 9, 2009 @ 12:00 noon. Relay events require lane assignments.
8. If your school has physically disabled athletes, there is the potential to run the following events: 1500m for blind athletes, 1500m for wheelchair athletes and 100m for ambulatory athletes. These events are also offered at EOSSAA. Please contact Kathleen Mottershead at RCI if you have athletes for these events.
Please note: All athletes will earn team points.
Athletes who finish in the top 4 in a track or a field event will be eligible to advance to EOSSAA. The top 2 relays in each age class will advance to EOSSAA.
Age classification:
Midget - born in 1994 or later; may compete in the Midget category in Grade 9 year only.
Junior - born in 1993 (or Grade 10 born in 1994 having competed as a Midget last year)
Senior - born in 1992, 1991, 1990 or 1989 (1988 or earlier = ineligible)
Forms:
The following forms must be handed in at the registration table at the County Meet (these will be forwarded to EOSSAA and will go on to OFSAA). Athletes will be ineligible to compete if these forms are not handed in. Please keep a photocopy of your completed forms.

Uniforms:
1. All athletes must wear appropriate school uniforms (either school issue t-shirts in official school colours or school designated track tops in school colours). An athlete may be disqualified if a uniform is deemed inappropriate. Coaches, please ensure all athletes are wearing school uniforms as these rules are strictly enforced at EOSSAA, East Regionals and OFSAA.
2. All members of a relay team must be wearing identical school tops in official school colours. Failure to do so will result in disqualification.
3. Each athlete is required to wear his/her number for all events. Track athletes in events up to 400m must have numbers on the back and track athletes in events above 400m must have numbers on the front.
4. Athlete numbers will be assigned during registration. Coaches are responsible for bringing numbers and pins for all of their athletes to the meet. Numbers and pins will not be provided.
Code of Conduct:
1. No footballs, soccer balls or frisbees in the infield or inner fence area.
2. No javelin practice in the infield or inner fence area.
3. Athletes and coaches must stay out of the infield as much as possible.
4. Athletes and coaches are responsible for cleaning up their team site at the end of the day. Athletes and coaches must also help clean up the infield and stands at the end of the day. Garbage bags are provided in your registration package.
4. The code of behaviour for EOSSAA and OFSAA will be in effect. Athletes will sign the EOSSAA code of behaviour form before the meet and must adhere to it.
5. The jury of appeal will disqualify athletes for abusive language or conduct disturbing the meet. Please ensure all athletes are aware of the conditions of the code of behaviour.
Field Events:
1. In field events, each competitor will have three trials; the top eight competitors will have three additional trails. The three additional trials will be done in descending order (8th goes first, 1st goes last).
2. Track events take precedence over field events. If an athlete must leave for another event, the athlete must inform the official. The official can allow the athlete to jump or throw out of rotation.
At the end of the rotation, if the athlete has not returned, the athlete will miss the jump or throw for that rotation but will be eligible for the next rotation.
3. Shot put and discus circles are cement.
4. The javelin runway is rubberized asphalt.
5. The long and triple jump runways are rubberized asphalt. Appropriate “boards” will be made with tape for triple jump events (6m, 7m, 8m and 9m for girls and 10m for boys). Please ensure athletes are capable of reaching the pit safely if entering them in triple jump.
6. A weigh-in station will be provided for throwing implements. All implements must be weighed in by an official before being used in competition. The weigh-in station will be at the field house. Announcements will be made for weigh-in times.
7. Javelin practice in the javelin area only.
Track events:
1. Track events take precedence over field events.
2. The track is rubberized asphalt. Training flats or 6mm spikes are recommended. Please note that only 6mm pyramid spikes (or training flats) are allowed at EOSSAA, East Regionals and OFSAA.
3. Races up to and including the 400 metres will be run in lanes. Do not allow athletes to scratch heats except in the case of illness or injury. Scratches in heat cause problems and delays for the event organizers.
4. Schools must provide their own batons for relays.
5. At the end of races, runners must remain in their lanes at the finish line so that the finish line crew can record placings.
6. Runners must report to the starter’s assistant (at the event start line) when the event is called. Athletes and coaches must know where events start.
7. Starting blocks will be provided for all sprint events.
8. To conserve time, the 3000m races may be combined(ie. the boys and girls in the same age class may be run together). This year we have some very strong fields and combining may not be possible or desirable in any/all divisions.
9. Acceleration zones for relays should be marked with adhesive tape - athletes must not scratch the track with spikes.
Tie breaking procedures for track events:
1. Ties in heat time qualifying for the final will be broken as follows (in this order):
A. Better placing in the same heat with identical times.
B. Better placing in different heats with identical times.
C. If runners are still tied in times and places, then qualification will be determined by drawing lots.
2. Ties in timed finals: If a tie occurs in times from different sections, the runners will be given the same placing. If a tie occurs for 4th place, the runner with the better placing in his/her section will advance to EOSSAA. There will be no runoffs.
EOSSAA Entries:
A printed list of all EOSSAA qualifiers per school will be available at the field house at the end of the day. Coaches are responsible for checking the list carefully and must inform Richard Daber at RCI of scratches before leaving the County Meet. When scratches are made, other athletes may be eligible to compete. The coaches of these athletes will be informed and asked to confirm entries no later than May 14 at 3:00pm. Failure to confirm will mean the athlete will not be registered. EOSSAA fees must be paid for all registered athletes and relay teams to Renfrew C.I. Student Council after final scratches have been made. Schools/coaches will be invoiced for all EOSSAA entries once final lists are confirmed. EOSSAA fees are as follows: $5.00 per athlete per event and $10.00 per relay. There is no maximum.
Awards:
1. Ribbons will be awarded to the top 6 finishers in each event.
2. For all field events, athletes will be given their ribbons at the completion of the event by the event official.
3. For all track events, athletes will be given their ribbons at the awards table at the field house after the event results have been announced.
4. Medals will be awarded to age class champions (points won in relays will not be used to determine these champions, but points in Open individual categories will contribute).
5. Trophies will be awarded to boys’ aggregate, girls’ aggregate and overall team champions.
