1. About Heart n Soul
We aim to transform the lives of people with learning disabilities by enabling them to discover their creativity and grow self-confidence, ambition and independence.
We achieve this through interconnected programmes of art, taking part, training and sharing activity for people with learning disabilities aged 10-65+.
Activities include regular high quality creative sessions for young people (Do Your Own Thing) and adults (Allsorts), artist development and production, performance and touring opportunities, and popular inclusive club nights held in mainstream venues. People with learning disabilities inform and shape our work as artists, participants, volunteers, staff and trustees.
We reach over 30,000 people per year in live events, creative sessions and online.
Heart n Soul is a company limited by guarantee and a registered charity. Our annual turnover is £800,000.
We receive about a third of our income from Arts Council England. We raise the remainder from ticket sales and other earned income, donations from individuals and grants from charitable trusts and foundations.
2. Job Description
The Taking Part Officer (temporary) will be responsible for the management of Allsorts, Heart n Soul Choir and Heart n Soul Soundlab:- Allsorts: Our participatory arts project co-produced by adults with learning disabilities, where they try new arts activities, meet new people and have fun. Allsorts is a day event held 24 times a year in 4 seasons of 6 weeks. It includes a wide range of art forms.
- Heart n Soul Choir: The choir meets 24 afternoons a year and performs at community events.
- Heart n Soul Soundlab: Our innovative digital music-making project that explores ways of using technology to encourage people with learning disabilities to create sound and music experiences. We run 4 PlaySpace events each year with music technology companies.
The role is 28 hours a week, over 4 days.
Responsibilities:
Allsorts (1.5 days)
- To organise Allsorts Co-producer meetings.
- With the Artistic Director, to support Co-producers to develop themes and activities for each Allsorts season.
- With the Artistic Director, to identify artists to lead and support creative sessions.
- To arrange all logistics including room bookings, technical support, materials, Lewisham transport and carers.
- With the staff team, to identify local organisations and services to visit Allsorts.
- To arrange pre-season planning meetings and an evaluation meeting after each season for the events team, and prepare materials for the meetings.
- To work alongside the General Manager to review and implement risk assessment and safeguarding procedures.
- To work with the General Manager and Administrative Assistant to recruit project team members including Event Assistants and volunteers.
- To support progression for Allsorts participants to move onto other Heart n Soul activities, in coordination with the Project Manager and Artistic Director.
- To be an Event Assistant at each Allsorts event.
- To enter all data on participants, artists, volunteers, project team and activities on the website.
- To schedule and put in place all arrangements for choir sessions.
- To be the main point of liaison with the Choir Leader.
- To manage any Choir performances as they arise.
- To work with the Creative Associate, SoundLab Associate and Project Manager to plan and review project activities.
- To oversee the scheduling of and preparations for all project activities, working closely with the Creative Associate and SoundLab Associate.
- To schedule and coordinate preparations for SoundLab advisory group meetings.
- To keep oversight of progress against all activities and raise any issues to the relevant members of the project team.
- To maintain all records and evaluation data required by Youth Music and any other funders.
- To be the operational point of liaison with Youth Music, informing them of any changes to budgets or agreed activities.
- To prepare reports for Youth Music and other funders, with the support of the Creative Associate and General Manager
- Working with the Creative Associate and with advice of the Project Manager, to plan, schedule and put in place all arrangements for Deptford Club Nights.
- To oversee all logistics and arrangements with venues.
- To agree and coordinate personnel required with the Creative Associate and General Manager.
- To implement Heart n Soul project management systems.
- To manage and monitor agreed project budgets, keeping up to date records of income and expenditure – provide budget updates
- To ensure that all contracts are issued in good time
- To support the implementation of monitoring and evaluation processes
- To ensure that individual and project data is entered fully on the database.
- To work with the Communications team on recruitment to projects, outreach, publicity and communications copy and materials
- To work with the Artistic Director, Creative Associate and General Manager to draft funder reports
- To coordinate and administer projects – personnel, logistics, venues, materials, equipment, volunteers, administration, training
- Day to day management of artist, participant and venue relationships
- To represent the interests of Heart n Soul at meetings with stakeholders and partners as required.
- To take part in team meetings
- To contribute to the smooth-running of the office and organisation
- To operate within Heart n Soul’s policy guidelines at all times
- To undertake any other duties reasonably requested by the Artistic Director
3. Person Specification:
Knowledge and experience- A minimum of 2 years of experience in the arts/participation sector
- Clear track record in building and managing positive working relationships and supporting others to achieve results
