To provide an administrative and secretarial support service to the Policy Team.

5. KNOWLEDGE, SKILLS AND EXPERIENCE REQUIRED
(The knowledge, skills and experience required for satisfactory job performance.)
· education to at least A level standard (degree or equivalent desirable)
· Administrative experience in the public/”not for profit” sector (professional body an advantage);
· Committee servicing experience (agendas, minutes, papers);
· Excellent ICT skills, including word processing, database and web pages maintenance
· meticulous attention to detail;
· ability to work under pressure to meet deadlines while working on multiple tasks;
· Ability to work on own initiative;
· Commitment to provide excellent customer service to members;
· knowledge of HE, the scope of psychology and professional psychology an advantage
6. KEY RESULT AREAS

6.1 To provide administrative & secretarial support to the members of the Policy Team
6.2 To undertake the supporting activities necessary to facilitate the operation of assigned
Boards, Committees, sub-committees and associated Working Parties, including:
· liaison with Board/Committee Chairs/Members, Lead Policy Advisor and Policy Advisors in relation to
operational committee business
· producing agendas and other papers as appropriate
· taking minutes of meetings as directed
· making all necessary administrative/venue/travel arrangements
· ensuring follow-up actions are allocated, implemented and reported-on
6.3 To handle enquiries from members and the general public, in relation to the business of
the Boards/Committees
6.4 To undertake project work arising from Boards, Committees and Working Parties as
agreed with Policy Advisors
6.5 To maintain relevant sections of the Society’s website and public information, keeping all
relevant information over policy and developments up to date
6.6 To ensure that all of the relevant Award and Grants schemes are supported and run to the annual agreed schedule.
6.7 To undertake other duties assigned by the line manager which are commensurate with the job grade.
7. COMMUNICATIONS AND WORKING RELATIONSHIPS

Chairs and Members of the relevant Boards and committees, to ensure the smooth administration of the meetings and follow up actions
Members, and other members of the public, to answer queries effectively.
Other national and international organisations in domains relevant to the work of the team, with which the Society has joint interests, to enable smooth communication
Other Society staff working in adjacent or support areas, to ensure that information flow is maintained effectively and actions from meetings successfully completed.

Key results areas include:
Communication within the Policy Team – this is essential if the business of the various boards and committees is to be effectively coordinated.
Ensuring that support for the Boards and committees is provided in a timely and efficient manner, and that accurate records are kept – this enables the business to be transacted efficiently and ensures confidence on the part of the members involved in the Society’s support for their activities.
Responding to Members’ enquiries – providing an efficient interface between the members and the Society in relation to the policy areas covered by the team.
